Adjournment The next meeting of the Grapevine Heritage Foundation will be the Annual Meeting of Membership on Wednesday, November 7, 2019, at 6:00 pm at Nash Farm, 626 Ball Street, Grapevine, Texas. Acts of the 1993 Texas Legislature, the Grapevine Heritage Foundation Board meeting agenda was prepared and posted by 9th day of October, 2019 at 5:00 pm. 1 David Klempin Manager, Heritage Programs & Preservation 16 October 2019 STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Grapevine Heritage Foundation (GHF) Advisory Board met at 5:00 p.m. on Wednesday, October 16, 2019 in the Grapevine Convention & Visitors Bureau, 2nd Floor Boardroom, 636 South Main Street, Grapevine, Texas 76051 for their regular scheduled monthly meeting. CALL TO ORDER Chairman Curtis Ratliff called the meeting to order at 5:00 p.m. and thanked all for attending II. CITIZEN COMMENTS There were no citizen comments registered. Any person who is not scheduled on the agenda may address the Historic Preservation Commission under Citizen Comments by completing a Citizen Appearance Request form. In accordance with the Texas Open Meetings Act, the Advisory Board is restricted in discussing or taking action during Citizen Comments. c 1 October 16,2019 16 October 2019 III. APPROVAL OF MINUTES Balla Wright made the motion to accept the minutes as written from the September 18, 2019 meeting. Melva Standfield seconded the motion, which prevailed in the following vote: Ayes: 8 (Ratliff, Stanfield, Wright, Perkins, Franks, Fray, Hummer and Nelson) Nays: 0 None Absent: 1 (Jensen) IV. OLD BUSINESS Membership Report - Janet Perkins Secretary Janet Perkins stated the Foundation had 189 active members in September with no donations. Secretary Perkins had researched the local population for membership recruitment finding them well-educated but the problem was "appeal" and she had a draft to present. Chairman Ratliff called for a Membership Committee to work with Secretary Perkins. Vice Chairman Melva Stanfield, board members Wendy Nelson, Courtney Fray and staff member Cody Jolliff volunteered; Chairman Ratliff appointed the committee as named. Nash Farm Report - Melva Stanfield Vice Chairman Melva Stanfield gave the report for the September 2019 attendance with 100 guests attending the First Friday program "Travel on the Farm"; the GrapeFest ItalianCarFesto with 2,500 guests attending; a FFA Opening Social of 166 students and a GrapeFest Sister City Supper for 78 guests. Two VAST Outreach events with Homeschool Day totaled 121 students, two tours combined had 62 students and the month's casual visitation of 437 yielded a total of 3,243 visitors to the Farm in September. Museums & Educational Programs Manager Cody Jolliff explained staff had set a specific day for Homeschooler groups and sold 121 tickets for this first one. He announced a daily program Christmas at the Farm from 10 a.m. — 4:30 p.m. during December: Make & Bake Cookies in the Farmhouse $3; Paper Crafts daily for a small fee; Victorian Christmas Tours at 3 p.m. for a better tour experience; Nash Farm Open House on December 14. Member Nelson asked about the pricing of only $3 and was told staff were working to develop the program to a $10 — 12 fee. The January 2020 Hog Butchering & Curing had sold eight tickets. 2 October 16,2019 16 October 2019 Sponsorship Report - Balla Wright Treasurer Wright reported no change in the 2019 Sponsorships. Palace Arts Center Report— Paula Newman Managing Director of Operations Paula Newman reported the Palace Arts Center (PAC) for September year end 2019 had a five percent increase and 14 percent increase for rentals from FY September 2018. Saturday's movie, Hocus Pocus sold out, a second showing was added for 9:45 p.m. and is now half sold out. She announced a new PAC manager was hired, Elec Winner from west Texas Lubbock area, he has resided in Bedford for the last six years. Mr. Winner has a theater background with operations and technical experience, he will be introduced to the board at the next meeting. Chairman Ratliff asked about the status of work at the Palace; the three air conditioning units have been ordered and are now in line for production. The doors have been skinned with some small touch-ups to be finished. V. NEW BUSINESS Update on Nash Farm Fall Events — Cody Jolliff Farm Manager Cody Jolliff said there were still some tickets available for the Friday night October 18 Barn Dance. He asked for bakers, there would be a Cake Walk at Saturday's event and he was asking for volunteers to bake cakes. The Barn Dance was set and ready-to-go at six o'clock on Friday; dinner would be served at 6:30 p.m. Over 100 tickets had been sold and still some available at $20 per person. He asked all to report Saturday morning for the Fall Round-UP! by 9 a.m., parking was available at the orthodontist across Ball Street or at Cannon Elementary School on West College street. Assignments were Chairman Ratliff to be speaking on Wagons and the Smokehouse; staff member Mary Bush at the volunteer's check-in; board member Franks and Council Liaison O'Dell for first aid, membership and hospitality; Treasurer Wright would maintain Farmhouse tours with Sonja and Helen Jean; and Kim Hale would be cooking on the wood stove in the Farmhouse. There had been good volunteer participation from the high school, all 24 slots were filled for the apple pie making; and the tents were up and approved by the Fire Department. Grapevine Convention & Visitors Bureau (CVB) Report— Paula Newman Paula Newman reported it was the end of the fiscal year for the CVB, the Sales Team had done a phenomenal job exceeding all goals; the North Pole Express (NPX) 2019 ticket sales were over 30 thousand tickets sold the first day, now with 42 of 46 thousand tickets sold. The NPX area in the Heritage Center will have increased activities with the Section Foreman's, Bragg House and Blacksmith Shop in use for holiday activities; the CVB building will host a Hometown Christmas in the galleries with more activities and photo-ops. The City will be adding more holiday lights wrapping the trees from Dallas Road to Highway 114 with Christmas lights; plus, additional larger decorations on 3 October 16,2019 16 October 2019 Northwest Highway from the Gaylord Texan leading in to downtown Historic Main Street, making all bigger and better! National Trust Conference in Denver Report— David Klempin Chairman Ratliff stated the valuable experience of the annual National Trust Conference in Denver this year, he thanked and named those who attended: Darlene Freed, City Council, Mayor Pro Tem; Paul Slechta, City Council Place 1, HPC Council Liaison; Sean Shope, HPC Chairman; Paula Wilbanks, HPC Alternate; Melva Stanfield, GHF Vice Chairman; Chairman Ratliff and his bride, Linda; Paula Newman, CVB Managing Director; and David Klempin, Historic Preservation Officer. He called on Paula Newman for her summation of the conference, she responded she had found the conference well put together with very informative courses. She shared it was key to successful preservation to have communication with staff, city and state officials to unite as part of something larger than themselves; we need to go to other organizations for new thought processes, meeting with other groups for the full vision. Vice Chair Stanfield liked the learning labs and the importance of making the community understand why they love Grapevine. How to keep reinventing to sell, and knowing once it is lost— it is gone. Chairman Ratliff said the conference made him feel reinvigorated-this conference was a shot in the arm. He attended a session on Better Boards and discussion with Paul Slechta and Darlene Freed and their views of old Denver restored and the Oxford Hotel 84 years old and still going strong. Dana Crawford was a great speaker with her experience, he bought her biography of the struggles for preservation as they plowed down block after block of historic architecture; she was able to rescue and preserve. David Klempin presented a 13 slide PowerPoint of the highpoints of the mission saying the goal of the mission was Historic training and awareness for our City leaders, Historic Preservation Commissioners and Grapevine Heritage Foundation board members. Council Liaison Duff O'Dell said it had been important to save the house and the Farm but now to maintain and keep going forward with preservation. Vice Chairman Stanfield noted how important Dana Crawford's story was of what she had saved; and it is now endangered again by looming 20 — 40 story buildings built right in front of them. Secretary Janet Perkins thanked Council Liaison O'Dell for Council's decisions last night regarding the variances applied for; the Council Liaison said it was a beautiful building, but wrong location. 4 October 16,2019 16 October 2019 Announcements Managing Director Newman reminded all David Klempin would host a Blevins Open House on Saturday and Sunday from 2 — 4 p.m.; advertising was placed for the Open House and sealed bids to be received until an acceptable amount was received. Secretary Perkins inquired as to the amount; and was answered, at this time $358 thousand, with any lower amount requiring the City Council's approval. Vice Chairman Stanfield announced Candlelight Tour of Homes committee member Kayte Roberts had resigned due to career workload and family. David Klempin showed all Sallie Andrews new children's book commissioned by the First Baptist Church for 150 years of their history to be passed on to today's youngsters. He reported longtime resident of The Hill, Nona Jean Chivers 86 years of age, had passed on. Many of us knew her living in the house next door to the Love Chapel Church of God in Christ. Ms. Chivers' home had recently been repainted by Community Powered Revitalization (CPR), a joint effort between 6 Stones, the cities of Hurst, Euless, Bedford, Grapevine, various businesses, nonprofit organizations, and churches to help homeowners struggling to make necessary home repairs. VI. ADJOURNMENT Sue Franks, seconded by Courtney Fray, made the motion to adjourn the meeting at 6:05 p.m. The motion prevailed by the following vote: Ayes: 8 (Ratliff, Stanfield, Wright, Perkins Franks, Fray, Hummer, and Nelson) Nays: 0 None Absent: 1 (Jensen) Chairman Ratliff asked each of the advisory board members to contact him to set a time they can each meet independently with him.
