HomeMy WebLinkAboutItem 14 - Horticultural Chemicals and Fertilizers MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: BRUNO RUMBELOW, CITY MANAGER , MEETING DATE: MAY 1, 2012 SUBJECT: APPROVAL FOR THE AWARD OF BID 380-2012 FOR AN ANNUAL CONTRACT WITH OPTIONAL RENEWALS FOR THE PURCHASE OF HORTICULTURAL CHEMICALS AND FERTILIZERS ON AN AS NEEDED BASIS RECOMMENDATION: City Council to consider approval of the award of Bid 380-2012 for an annual contract with optional renewals for the purchase of horticultural chemicals and fertilizers to Direct Solutions, Helena Chemical Company, BWI Companies, Inc., Innovative Turf Supply, and Winfield Solutions, LLC for the City Golf Course and the Parks and Recreation department on an as needed basis. FUNDING SOURCE: Funds are available in account 100-42205-312-3 (General Fund/ Parks and Recreation/ Grounds Maintenance) and 210-42205-340-2 (Lake Enterprise Fund/Golf Course Maintenance/ Grounds Maintenance) in the estimated budgeted amount of$135,000.00. BACKGROUND: Bids were taken in accordance with Local Government Code Chapter 252, Subchapter B, Section 252.021 (a) and Section 252.041 (a). The bid advertisement was posted March 22, 2012 and March 29, 2012. The bid was opened publicly on April 13, 2012. Through the City E-Bid system, 43 vendors were invited to bid on these chemicals. There were 21 vendors that viewed the bid package; seven bids were submitted with two no bids. (See attached bid tabulation). This annual contract with four optional one year renewals is to establish fixed pricing for the purchase of 92 various types of fertilizers and horticultural chemicals on an as needed basis by the Parks and Recreation Department and the City Golf Course. Based on the evaluation of the bid by the user departments and Purchasing, it is determined that in the best interest of the City it should be awarded to the following vendors, Direct Solutions, Helena Chemical Company, BWI Companies, Inc., Innovative 4/24/2012 3:07:07 PM Turf Supply, and Winfield Solutions, LLC.
