SUBJECT: APPROVAL FOR THE AWARD OF BID 386-2012 FOR EMC
STORAGE HARDWARE AND SOFTWARE FOR THE
INFORMATION TECHNOLOGY DEPARTMENT
RECOMMENDATION:
City Council to consider approval of the award of Bid 386-2012 for EMC storage
hardware and software to Flair Data Systems, Inc. for the Information Technology
Department.
FUNDING SOURCE:
Funds for this purchase are available in account 325-44860-101-12 (Capital Equipment/
Machine Purchase Fund/Machinery and Equipment/City Manager 2012 Capital
Acquisitions) in the amount of $105,502.84, and 111-42281-107-1 (Special Revenue
Fund/ Minor Tools and Equipment/ Municipal Court Technology/Administration) in the
amount of$9,544.15.
BACKGROUND:
This purchase will provide EMC storage, licensing and support. This equipment will be
incorporated in our existing VMware infrastructure and will be used to store the virtual
desktops in our upcoming virtual desktop project. Once all parts of the project have
been purchased, 250 desktops will be virtualized and run in the information technology
data center. A portion of this storage network will be used for the Court Automation
Project.
Bids were taken in accordance with Local Government Code Chapter 252, Subchapter
B, Section 252.021 (a) and Section 252.041 (a). The bid advertisement was posted
March 22, 2012 and March 29, 2012. The bid was opened publicly on April 6, 2012.
Utilizing the City's E-Bid system, 48 vendors were invited to bid; 17 vendors viewed the
bid package; five bids were submitted with one no-bid. (See attached bid tabulation).
Of the five bids received, Flair Data Systems, Inc. was the overall lowest responsive and
responsible bidder.
Staff recommends approval.
