SUBJECT: APPROVAL OF A RESOLUTION FOR THE PURCHASE OF
CHAIRS FOR CVB HEADQUARTERS MEETING HALL
THROUGH AN ESTABLISHED COOPERATIVE PURCHASING
AGREEMENT WITH U.S. COMMUNITIES
RECOMMENDATION:
City Council to consider approval of a Resolution for the purchase of 200 chairs for CVB
Headquarters' second floor meeting hall from Virco Mfg. Corporation through an
established cooperative agreement with U.S. Communities.
FUNDING SOURCE:
Funding for this purchase is currently available in account 177-48840-017-350
(Convention and Visitors Bureau bond monies for new headquarters) in the amount not
to exceed $24,584.00.
BACKGROUND:
This purchase will be made in accordance with an existing cooperative agreement with
the National Government Purchasing Cooperative, U.S. Communities, as authorized by
the Interlocal Cooperation Act Texas Government Code, Chapter 791 and Texas Local
Government Code, Section 271.101 and 271.102.
Bids were taken by the Cooperative and a contract was awarded to Virco Mfg.
Corporation for educational furniture under contract number 0844685. CVB staff
reviewed the contract for specification compliance and pricing and determined that the
contract would provide the best product and pricing for meeting the needs of the City.
The cooperative agreement satisfies all bidding requirements under Texas Local
Government Code. A copy of the quote is attached.
This request is for the purchase of chairs for the second floor meeting hall !in the new
CVB Headquarters building. This function room will be used for official council and city
functions.
Staff recommends approval.

Number when corresponding with Virco regarding this quote. We offer our quotation priced from the
US Communities 2012 MasterAgreement#0844685 Contract. You will need to be registered for US
Communities and provide your ID number prior to acceptance of your purchase order. We offer our
quotation subject to the following terms and conditions:
1) FOB Point: FOB Destination -Tailgate Delivery
2) Standard Payment Terms: Net 30 days (subject to credit approval)
3) Prices Are Firm For Orders Received By: 12/31/2012 (Orders received after this date are
subject to re-quote)
4) For Shipment By: Customer Must Take Delivery Before 12/31/2012

PLEASE NOTE: Shipment from Virco: Quick Ship Items: Ten days or less; Standard Items: Four

are on the same purchase order,the longest leadtime will apply to the entire order. Additional shipping
and handling charges will apply to orders that are requested to be partial shipped before the Virco
acknowledged due date. Orders that specify shipment later than the preceding dates will be subject
to re-quote.

RESOLUTION NO.
A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF
GRAPEVINE, TEXAS AUTHORIZING THE CITY MANAGER
OR THE CITY MANAGER'S DESIGNEE TO PURCHASE
CHAIRS FOR CVB HEADQUARTERS' MEETING HALL
THROUGH AN ESTABLISHED NATIONAL COOPERATIVE
PURCHASING AGREEMENT AND PROVIDING AN
EFFECTIVE DATE
WHEREAS, the City of Grapevine, Texas is a local government in the State of
Texas and is authorized by the Interlocal Cooperation Act Texas Government Code,
Chapter 791 and Texas Local Government Code, Section 271.101 and 271.102, to enter
into joint contracts and agreements for the performance of governmental functions and
services; and
WHEREAS, the National Government Purchasing Cooperative, U.S. Communities is
a qualified purchasing cooperative program as authorized by the Interlocal Cooperation Act
Texas Government Code, Chapter 791 and Texas Local Government Code, Section
271.101 and 271.102; and
WHEREAS, the City of Grapevine, Texas has established an Agreement for
Cooperative Purchasing with the National Government Purchasing Cooperative, U.S.
Communities, and wishes to utilize contracts meeting all State of Texas bidding
requirements; and
WHEREAS, the National Government Purchasing Cooperative, U.S. Communities,
has established a contract with Virco Mfg. Corporation, contract#0844685 for Educational
Furniture; and
WHEREAS, the City of Grapevine has a need to purchase chairs for the CVB
Headquarters' second floor meeting hall.
NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY
OF GRAPEVINE, TEXAS:
Section 1. That all matters stated in the above preamble are true and correct and
are incorporated herein as if copied in their entirety.
Section 2. That the City Council of the City of Grapevine authorizes the purchase
of 200 chairs through a cooperative agreement with the National Government Purchasing
Cooperative, U.S. Communities, in the amount of$24,584.00.
Section 3. That the City Manager, or his designee, is authorized to take all steps
necessary to consummate the purchase of said product.
Section 4. That this resolution shall take effect from and after the date of its
passage.
PASSED AND APPROVED BY THE CITY COUNCIL OF THE CITY OF
GRAPEVINE, TEXAS on this the 20th day of March, 2012.
