HomeMy WebLinkAboutItem 17 - Traffic Signal Equipment and Materials I "EG ''I' _11- MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: BRUNO RUMBELOW, CITY MANAGER 5\2— MEETING DATE: MARCH 6, 2012 SUBJECT: APPROVAL TO RENEW AN ANNUAL CONTRACT FOR THE PURCHASE OF TRAFFIC SIGNAL EQUIPMENT AND MATERIALS RECOMMENDATION: City Council to consider approval to renew an annual contract to purchase traffic signal equipment materials from McCain, Inc. and Consolidated Traffic Controls for the Public Works Department, Traffic Operations Division on an as needed basis. Purchases will be limited to the budgeted amount for this service. FUNDING SOURCE: Funds are available in account 174-43301-093-000 (Street Maintenance/Capital Replacement/Transportation Infrastructure Maintenance/Traffic Sign and Signal Maintenance) and 174-43301-090-000 (Street Maintenance/Capital Replacement/ Transportation Infrastructure Maintenance/Annual Street Maintenance and Overlay) in the budgeted amount of $35,000.00. BACKGROUND: Bids were taken in accordance with City Purchasing Policy. Formal bids and advertisements are not required for purchases under $50,000. Seventeen bid packages were requested by vendors. Six bids were received. (See attached bid tabulation.) The purpose of this contract is to purchase traffic signal equipment materials on an as needed basis by traffic operations staff. Council awarded the initial contract period on March 15, 2011 with four, one-year optional renewals. If approved, this will be for the first renewal contract period. Staff has reviewed all bids received and found that McCain, Inc. and Consolidated Traffic Controls are the lowest responsive/responsible bidders meeting specifications. These vendors have provided materials to the City on past contracts with satisfactory results and have agreed to renew the contract with no increase in pricing. Staff recommends approval.
