HomeMy WebLinkAboutItem 14 - Kubota Tractor ,ITEM # -J- MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: BRUNO RUMBELOW, CITY MANAGER MEETING DATE: FEBRUARY 7, 2012 SUBJECT: APPROVAL OF A RESOLUTION FOR THE PURCHASE OF A NEW KUBOTA TRACTOR WITH ATTACHMENTS FOR THE PARKS AND RECREATION DEPARTMENT THROUGH AN INTERLOCAL PARTICIPATION AGREEMENT WITH THE LOCAL GOVERNMENT PURCHASING COOPERATIVE (BUYBOARD) RECOMMENDATION: City Council to consider approval of a resolution for the purchase of a L3800HST Tractor with attachments for the Parks and Recreation Department from Kubota Tractor Corporation through an Interlocal Participation Agreement with the Local Government Purchasing Cooperative (Buyboard). FUNDING SOURCE: Funding for this purchase is currently available in account 325-48910-312-12 (Capital Equipment/Machinery Purchase Fund/Motor Vehicles) with a total cost not to exceed $27,593.20. BACKGROUND: This purchase will be made in accordance with an existing Interlocal Participation Agreement with the Local Government Purchasing Cooperative (Buyboard) as allowed by Texas Local Government Code, Section 271.102, Cooperative Purchasing Program. Bids were taken by the cooperative and a contract was awarded to Kubota Tractor Corporation under contract number 373-11. The Interlocal Participation Agreement satisfies all bidding requirements under the Texas Local Government Code. This purchase is for one new Kubota L3800HST tractor with attachments for the Parks and Recreation Department. This equipment is used in the daily maintenance of park areas and ball field maintenance and is of specific size and weight for crucial area clearance. The Kubota tractor is equivalent to recently purchased tractors which will assist the City in standardizing parts, minimizing inventory, and reducing down time for service with maintenance familiarization. The Parks and Recreation Department received approval to purchase this new tractor in the Vehicle and Equipment Replacement list for FY2012 on September 13, 2011. Staff recommends approval. GR RESOLUTION NO. A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS AUTHORIZING THE CITY MANAGER OR THE CITY MANAGER'S DESIGNEE TO PURCHASE A NEW KUBOTA TRACTOR WITH ATTACHMENTS THROUGH AN ESTABLISHED INTERLOCAL AGREEMENT AND PROVIDING AN EFFECTIVE DATE WHEREAS, the City of Grapevine, Texas is a local government in the State of Texas and as such is empowered by the Texas Local Government Code, Section 271.102 to enter into a Cooperative Purchasing Program Agreement with other qualified entities in the State of Texas; and WHEREAS, the Local Government Purchasing Cooperative (Buyboard) is a qualified purchasing cooperative program as authorized by Section 271.102 of the Texas Local Government Code; and WHEREAS, the City of Grapevine,Texas has established an Interlocal Participation Agreement with the Local Government Purchasing Cooperative (Buyboard)and wishes to use established contracts meeting all State of Texas bidding requirements; and WHEREAS, the Local Government Purchasing Cooperative (Buyboard) has established a contract with Kubota Tractor Corporation, contract #373-11, for grounds maintenance equipment; and WHEREAS,the City of Grapevine has a need to purchase a new Kubota tractor with attachments. NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS: Section 1. That all matters stated in the above preamble are true and correct and are incorporated herein as if copied in their entirety. Section 2. That the City Council of the City of Grapevine authorizes the purchase of a new Kubota tractor with attachments from Kubota Tractor Corporation through an Interlocal Agreement with the Local Government Purchasing Cooperative (Buyboard)for $27,593.20. Section 3. That the City Manager, or his designee, is authorized to take all steps necessary to consummate the purchase of said products and services. Section 4. That this resolution shall take effect from and after the date of its passage. PASSED AND APPROVED BY THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS on this the 7th day of February, 2012.
