HomeMy WebLinkAboutItem 11 - Shelter for Oak Grove Ball Field Complexi r'E:M # /1' MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: BRUNO RUMBELOW, CITY MANAGER MEETING DATE: SEPTEMBER 18, 2012 SUBJECT: APPROVAL OF A RESOLUTION FOR THE PURCHASE OF A SHELTER FOR OAK GROVE BALL FIELD COMPLEX RECOMMENDATION: City Council to consider approval of a resolution for the purchase of a shelter for the Oak Grove Ball Field Complex from InSite Amenities through an interlocal participation agreement with the Local Government Purchasing Cooperative (Buyboard). FUNDING SOURCE: Funding for this purchase is currently available in account 174 - 74015- 063 -000 (infield replacement) for the amount not to exceed $23,474.25. BACKGROUND INFORMATION: This purchase will be made in accordance with an existing interlocal participation agreement with the Local Government Purchasing Cooperative (Buyboard) as allowed by Texas Local Government Code, Section 271.102, Cooperative Purchasing Program. Bids were taken by the cooperative and a contract was awarded to InSite Amenities under contract number 346 -10. Parks and Recreation staff reviewed the contract for specification compliance and pricing and determined that the contract would provide the best product and pricing for meeting the needs of the City. The Cooperative Purchasing Agreement satisfies all bidding requirements under the Texas Local Government Code. This purchase is for the addition of one shelter at Oak Grove Ballfield Complex. This new shelter will match all existing shelters at the complex. The shelter will be placed over the group BBQ cooking area. Staff recommends approval. KM/BS 6AR I' ' it RESOLUTION NO. A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS, AUTHORIZING THE CITY MANAGER OR THE CITY MANAGER'S DESIGNEE TO PURCHASE A SHELTER FOR OAK GROVE BALLFIELD COMPLEX THROUGH AN ESTABLISHED INTERLOCAL AGREEMENT AND PROVIDING AN EFFECTIVE DATE WHEREAS, the City of Grapevine, Texas is a local government in the State of Texas and as such is empowered by the Texas Local Government Code, Section 271.102 to enter into a Cooperative Purchasing Program Agreement with other qualified entities in the State of Texas; and WHEREAS, the Local Government Purchasing Cooperative (Buyboard) is a qualified purchasing cooperative program as authorized by Section 271.102 of the Texas Local Government Code; and WHEREAS, the City of Grapevine, Texas has established an Interlocal Participation Agreement with the Local Government Purchasing Cooperative (Buyboard) and wishes to use established contracts meeting all State of Texas bidding requirements; and WHEREAS, the Local Government Purchasing Cooperative (Buyboard) has established a contract with InSite Amenities LP, contract #346 -10, Parks & Recreation Equipment/Field Lighting Products & Installation; and WHEREAS, the City of Grapevine Parks and Recreation Department has a need for a new shelter at the Oak Grove Ballfieid Complex. NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS: Section 1. That all matters stated in the above preamble are true and correct and are incorporated herein as if copied in their entirety. Section 2. That the City Council of the City of Grapevine authorizes the purchase of a shelter for the Oak Grove Ballfield Complex from InSite Amenities LP through an Interlocal Participation Agreement with the Local Government Purchasing Cooperative (Buyboard) for an amount not to exceed $23,474.25. Section 3. That the City Manager, or his designee, is authorized to take all steps necessary to consummate the purchase of said products and services. Section 4. That this resolution shall take effect from and after the date of its passage. PASSED AND APPROVED BY THE CITY COUNCIL OF THE CITY OF GRAPEVINE, TEXAS on this the 18th day of September, 2012.
