PURPOSE
10.1 The purpose of the Voice Mail policy is to ensure voice mail is used to improve the
City's productivity while maintaining a positive public perception.
POLICY
10.2 GUIDELINES FOR USAGE
10.2.1 During normal operating hours (between 8 a.m. and 5 p.m.), calls to City
published numbers (any number that the public has access to through
telephone directories or other publications) will be answered by the call
recipient or programmed to forward to another number where a live voice
will answer the call.
10.2.2 Calls to non-published City numbers may be forwarded into voice mail
should the call recipient be away from his/her desk or on another line.
However, phones should never roll directly into voice mail when you are in
your office and available to take the call (not on another line).
10.2.3 After regular business hours all calls may be transferred into voice mail,
however, calls must be returned in a prompt manner the next business
day.
10.2.4 Voice mail messages on the phone system that are older than 60 days
are automatically deleted off the system
