507 Reference Checks and Recommendations
.01 No person is authorized to act on behalf of the City of Grapevine in making
recommendations or giving references with respect to former or current City
employees. Any City employee who gives a recommendation or reference with
respect to a current or former City employee shall be acting in his or her individual
capacity and not as an agent, employee, or representative of the City of Grapevine if
this act is beyond the scope of said employee's employment. Any employee who is
sued or becomes involved in a claim or civil lawsuit due in any part to his or her giving
a reference or recommendation shall not be entitled to a paid or other legal defense
by the City of Grapevine.
.02 Except as may be otherwise provided by law, the City of Grapevine will refuse to
release information to outside sources without current or former employee's written
approval. All information will be released through Human Resources only.
Exceptions are limited to simple employment verification for mortgage and lease
agreements and credit applications which will be released from the Payroll Division
in Fiscal Services.
.03 In absence of a written release signed by the current or former employee, the Human
Resources Director (or designee) shall be authorized to verify only the following
information:
(1) The date the employee began employment with the City of Grapevine;
(2) The date the employee ended employment with the City of Grapevine;
(3) The employee's salary at the beginning and end of employment with the City;
(4) The positions held while employed by the City of Grapevine.
No person other than the Human Resources Director or the Director's designee shall
be authorized to act on behalf of the City of Grapevine with respect to the verification
of employment information.
