610 Tuition Reimbursement
The City of Grapevine offers tuition reimbursement benefits to regular full-time and
full-time probationary employees who attend regionally accredited colleges or
universities and who receive credit for completed course work. Institutions of higher
education accredited by one of the following regional accrediting agencies will be
considered for reimbursement: Middle States Association of College and Schools,
New England Association of Schools and Colleges, North Central Association of
Colleges and Schools, Northwest Commission on Colleges and Universities,
Western Association of Schools and Colleges, and the Southern Association of
Colleges and Schools.
.01 The employee must be enrolled in a course(s) which will benefit the City and be part
of a degree plan which has been approved by Human Resources.
.02 Reimbursements shall be made for grades of "C" or above for undergraduate credit
hours and "B" or above for graduate credit hours. Reimbursement will not be made
for credit obtained through the College Level Examination Program (CLEP), nor for
work/life experience, etc. Reimbursement is only available when the employee
actually completes a course for credit.
.03 Reimbursements shall be limited to undergraduate and graduate credit courses
which are job related or required for advancement and apply towards an
undergraduate (bachelors’) or graduate degree.
.04 The City does not reimburse for tuition and mandatory fees paid by other sources
such as scholarships, grants, Veterans benefits, or other subsidies. Any employee
receiving financial assistance for their education from another source must disclose
the source and amount on the Application for Tuition Reimbursement.
.05 All reimbursements for attending public or private colleges or universities shall be
limited to $240 per credit hour for tuition and fees for undergraduate courses and
$280 per credit hour for tuition and fees for graduate courses. Reimbursement will
be limited to a maximum of 24 credit hours per calendar year, based on the starting
date for the course(s).
.06 Any eligible employee desiring to apply for tuition reimbursement will complete and
submit an Application for Tuition Reimbursement form to their Department Head and
Human Resources. Within 90 days after the course is completed, an official record
from the university/college Registrar’s Office of the course name/number, semester
completed, grade(s) received, and the corresponding payment receipt from the
university/college must be forwarded to Human Resources. The payment receipt
should identify the number of credits taken and the course name/number as well as
the semester in which the course was taken. If the payment receipt does not include
this information, a copy of the registration form or schedule showing this information
will also be submitted to Human Resources. Reimbursement will be initiated when
all the required documentation has been received by Human Resources and it is

determined that the employee has met all of the tuition reimbursement policy
provisions.
.07 All employees applying for tuition reimbursement shall enter into a written agreement
to continue voluntary employment for a period of two years from the date of course
completion or the employee will repay the City the entire amount of tuition
reimbursement received during the 24-month period preceding their resignation.
Repayment will be deducted from the employee’s final pay check(s) in compliance
with Department of Labor requirements regarding exempt employees and minimum
wage requirements for non-exempt employees.
.08 The City will only reimburse tuition and fees for the cost to obtain one undergraduate
degree (maximum of 130 credits) and/or one masters’ degree (maximum of 48
credits) per employee.
