701 Employment Termination
Terminations occur within any organization and for a variety of reasons.
.01 The most common conditions under which employment is terminated are:
(1) resignation - termination initiated by the employee who chooses to leave the
organization voluntarily. The employee is expected to provide a signed and
dated letter of resignation providing two weeks' notice of last date of
employment. The Department Head may waive any portion of this notice;
(2) discharge - termination initiated by the employer; a disciplinary hearing must
be scheduled for any regular full-time or benefited part-time employee prior to
such action.
(3) layoff - termination initiated by the employer for non-disciplinary reasons; no
hearing is required;
(4) medical - termination initiated by either party when medical reasons prevent
the employee from completing the assigned tasks;
(5) retirement - termination initiated by the employee who has fulfilled the TMRS
age and years of service requirements.
.02 The immediate supervisor and department will complete the Status Change Form
and submit it to Human Resources.
.03 Human Resources will provide an exit interview to the separating employee.
.04 Employees are responsible for returning all property such as uniforms, phones, keys,
identification cards, purchasing cards, laptops, etc. to their supervisor. If City
equipment is not returned, a deduction will be made from an exempt or non-exempt
employee’s final paycheck for the value of the property.
.05 Employee benefits will be affected by termination.
(1) All vacation, compensatory time, unused personal holiday and Firefighter
holiday, and pro rata longevity will be paid after termination of employment.
(2) Accrued sick leave is not compensable upon termination.
(3) Continuation of health care coverage is afforded the terminating employee
and any spouse or dependents at that individual's expense.
(4) Certain insurance coverages are available for conversion at insured's
expense.

.06 Exempt employees who work less than 40 hours during their first or last week of
employment will be paid a proportionate part of their full salary for the time actually
worked.
