SUBJECT: APPROVAL TO RENEW AN ANNUAL CONTRACT FOR THE
PURCHASE OF TREES AND PLANTS
RECOMMENDATION:
City Council to consider approval to renew an annual contract with Cole Construction,
Fannin Tree Farm, Southwest Wholesale Nursery, and Unique Landscaping Design &
Construction Inc. for trees and plants on an as-needed basis.
FUNDING SOURCE:
Funds are available in various departmental accounts and will be limited to the budgeted
amount mainly in account 100-42205-312-3 (General Fund/Grounds Maintenance/Park
Maintenance) for $20,000.00.
BACKGROUND:
Bids were taken in accordance with Local Government Code Chapter 252, Subchapter
B, Section 252.021 (a) and Section 252.041 (a). Notice to bidders was published in the
Fort Worth Star Telegram on May 27, 2010 and June 3, 2010. The bid was opened on
June 11, 2011.
The purpose of Bid 341-2010, was to establish annual fixed pricing for the purchase of
trees and plants on an as-needed basis. This contract has allowed the Parks staff to
continue to increase their excellent reforestation projects to beautify the city. Their
efforts have allowed the City of Grapevine to be honored as a Tree City USA city for
over 25 years.
Invitations to bid were issued to seven vendors with five vendors responding. Council
approved awarding all items to the lowest bidder on July 20, 2010. Cole Construction,
Fannin Tree Farm, Southwest Wholesale Nursery, and Unique Landscaping Design &
Construction, Inc. have all provided service in the past with satisfactory results. The
contract was for a one-year period with an option to renew the contract for four
additional one-year periods. If approved this would be for the second contract renewal
period starting on July 20, 2012.
Staff recommends approval.
