HomeMy WebLinkAboutItem 11 - Christmas LightingMEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: BRUNO RUMBELOW, CITY MANAGER MEETING DATE: OCTOBER 19, 2021 SUBJECT: APPROVAL FOR THE AWARD OF AN INFORMAL REQUEST FOR QUOTE FOR CHRISTMAS LIGHTING AT CITY HALL RECOMMENDATION: City Council to consider approval for the award of an informal request for Christmas lighting at City Hall from First Choice Christmas Lights for the Parks and Recreation Department. FUNDING SOURCE: Funds are available in the Quality of Life Fund for an amount not to exceed $28,000. BACKGROUND: This purchase is for low voltage, web -based lighting of four oak trees in front of City Hall and will offer a 10-year product warranty (which no other contractor offered). The quote also offers six red, green, blue, white (RGBW) lights per tree as compared to only two lights from the other contractors. Informal quotes were taken in accordance with the City Purchasing Policy. Formal bids and advertisements are not required for purchases under $50,000. Three quotes were submitted as noted below. First Choice Christmas Lights submitted the lowest quote meeting specifications. The low quote from Lightview Designs did not meet the department's specifications. They declined to meet staff at the specified location to review the requirements and the quote received was incomplete. First Choice Christmas Lights $28,000. Holiday Design Sisters $41,079. Lightview Designs $8,188. Staff recommends approval. JO/LW
