RECOMMENDATION:
City Council to consider award of RFP 385-2012 to Simpleview for Convention &Visitors
Bureau Website development and redesign, web content management system, customer
relationship management system, email marketing system, social media, e-commerce
system and hotel booking engine.
FUNDING SOURCE:
Funds for this purchase are available in account 115-44540-350-01 (Convention &Visitors
Bureau/Professional Services) in the amount of$150,000.00.
BACKGROUND INFORMATION:
The Convention & Visitors Bureau website was last redesigned in 2006 by Imaginuity
Interactive in the amount of$126,400. In 2005 there were 370,741 unique visitors to the
website,www.grapevinetexasusa.com. This has increased to 1,410,816 unique visitors in
2011. The website is a vital marketing tool, especially when reaching out to the individual
leisure traveler. In order to present Grapevine as the premiere leisure and convention
destination that it is, we need to create a first-class site that will be a resource for visitors,
meeting planners, group travel directors, tour operators and media. The new website will
also include enhancements of Content Management System (CMS) and Customer
Relationship Management (CRS) for the administrator interface.
Request for proposals were taken in accordance with Texas Local Government Code
Chapter 252.022. The Request for Proposal 385-2012 was issued for Convention &
Visitors Bureau website development and redesign, web content management system,
customer relationship management system, email marketing system, social media, e-
commerce system and hotel booking engine. The RFP was opened publicly on April 3,
2012.
Two firms submitted proposals, Simpleview and Collinson Media. Each firm presented to a
committee of staff members. The committee then evaluated and ranked the firms which
resulted in a tie. After meeting with a consultant, Troy Thompson, with Travel 2.0
Consulting Group, Simpleview was selected and a contract price was negotiated. The
project is anticipated to be completed within 26 weeks.
Staff recommends approval.

DATA INTEGRITY
Here at simpleview we place the integrity of client data and our developed data at the highest level of
importance in our disaster recovery plan.With that we have established the following efforts to ensure that
data is always as safe as possible.
DEVELOPMENT
In our development environment we have multiple
development servers that store and host our data for testing
and development purposes.This data is backed up daily to a
Network Storage device which is configured with RAID 5 to
ensure no data loss due to disk failure.Our daily incremental
backups are supported by Volume Shadow copy,which takes
several snapshots of the data throughout the day,allowing
our developers to recover a file or folder to a specific Point in

time ve ry easily.In the event of a server failure we are able

to recover data from the most recent backup onto another
server allowing our dev teams to continue working on
existing projects.We utilize MS SQL for our database back-end.The databases are backed up in full weekly
with daily incremental backups and transaction log snapshots throughout the day.These database backups
are stored on a direct attached storage device at our office complex to ensure ready access to the data for
recovery.

In our production environment we have multiple web and SQL servers running and serving our live data.All
of these are configured with RAID5 to allow for single drive failure without the loss of data.All web servers
utilize Volume Shadow Copy to take periodic snapshots of data to ensure that we are able to immediately
recover any inadvertently overwritten or corrupted file.All data is backed up daily on a redundant Storage
Area Network.This data is synchronized several times during the day to ensure that we have a recent copy of
production data on hand and available at all times.
We utilize MS SQL.for our database back-end.The databases are backed up in full weekly with daily
incremental backups and transaction log snapshots taken every hour.This data is stored on an isolated SAN
in the data center.All our web servers are built into a redundant and failover network to ensure maximum
uptime,in the event of a primary server failure,the transactions are migrated to a standby server that will
continue to manage the site and serve data while the primary is repaired or replaced.This is an automated
process and occurs very quickly.
