SUBJECT: AWARD OF RENEWAL OF AN ANNUAL CONTRACT FOR BID
290 -2007 TREE MAINTENANCE SERVICES
RECOMMENDATION:
City Council to consider renewal of an annual contract to Preservation Tree Services as
primary contractor for Bid 290 -2007 for tree maintenance services. Annual expenditures
will be limited to the budgeted amount of $345,000 for this service.
FUNDING SOURCE:
Funds will be limited to the budgeted amount for the following accounts:

119 -44540 -312 -9 General Fund /Lake - Parks /Professional Services
116 - 43301 -535 -1 Storm Drainage Utility Fund /Administration /Transportation
Infrastructure Maintenance

BACKGROUND:
Bids were taken iin accordance with Local Government Code Chapter 252, Subchapter
B, Section 252.021 (a) and Section 252.041 (a). Notice to bidders was published in the
Fort Worth Star Telegram on June 14, 2007 and June 27, 2007. The bid was opened
publicly on June 29, 2007.
The purpose of this bid was to establish annual fixed pricing for tree maintenance
services. This service included all general tree maintenance services. This contract has
allowed the Parks staff to increase and continue their excellent reforestation projects to
beautify the city. Their efforts have allowed the City of Grapevine to be honored as a
Tree City USA city for over 25 years.
Invitations to bid were issued to eight vendors with two vendors responding.
Preservation Tree Services, Inc. was the lowest overall bid that met all of the bid
specifications and requirements.
The bid specifications allowed for an initial one -year contract with four, one -year options
to renew. If approved, this would be the fourth and final renewal period. Preservation
Tree Services has provided this service in the past with satisfactory results and agreed
to renew the contract with no price increases.
Staff recommends renewal of an annual contract to Preservation Tree Services as
primary contractor for bid 290 -2007 for tree maintenance services.
