PURCHASE OF VIRTUAL SERVER SOFTWARE FOR THE
CITY'S INFORMATION TECHNOLOGY COMPUTER NETWORK
City Council to consider approval to purchase virtual server software for the Information
Technology department from Insight Public Sector. The total cost is not to exceed
$36,512.03.
FUNDING SOURCE:
Funding for this purchase is currently available in account 100 -44540 -101 -2 General
Fund/ City Manager /Technology /Professional Services and 117- 44540 -209 -4 Crime
Control District Fund/ CCPD/ CCPD Technical Services /Professional Services.
BACKGROUND:
Quotes were taken in accordance with City Purchasing Policy. Formal bids and
advertisements are not required for purchases under $50,000. Three vendors submitted
quotations. A copy of the quote tabulation listing all pricing received is attached for
review.
This purchase is for VMware software for the virtual server environment. This software
adds three important elements to the City's virtual server infrastructure. The first is the
ability to receive technical support for any issues that come up. Since almost all of the
data services we support are on virtual servers, this has become very important in
maintaining acceptable service levels. The second element is technical abilities that the
City will gain that allow better and faster recovery options during loss of service due to a
technical or natural disaster. Related to this is the automatic fail over during a server
outage that keeps services going as if nothing failed. The third key element the City will
gain is the fact that this software is a mandatory prerequisite for the virtual desktop
project that will be started this fall. The virtual desktop project will help improve
productivity throughout the City, be a better financial investment in the future compared
to physical personal computers, and save on utilities in the future.

Insight li Sector was the lowest quote that met specifications and has provided
software to the City in the past with satisfactory results.
Staff recommends approval.
