Call to Order of Regular Meeting — Chair Melva Stanfield Citizen Comments - Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation Board under Citizen Comments or on any other agenda item by completing a Citizen Appearance Request form with staff. A member of the public may address the Board regarding an item on the agenda either before or during the Board's consideration of the item, upon being recognized by the Chairman or upon the consent of the Board. In accordance with the Texas Open Meetings Act, the Board is restricted in discussing or taking action during Citizen Comments. 2. Welcome — Melva Stanfield 3. Adjournment The next meeting of the Grapevine Heritage Foundation Advisory Board will be at the Annual Meeting to be held on Thursday, November 10, 2022 at 7:00 pm at the Nash Farm 626 Ball Street, Grapevine, Texas. David Klempin, Manager, Heritage Programs & Preservation October 19, 2022 STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Grapevine Heritage Foundation (GHF) held their regular scheduled monthly meeting at 5:03 p.m. on Wednesday, October 19, 2022 in the 2"d Floor CVB Boardroom of the Grapevine Convention & Visitors Bureau, 636 South Main Street, Grapevine, Texas 76051. CALL TO ORDER AND CITIZEN COMMENTS Chairman Melva Stanfield called the meeting to order at 5:03 p.m. Citizen Comments - There were no citizen comments registered. Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation under Citizen Comments by completing a Citizen Appearance Request form. In accordance with the Texas Open Meetings Act, the Advisory Board is restricted in discussing or taking any action during Citizen Comments. 2. WELCOME Chairman Stanfield Welcomed the CVB staff and the GHF Board members. 3. MINUTES FOR APPROVAL Wendy Nelson made the motion to accept the minutes as written from the September 21, 2022 regular meeting. Frances Jensen seconded the motion, which prevailed unanimously in the following vote: Ayes: 6 (Stanfield, Franks, Nelson, Jensen, Kellerman, Stein) Nays: 0 None 4.OLD BUSINESS GHF OCT 19, 2022 October 19, 2022 A. Membership Report — David Klempin David Klempin presented the membership report. The current membership is 163. We received $3,000.00 sponsorship for the Harvest Moon Supper and 3 bricks ordered, 2 at the Palace Arts Center and one placed at Nash Farm at $100.00 each and 3 membership renewals for September. We continue collecting money for the large brick for the Jolliff family brick to be placed at Nash Farm. $200.00 has been collected and still need $300.00. This month donations received was $3,300.00. B. Sponsorship Report — David Klempin Mr. Klempin reported we are currently at $26,750.00 in sponsorships. C. Nash Farm Report — Cody Scallions Cody Scallions reported a bus tour with September Recap from last month's report. First Friday program 'Waste not want not" was attended by 136; they had 2 Homeschool Days with 401 participants; Heather Egan brought in 5 journalists from New Zealand and Australia; The Italian Car Fest brought in 1225 attendees; casual attendance as is 924. Total guests for September was 2,809. Our First Friday theme for October was "Cowboy Cooking" with 252 in attendance; the Harvest Moon Supper had 63 guests; the Barn Dance had 90 participants and the Pie Auction collected $1,600.00 for educational programs some folks even made additional donations when paying for their pies; thank you to all for being there; the Fall Round -Up had 1,200 in attendance; we had a bus tour with 50 at the farm, which included a Chuck Wagon Supper; the casual visitation is 566; total visitation for the month of October so far is 2,271. Home School day is scheduled with 344/350 tickets sold; elementary school scheduled with 125 kids; "Bewitched by the Barn" is Oct. 28 from 7-9PM; 6 more tours scheduled with 530 people; Carrolton Special Needs Booster will visit with 200 kids on Oct 29. D. 2022 Candlelight tour of Homes — Francis Jensen reported on this years Candlelight Tour of homes scheduled Sunday, November 6, 2022 the time is 3-6 p.m. starting at the International Sister City Friendship Hall at 609 South Church Street in the Ted Ware Plaza. When the people check in they will be directed to the table with Katie and Francis where they can pour them a small sample of wine and give them an overview of the tour. There will be 2 shuttle busses, they could walk The Pre -Tour will be Friday Nov. 4th at 6 p.m. it will also start at the International Sister City. It is for the homeowners, docents, the GHF board and CVB Heritage staff to go over some important information at that meeting. A copy of the docent instructions and information will be presented. Volunteer sign up for greeters for each home to welcome attendees and needing more volunteers to sign up. Ticket table will need 4 to 6 volunteers with 3 I -pads and for putting on the wrist bands. Greeters 1 for each home and David will reach out to each homeowner about the docents. We want the event set-up done 1 hour before the start time. Name badges need to be ordered for the new board members. E. 2023 Calendar - David Klempin reported that he is finalizing the calendar and working with Scott from the CVB marketing department. He doesn't have anything to show today but he will be meeting with the Calendar Committee for review to finalize it. With hopes to have it ready for distribution at the Annual GHF Meeting on Thursday, November 10, 2022 at 5:30 p.m. at 2 GHF OCT. 19, 2022 October 19, 2022 Nash Farm in the Dr. Curtis and Linda Ratliff Pole Barn. With a dinner and followed by the meeting. 5. NEW BUSINESS A. Nash Farm Volunteer Recruitment - Cody Scallions said he is using Volunteer Local on- line to obtain the contact information for people interested in volunteering, he currently has 40 new volunteers on his list. Question about the Old Newsletter, it should have a list of emails he could add to the list. B. Membership brochure, application and recruitment - Melva suggested a brochure like the Grapevine Historical Society has. We could present a one -page brochure that mentions what's great about Grapevine's heritage and history and who we are and what we are looking for. We are looking for people who care and to be advocates for preservation. This brochure could be shared with the newer residents of Grapevine and to educate the community and younger generation. Melva mentioned we need a bit more social media presence as well. Duff O'Dell mentioned that some residents hosted a Street Party, like the old "Porch Party" it was on Texas Street recently, we were not told about this event until after it was done. 6. LIAISON REPORTS A. Grapevine Convention and Visitors Bureau Liaison Report — Paul W. McCallum CVB Director McCallum reported Grapefest was a huge success it is in the top 3 of all the Grapefests. We had over 2,000 volunteers. The CVB is hiring a new volunteer coordinator to join the CVB staff. The steering committee meeting is wrapped up, it had a really great vibe. The Charites and Civic Service Clubs raised over $200,000.00 that the CVB paid out to the various organizations. The attendance was around 240,000 visitors, it was a great turnout. We increased the investment and the revenue was a good return. The new Festival and Events team was very impressive and receptive to many new ideas from many different people involved in the team and steering committee. The Group Convention Business is on the increase and we are seeing the bookings for new business for 23 and 24 not just returning from the pandemic and they just booked something for 2030. The International Leisure Business is seeing more business with the higher number of direct international flights at DFW airport daily and the airport is processing the people more quickly. The Hotel business has picked up as well. We have picked up many new business opportunities from the Dallas area. Regional Leisure business is doing well and keeping busy. Day out with Thomas, the past 2 weekends has been very successful, after the train they go to Main Street and eat at the restaurants and shop a bit. The new budget year starts Oct 1. Personnel is a big challenge right now at the CVB. The Ice -Skating Rink opens on November 18 at 2 p.m. as a soft opening. The Carol of Lights is the official opening of the Christmas Capitol of Texas on Nov 21. Parks and Recreation is suggesting a rolling event starting at the Peace Plaza on Grapevine Main and working its way down Main Street and conclude with a firework show around City Hall. There will be 2 shows, so more people get a chance to share in on the grand experience. B. City Council Liaison Update — Council Member Duff O'Dell Council Member Duff O'Dell reported that early voting starts on October 24 at the Library; 100t" anniversary of the library with a party on Oct 24th. Monday, November 7t"; The Banquet of the Grapevine Historical Society at the CVB Grand Hall $20.00 for tickets they 3 GHF OCT. 19, 2022 October 19, 2022 can be purchased on line, Lifetime Member Induction presented to Joan & Roy Stewart, Dinah Lou Dennis, and Bob Burrus. The award is a big honor; There is a Ukrainian delegation team in town working with Carter Blood Care and learning new techniques with blood care. Saturday, Oct 15th was the dedication of the Nash Farm Pole Barn to Dr. Curtis and Linda Ratliff followed by the Fall -Round Up, at the Grapevine Botanical Gardens was the Butterfly Flutter -by event, and then the hopefully the first Inaugural Event of the Hispanic Heritage Month with a Cultural family event with families and groups from Chile, Mexico, Argentina, Guatemala, Puerto Rico and more with musical entertainment of mariachi band and wonderful violin addition to the band. At the Grapevine City Council meeting held Oct. 18 many new updates; a new restaurant the Bohemian Bull with burgers and bar, located at 1112 West Northwest Highway; Stand Rock Resort and Waterpark partnering with Johnson Controls will be a 661-room hotel with 4 or 5 restaurants on 185 acres as a Grapevine waterfront hotel located at 3509 North Grapevine Mills Boulevard; A report from Francis Jensen about the Palace Theater. Oct. 14 at we had 214 people at the movies with many new guests that loved the show. Halloween movies kicking off with a full schedule. Holiday movies will sell out early, live events will sell out as well. With a great holiday lien up of movies and shows November through the new year. November is the 82nd Anniversary to the Palace Theater. 7.
