The City of Grapevine Parks and Recreation Board met Thursday, June 19, 1997 at 7:00 p.m. at City
Hall, 200 South Main Street, Grapevine, Texas with the following members present, to wit:

The meeting was called to order at 7:05 p.m.
A presentation of plaques was made to outgoing past board members by Larry Atchley. An
introduction and Oath of Office was given to Hayden Smith, Ryan Wade, Art Pierce. Ruth Nichol,
&rods -Haines and Roy Robertson were renewed.

A motion was made by Ruth Nichol and seconded by Barbara Johnson to approve the minutes of
the May 15, 1997 meeting. The motion passed unanimously.
Citizen Requests:
Vicky Dean, a representative of the Seekers & Keepers Club, expressed concerns of policies for non-
profit group reservations. They have been using the Merlot Room since December 1995 on a
monthly basis. The group has a post office box in Grapevine and is a 501(c)7 organization. Doug
Evans and Larry Atchley expressed some of the reasons for fees and restrictions associated with
them. Roy asked how many of the clubs members were Grapevine residents. The answer was that
2 or 3 out of 50 members were Grapevine residents and that the majority of members are from the
Mid -Cities area. Ms. Dean asked to attend the Facilities Committee Meeting on June 20, 1997. The
question arose as to whether this was a public meeting or not.
New Business
Doug Evans presented an orientation to all members.
A request from Gary and Debbie Poyser to adopt Kimball Road was made. Art Pierce made a
motion to approve the adoption and it was seconded by Barbara Johnson. The motion passed
unanimously.
A request from the McCracken family to adopt Kimball Road from Silvercrest Lane to Lakeridge
Drive was made. Linda Dobbs Willis made a motion to approve the adoption and it was seconded
by Hayden Smith. The motion passed unanimously.
Grapefest was discussed. Maps for trails with park locations on the back were suggested. Plan for
an orientation prior to Grapefest.
Reports
Doug reported on Dove Pool, Hwy. 26 Trail, Lake Grapevine Trail, and Oak Grove field 43.
A motion was made by Linda Dobbs Willis and seconded by Barbara Johnson to adjourn. The
motion passed unanimously and meeting adjourned at 9:00 p.m.
Miscellaneous Board Items
Sun & Ski Sport and the Prom at Scott's Marina were discussed.

V. NEW BUSINESS
A. Appointment of the Student Liaison to the Parks & Recreation Advisory
Board
There were two applicants for the Student Liaison to the Parks &
Recreation Advisory Board. Both candidates will be interviewed prior to
the meeting and a recommendation will be forthcoming.
B. Presentation of financial nd participation reports from the Grapevine
Baseball/Softball Association. the Grapevine/Southlake Soccer
Association. the Grapevine Pee Wee Football Association and the
Women's Tennis Association
Representatives from each of the Boards will be present to answer any
questions that the Board may have regarding their associations.
According to the Athletic Facilities Policy, these co-sponsored
organizations are required to present their reports at the July and
November Park Board meetings, however, staff has required them to
present their reports at the July meetings only for the past couple of
years.
C. Consideration of a request from the Glade Crossing Neighborhood
Association for the Adopt -A -Park Program for Glade Crossing Park
Enclosed is the application for the Adopt -A -Park program submitted by
the Glade Crossing Neighborhood Association for Glade Crossing Park.
The agreement is for a period of two years and requires the association
to perform various tasks including litter pickup, flower planting, etc. a
minimum of six times per year. Staff recommends approval.
D. Appointment of a Committee Chairperson to coordinate the volunteers for
the Parks & Recreation booth at Grapefest
Chairperson Larry Atchley will appoint a Committee Chairperson to
coordinate the volunteers for the Parks & Recreation booth at Grapefest.
