Call to Order of Regular Meeting — Chair Melva Stanfield Citizen Comments - Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation Board under Citizen Comments or on any other agenda item by completing a Citizen Appearance Request form with staff. A member of the public may address the Board regarding an item on the agenda either before or during the Board's consideration of the item, upon being recognized by the Chairman or upon the consent of the Board. In accordance with the Texas Open Meetings Act, the Board is restricted in discussing or taking action during Citizen Comments. 2. Welcome — Melva Stanfield 3. Adjournment The next meeting of the Grapevine Heritage Foundation Advisory Board will be at held on Wednesday, May 17, 2023 at 5:00 pm at the Grapevine Convention & Visitors Bureau, 2r,d Floor Boardroom, 636 South Main Street, Grapevine, Texas. David Klempin,� Manager, Heritage Programs & Preservation April 19, 2023 STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Grapevine Heritage Foundation (GHF) held their regular scheduled monthly meeting at 5:00 p.m. on Wednesday, April 19, 2023 in the 2"d Floor CVB Boardroom of the Grapevine Convention & Visitors Bureau, 636 South Main Street, Grapevine, Texas 76051. CALL TO ORDER AND CITIZEN COMMENTS, Chairman Melva Stanfield called the meeting to order at 5:00 p.m. Citizen Comments - There were no citizen comments registered. Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation under Citizen Comments by completing a Citizen Appearance Request form. In accordance with the Texas Open Meetings Act, the Advisory Board is restricted in discussing or taking any action during Citizen Comments. 2. WELCOME Chairman Stanfield Welcomed the CVB staff and the GHF Board members. 3. MINUTES FOR APPROVAL Chairman Stanfield stated that with no quorum to vote the minutes, they will have to wait till the next meeting. GHF April 19, 2023 April 19, 2023 4. OLD BUSINESS A. Membership Report — David Klempin David Klempin presented the membership report. The current membership has 165 active members. Renewals have been coming in strong. Donations we have received in March are $13,100 that number includes the Nash Farm Sponsorships. B. Sponsorship Report — Balla Wright Balla Wright reported the 2023 Nash Farm Sponsorship is at $22,500.00. We are missing the Farm Bureau Sponsorship that Cody Jolliff had brought in last year. Cody Scallions has reached out to them recently with no response yet. C. Nash Farm Report — Cody Scallions Cody Scallions reported that March First Friday was "Spring on the Farm" with 119 in attendance; for Spring Break we had 940 visitors; School tours and group tours brought in 370 people; the Biscuits ,and Butter Workshop was sold out with 13 in attendance; Casual visitation was 1520 people visit the farm for the month of March we had a total 2046 visitors. April's First Friday event was "Easter Party" and had 231 in attendance; Home School Day had 74 participants; we have had 5 School Tours so far with over 400 people; and we have 6 more expected; 2 farm rentals are scheduled; thus far, the total is 1282 visitors and we expect the monthly total to be higher than March. We have big plans for this Saturday with "Spring into Nash"; then the next Saturday is the "Farm to Fork Fundraiser Supper' with a total of 60 tickets available. 5. NEW BUSINESS A. 2023 Preservation Advocacy Award — David Klempin David Klempin reported that May is Historic Preservation Month and we will be presenting the Preservation Advocacy Awards at the City Council Meeting on May 2, 2023 6:30 PM with a reception to follow in the Mayors Signing Room. He shared the 2 award winners that have been selected. Preservation Proiect Award — 1936 B. R. Wall House, 415 South Dooley Street. The owners kept the original wood floors and siding and matched the siding on their storage shed, along with opening up the front porch to uncover the original detail. Conservation Proiect Award - 1908 Roberson House, 608 South Dooley Street. It was moved from the other side of Grapevine Lake by the city and was placed on a vacant lot in the Township. The owners brought back the upstairs balcony with the original spindles and added the original front porch posts and period appropriate windows. B. Annual GHF Meeting date change- Nov 2 or 16 are the options to consider due to staff and board members planning to attend the National Trust Conference in Washington DC on November 8, 9, & 10 2023. The 2"d of November is recommended due to the following Thanksgiving Holiday week. We will vote on this at the next meeting. 2 GHF April 19, 2023 April 19, 2023 C. Update on Spring into Nash — Cody Scallions Cody Scallions reported Spring into Nash is Saturday April 22, from 10am to 2pm. All are encouraged to attend. The activities are ready to go. The GHF table is to be staffed with GHF board members; David Stine 12-2 pm, Wendy Nelson and Courtney Fray 10-12 pm, Austin Kellerman 2 pm to breakdown, Duff O'Dell 9-11:30 am. A GHF table is planned with board members to talk about GHF and share our GHF story. We have pull-up information about farming and sandwich board signs. Volunteer sign up sheets will be available along with membership forms, sponsorship forms and a donation jar. A shuttle will run continuously from Cannon Elementary and the Botanical Gardens. The barricades will be put up at Cabernet Court and Briana Court on Friday before the event and removed promptly after the event. D. Update on the Farm to Fork Fundraiser Dinner- Cody Scallions and Balla Wright The Farm to fork Fundraiser will be held April 29, 2023 from 6 to 9 PM. We are pushing for more sales with the CVB Marketing team. Balla Wright reported that Justin Mason is the entertainment and he will perform at no charge to GHF. We will auction off the Scooter, 4 Christmas Wine Train Tickets and Naming of a Lamb. There are 60 tickets to sell at $125.00 each and they can be purchased online. E. Grapevine Heritage Foundation Brochure Report — Melva Stanfield Chairman Stanfield reported that the new GHF Brochure is underway. She said the text will be provided by the Historic Preservation staff. The focus is on the concept, layout and photos. We hope to have it by Main Street Fest if possible. Francis is in Houston on a family matter. The committee will meet again in a few weeks. F. Calendar Committee Report — Melva Stanfield Chairman Stanfield reported that the Calendar Committee has come up with the pictures slated for each month. The theme is "Unforgettable Grapevine". The calendar will illustrate what makes Grapevine unforgettable. It will include photos of Main Street, residential homes and iconic buildings that have been restored and stories about them, why it matters and why we are restoring them. 6. LIAISON REPORTS A. Grapevine Convention and Visitors Bureau Liaison Report — Chris Laugenour Chris Laugenour reported that the CVB Executive Director Paul W. McCallum is in the Barossa Valley of Australia a new Sister City to Grapevine. The New Vintage Wine Trail and fine art show was last weekend and it was a huge success. City Council has approved a study of the Convention Center to see how we can improve the usage and update the building. The Jazz Wine Train is doing well and is sold out on all three of the Friday night trains. We have Main Street Fest coming up May 19 — 21. The GVRR has hired a new employee who has a theatrical background to help us institute a program including a "Train Heist" on all excursions of the train. B. City Council Liaison Update — Duff O'Dell 3 GHF April 19, 2023 April 19, 2023 Council Member Duff O'Dell reported from the recent City Council meeting. The biggest news is that Sam's Club that was damaged by a tornado in December 2022 will not be reopening. The City Manager and Council tried hard to get them to stay, but in the end the answer was not changed. Monthly awards were presented such as fire prevention. One of the things that was voted for approval was the new lighting system at the Palace Theater. The next regular meeting of the Grapevine Heritage Foundation is scheduled for May 17, 2023. 7. ADJOURNMENT There being no quorum to vote to adjourn the meeting so it ended at 5:52 pm.
