1. Call to Order of Regular Meeting — Dr. Curtis Ratliff
2. Citizen Comments - Any person who is not scheduled on the agenda may address the Grapevine
Heritage Foundation Board under Citizen Comments or on any other agenda item by completing a
Citizen Appearance Request form with staff. A member of the public may address the Board
regarding an item on the agenda either before or during the Board's consideration of the item, upon
being recognized by the Chairman or upon the consent of the Board. In accordance with the Texas
Open Meetings Act, the Board is restricted in discussing or taking action during Citizen Comments.

The next meeting of the Grapevine Heritage Foundation Advisory Board will be held on
Wednesday, August 17, 2022 at 5:00 pm at the Grapevine Convention & Visitors Bureau,
2nd Floor Board Room, 636 South Main Street, Grapevine, Texas. If you plan to attend this public
meeting and have a disability requiring special arrangements, please contact the Office of Historic
Preservation at 817-410-3185 at least 24 hours in advance. Reasonable accommodations will be
made to assist your needs.
In accordance with Texas Government Code, Chapter 551.001 et seq. Acts of the 1993 Texas
Legislature, the Grapevine Heritage Foundation Meeting agenda was prepared and posted by the
14th day of July, 2022 at 5:00 pm.

The Grapevine Heritage Foundation (GHF) held their regular scheduled monthly meeting at 5:00 p.m.
on Wednesday, July 20, 2022 in the 2nd Floor Boardroom of the Grapevine Convention & Visitors
Bureau, 636 South Main Street, Grapevine, Texas 76051. Present were:

1. CALL TO ORDER
Chairman Curtis Ratliff welcomed all and called the meeting to order at 5:02 p.m.
2. CITIZEN COMMENTS
There were no citizen comments registered.
Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation
under Citizen Comments by completing a Citizen Appearance Request form. In accordance with the
Texas Open Meetings Act, the Advisory Board is restricted in discussing or taking any action during
Citizen Comments.
3. APPROVAL OF MINUTES
Treasurer Balla Wright made the motion to accept the minutes as written from the May 18, 2022,
regular meeting (June regular meeting was canceled). Janet Perkins seconded the motion, which
prevailed unanimously in the following vote:

Membership Report — Janet Perkins
Secretary Janet Perkins presented the membership report. The membership is at 165 active paid
memberships to date with more renewal notices sent out this month. This month $200.00 in donations
was received.
Sponsorship Report — Balla Wright
Treasurer Balla Wright reported there was no change.
The sponsorships are currently at $26,750.00.
Nash Farm Report —Vice Chairman Melva Stanfield
Vice Chairman Melva Stanfield reported the May numbers for First Friday program "Sheep to Shawl"
was attended by 412; the baseball game had 131 in attendance; there were 4 school tours with 266
participants; 35 Strategic Government Resources (SGR) employees came to the farm for a team
building event and cooked their own supper. 1 Bus tour from Pennsylvania of 40 Senior. 1
Homeschool Day that had 82 participants; 5 people attended the 1920s Cloche Hat workshop; the
casual attendance 825; Total attendance for May was 2,088 people.
The June figures at Nash Farm thus far were: First Friday "School's Out!" 225; Dairy Day had 150
Participants; Homeschool Day brought 63 attendees; there were 9 school tours with 247 participants;
2 groups with 30 people; The casual attendance so far is 940 and total attendance for June is 1,660.
June was very hot and muggy this year.
To date for the month of July 2022 were: First Friday "Patriotic Picnic" was attended by 128;
Homeschool day had 49 participants — temp was 104. Casual visitation as of July 12 is; 296; 3 tours
expected and 1 wedding booked for the end of July; Current total attendance is: 273 the heat wave
continues.
The board discussed purchasing a big brick 12x12 for Cody and his family at $500.
Donations towards this are appreciated.
Candlelight Tour of Homes-
CVB Executive Director P.W. McCallum noted that the Heritage Preservation Programs Manager
David Klempin is moving forward with the Candlelight tour. Mr. Klempin is approaching the
Preservation Award winners with hopes they will all want to be on the tour this year.
The Candlelight tour is scheduled for Sat. November 5, 2022
2023 GHF Calendar -
Janet Perkins told us that she has put in over 90 hours towards the 2023 GHF calendar. Plans are to
feature the 2022 Advocacy Award Winning Houses and showcase photos of the old original houses
and the newly preserved houses. The committee plans to recognize the sponsors and donors as well.
They still need pictures of good quality to help make this calendar a success.
5. NEW BUSINESS
Grapevine Heritage Foundation 2022-23 Proposed Budget for Consideration -
Chairman Curtis Ratliff called on Paul W. McCallum to present the proposed budget for the 2022-23
Foundation's budget for the board's consideration. Mr. McCallum noted the approved budget will be
;n effect starting October 1, 2022.

The Revenue is budgeted as follows; Nash Farm revenue production has a slight increase at $86,900
with the addition of some new programs; Palace Arts Center is the same at $8,800 the numbers will
stay the same with hopes of returning to the pre -pandemic numbers with a boost in communications
from the Social Media Program in place; Grapevine Heritage Foundation Total is projected at
$24,000, the return of the Candlelight Tour would generate more revenue; CVB support for the
budget would be $25,200; Total Revenues are budgeted at $144,900. The new normal is the old
normal at the CVB with everything getting back to full throttle.
On the Expense side, Nash Farm $122,050 is a little up from last year; Education $9,100; Palace Arts
Center $4,400; Grapevine Heritage Foundation $9,350; Total of Revenue and Expenses for the GHF
are: $144,900.
Curtis Ratliff called for a vote.
Vice -Chairman Melva Stanfield made the motion to approve the proposed budget as presented; Sue
Franks seconded the motion; which prevailed in a vote of approval:

Janet Perkins announced that her application was submitted late when she was reapplying for the
2022-23 GHF Board, so she is currently not on the board for the next year.
Chairman Curtis Ratliff announced that he will no longer serve on the GHF Board. He is one of the
earliest dues paying member and has served in multiple capacities for the past 26 years. He has
other commitments that are keeping him busy and health concerns are the factors in his decision. He
still plans to be involved with the Heritage Foundation and in the Grapevine community.
The Grapevine Heritage Foundation Board has 2 new board members that were approved at the
Grapevine City Council Meeting held on Tuesday July 19, 2022. They will be sworn in at the August
meeting: Austin Kellerman and David Stein.
Kimberly Prack is on FMLA leave for a medical procedure and is doing well with her recovery. She
will be returning to Nash Farm in August.
Cody Jolliff sent an update that he has accepted a position as Manager of Festival and Events at
Powell Botanical Gardens in Kansas City, Missouri. He has also found a house with plans to make it
into their home. The board was pleased to hear this news.
The CVB has found a person to fill the role (recently vacated by Cody Jolliff) of Manager of Heritage
Museums and Education Programs. The offer was made and accepted, with hopes for him to start in
mid -August.
6. LIAISON REPORT
City Council Liaison Update — Council Member Duff O'Dell
Council Member Duff O'Dell reported that last night at the council meeting there were 8 zoning cases.
The developers are coming back to life with many new small businesses. The Council approved for
Christmas Capital of Texas (CCOT) to have an Ice -Skating Rink, a larger live tree this year and other
small changes.
Plans are being developed for traffic and crowd with more security presences.

Grapevine Convention & Visitor Bureau Liaison Report - Executive Director Paul W. McCallum
Mr. McCallum said North Pole Express tickets go on sale Tuesday, July 26th at 10 a.m. Regarding
the Ice -Skating rink, plans are for it to be open November 18, 2022 — January 8, 2023 with hours 4-10
p.m. to start, closer to the busy time it will be an earlier start time. The ice will be 90 ft x 50 ft with a 30
ft x 40 ft On/Off area to put skates/shoes on. It will be built on a platform over the fountain in
Founders Plaza. The ice-skating rink rental is $20./hour for everyone. With a turn -key operation
company, Ice Challenge Enterprises. With options to rent the ice earlier for private parties for $500.
per hour for a corporate or private event. Cinderella's Coach will be there, the Reindeer will be in the
area. The drones are scheduled for December 3rd and 17tn. The CVB will be paying for the electricity
for the Ice and lighting. There is a plan in place for safety that has been in the works for a while now.
The CVB is adding 60 part time people, to serve as Ambassadors/Night Watchmen to monitor the
Plaza, the Christmas Village; Crossing Guards for the railroad crossing and to have people work
around the clock to repair any items that get damaged daily. The CCOT draws people to Grapevine
with the hopes to keep drawing visitors back to Grapevine all year round.
GrapeFest is Sept 15tn-18tn They are getting ready with a full Festival & Events Team that has many
exciting new things, and all the steering committee meetings are going great.

adjourn the meeting at 6:06 p.m.
