City Council Report — Grapevine Heritage Foundation Council Liaison Duff O'Dell ZME= The next meeting of the Grapevine Heritage Foundation Advisory Board will be at held on Wednesday, September 20, 2023 at 5:00 pm at the Grapevine Convention & Visitors Bureau, 2nd Floor Boardroom, 636 South Main Street, Grapevine, Texas. CALL TO ORDER AND CITIZEN COMMENTS, Chairman Melva Stanfield called the meeting to order at 5:03 p.m. Citizen Comments - There were no citizen comments registered. Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation under Citizen Comments by completing a Citizen Appearance Request form. In accordance with the Texas Open Meetings Act, the Advisory Board is restricted in discussing or taking any action during Citizen Comments. 2. WELCOME Chairman Stanfield welcomed the CVB staff and the GHF Board members. 3. OATH OF OFFICE The 0 L ath of Office was administered by the Grapevine Historic Preservation Programs Secretary Kayce Vanderpool to Stephanie Wright to the Grapevine Heritage Foundation Advisory Board. 4. MINUTES FOR APPROVAL, Chairman Stanfield suggested we approve the Minutes from the Julv 19, 2023 meeting. Balla Wright made a motion to approve the Minutes as written from the July 19, 2023 regular meeting. Wendy Nelson seconded the motion. Ayes: 5 (Stanfield, B. Wright, Nelson, Fray, S. Wright) Nays: 0 None Absent: 4 (Jensen, Franks, Stein, Kellerman) 4. OLD BUSINESS, A. Membership Report — David Klempin 1 David Klempin presented the membership report. The current active membership ha active members. There were no donations received during July. I B. Sponsorship Report — Balla Wright Balla Wright reported the Sponsorship is currently at $22,750.00. She said she plans to start earlier in 2024 and is working with staff to re -structure the sponsorship levels to provide more varieties of sponsorship. C. Nash Farm Report — Melva Stanfield Melva Stanfield reported that July's First Friday theme was "Secrets of the Museum". It was attended by 108 people; 5 tours brought 178 students; the lee Cream Social had 267 guests; Homeschool day had 51 attendees; Casual visitation for June was 728; total visitation was 1,332 people. With 66 volunteer hours logged. July has been a hot month, slowing down the number visitors. August's First Friday "MeMe's Pickles" was attended by 44; 1 tour with 15 students; Homeschool day had 42 attendees; Casual visitation for August so far is 247 bringing it to 2 total of 348 visitors. Cody Scallions said that the planning is underway for the Fall Round -Up (Oct. 14). Attractions will be changing due to the rising costs of contract rental, pony rides etc. The Nash Farm Staff are training the sheep to be led as a Round -up activity. The event will be free, with only a cost for the concessions, The idea is to bring them to the experience with the culture of the farm, and then they can go to Main Street to eat and shop. Duff O'Dell brought up some different ideas to bring events and volunteers to Nash Farm; hosting birthday parties with donations verses gifts. Cody spoke about the long-term goals of encouraging return visitation and the idea of community involvement by volunteering at the farm. D. Grapevine Heritage Foundation Brochure Report — Melva Stanfield Melva Stanfield reported that the Brochure Committee has progress with mock ups and is planning a meeting for with the Committee soon. 2 GHF Minutes August 16, 2023 Wendy Nelson reported they have pictures and a mocked -up calendar. The Committee is scheduling to meet soon. 5. NEW BUSINESS Melva Stanfield shared the sad news that Liz Covington, a longtime Nash Farm Volunteer, she was a story teller and has worked in the kitchen for many years at Nash Farm has passed away. Melva suggested the GHF Board honor her with a 12X12 Brick at Nash Farm and to share the recognition with her family. Courtney Fray made a motion to approve purchasing a big brick to honor Liz Covington. Balla Wright seconded the motion. Motion to install a large brick passed with the following vote: Ayes: 5 (Stanfield, B. Wright, Nelson, Fray, S. Wright) Nays: 0 None Absent- 4 (Jensen, Franks, Stein, Kellerman) Wendy Nelson asked why the Butterfly Flutter -By and the Fall Round -up are split up. Mr. Scallions told her that the CVB doesn't want to be competing with ourselves. The Round -up would be competing with Day -Out with Thomas and the tickets are already sold out for the train. Cody said to send contact info for volunteers to the Farm staff. The GHF Board will need help at the farm for the event. S. PAISON REPORTS A. Grapevine Convention and Visitors Bureau Liaison Report — Chris Laugenour Chris Laugenour gave a report on the 1905 Nash Farm it roof has been finished. The plans for the fire suppression system will be the next project for the it and the Ice House and they are working with the fire department and other city departments with the preliminary planning. The CVB is busy preparing for Grapefest. A Formal Sister City Accord signing with Barossa Valley Australia will be held Saturday Sept. 16 at 4 p.m, at Liberty Park Plaza. Many guests including 37 dignitaries, some from our other Sister Cities in Parras de la Fuente, Mexico and West Lothian, Scotland plan to attend. This will be a catered BBQ dinner at Nash Farm for this Sister Cities delegation. The Pole Barn Extension project is in the final design stages and we plan to move forward as soon as possible. The Palace had an interior stage lighting upgrade. There was a major power serge recently. Equipment was installed to protect all the new equipment. 5. City Council Liaison Update — Duff O'Dell Councilwoman Duff O'Dell reported that the Council Workshop finalized the Budget for 2024 and it would be approved at the September Council meeting. She also shared that many new business developments are in the works, and many businesses are wanting to come to Grapevine. 3 GHF Minutes August 16, 2023 A 2,500 square -foot jump house was approved to be installed at Grapevine Mills Mall parking lot for 2 months. It's a bounce house, magnified 20 times the price is $24. for a 90- minute session. Gun Control plans have been developed for the school district are now in place with safety measures that include safety officers on site at each school. There is a screening process to enter the schools and bullet resistant glass has been installed for safety, along with many other upgrades to each school. The next regular meeting of the Grapevine Heritage Foundation is scheduled for September 20, 2023. 7. ADJOURNMENT At 5:45 p.m. Balla Wright made a motion to adjourn the meeting, Courtney Fray seconded the motion. The meeting was adjourned at 5:45 p.m. with the following vote: Ayes: 5 (Stanfield, B.
