ADJOURNMENT E Y Y STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE MINUTES The Grapevine Convention & Visitors Bureau Board of Directors met on Thursday, August 21, 1997 at the Wallis Building, One Liberty Park Plaza, Grapevine, Texas with the following persons in attendance: Don Bigbie Chairman Phil Parker Board Member Gary Blagg Board Member Bill Brink Board Member Philip Cloud Board Member 11 Gayle Hall Board Member Colin Ankersen Board Member Jerry Pittman Council Liaison 111 Paul W. McCallum Executive Director George Kakos Director of Sales & Marketing Neva Frymire Chamber Representative Javier Rodriguez Director of Tourism Absent: Steve Trent Board Member Kathee Livengood Board Member Roger Nelson Interim City Manager ICALL TO ORDER Mr. Bigbie called the meeting to order. 111 OATH OF OFFirF, Colin Ankersen took the oath of office. APPROVAL OF MINUTES III A motion to approve the minutes from the June 19, 1997 Board Meeting was made by Phil Parker seconded by Bill Brink. Motion carried. OLD RITSINESS Sister City Report- Mr. McCallum reported that funds to purchase an ambulance for Grapevine to donate to Parras de 'la Fuente were raised by our community volunteers. Those groups include the Heritage Ambucs, Grapevine Ambucs and Grapevine Rotary Club. Baylor Medical Center of Grapevine and the Grapevine Fire Department,who donated medical supplies and equipment. He reported that that many of Parras de la Fuente's business clubs attended the formal presentation. Mr. McCallum reported that Susan Pittman made many inroads in connecting school officials from IL both cities. He commerated Javier Rodriguez for his professional, unmatched work ethic which was demonstrated during the entire project. It was the general consensus of the board members, who participated in the cultural exchange, that the program was a complete success with benefits I Board of Directors Meeting August 21, 1997 Page 2 of 3 Sister City Report (cont.)- to be seen for years to come for both cities. Javier Rodriguez reported that that a delegation of officials from Parras de la Fuente are expected to attend GrapeFest next month. He also reported that Mr. McCallum and himself will meet with officials in Eagle Pass, next week, to take possession of the donated ambulance. NEW BUSINESS GrapeFest Update- Mr. McCallum reported that Ross Bannister and the GrapeFest Steering Committee has done an III incredible job expanding activities for the festival. He added that they are looking to grow attendance in several areas including the Auction on Friday night and the afternoon events. He said that the wineries were donating more items this year for the Auction and ten countries will be represented at the International Wine Tasting. Mr. McCallum reported that a wine barrel maker known as a "cooper" will be brought in from California. He will be producing three wine barrels over the weekend which will be auctioned off. The media event on Thursday, September 11, will be a "Champagne Cork Shoot Off' featuring P the Guiness Book of World Records holder Dr. Heinrich Medicus. GRANTS-TN-AID REQ[TESTS The Texas Old Guard Fife and Drum Corps- A Grants in Aid request in the amount of$2,500 was made. Discussion followed. A motion to grant the request was made by Gayle Hall, seconded by Bill Brink. Arts Council of Northeast Tarrant County- A Grants-in-Aid request in the amount of$6,000 was made. Discussion followed. A motion was made by Bill Brink, seconded by Gary Blagg to grant $3,780 and the organization may reapply for the remaining amount of funds needed after October 1, when the new fiscal year begins. SALES ANT) MARKETING REPORT Mr. Kakos reported: - Sales staff is continuing to increase leads production and July proved to be the best month of the year with bureau assisted hotel booked business at $2,961,774. - A local market Familiarization Tour will take place GrapeFest weekend to showcase Grapevine's hotels, attractions and city. Illi - Javier Rodriguez is working on some tourism programs with the Grapevine Mills and American Airlines for the Latin American market. r EXECUTIVE. DIRECTOR'S REPORT midi - Mr. McCallum thanked all Board Members and Councilman Pittman for their tremendous NIB service beyond attending the regularly scheduled Board Meetings. 0 ADJOURNMENT There being no further business to bring before the Board, Mr. Bigbie called for a motion to isadjourn.
