MINUTES
The Grapevine Convention & Visitors Bureau Board of Directors met on Thursday, March 20,
1997 at the Wallis Building, One Liberty Park Plaza, Grapevine, Texas with the following persons
in attendance:

CALL TO ORDER
Mr. Bigbie called the meeting to order.
APPROVAL OF MINUTES
A motion to approve the minutes from the February 20, 1997 Board Meeting was made by Bill
Brink; seconded by Kathee Livengood. Motion carried.
OLD BUSINESS
New Vintage Update-
Mr. Kakos reported that preparations for the New Vintage Festival was progressing well. The
Blessing of the Vine will be held at LaBuena Vida. He said Thursday and Friday events would
include wine tastings and the "Great Taste of Grapevine," which is sponsored by the Grapevine
Chamber of Commerce. The Brunch will feature all female chefs. Shuttles will be offered to the
Winery Tasting Rooms, hotels and the Main Street District. An art show will also be added to
coincide with the dedication of the Night Watchman Statue at City Hall on Saturday night.

New York Sales Promotions-
Mr. Kakos reported that the sales team made 20 calls in Connecticut, White Plains and
Terrytown, New York. A total of 41 meeting planners and 18 travel, food and wine writers
attended the promotions. He said the number of no shows was of some concern and research was
being done on ways to decrease the no shows. There are 18 potential hot leads for the hotels and
8 candidates for future familiarization tours as a result of the sales efforts.
Mr. McCallum commented that moving the event to another location offered an opportunity to
re-energize it. Bill and Kathrine Brink made a very positive impression with their representation
of the Wine Pouring Society.
Mr. McCallum reported that the Wine and Food Writers Luncheon had 9 representatives from
publications such as Wine Enthusiast, Food & Wine, Wine Spectator, Ladies Home Journal and
Woman's Day.
NEW BUSINESS
Mr. McCallum stated that the communications, public relations and advertising programs for the
CVB were being re-evaluated. He said an option that was being explored, was to create a position
to assist the Communications Director and to run the advertising program on an in-house basis.
The present advertising agency would be kept on line as the agency of record. Discussion
followed. It was the general consensus of the Board to proceed with bringing the advertising
program in-house.
SALES AND MARKETING REPORT
Mr. Kakos gave the following report.
- Javier Rodriguez recently conducted three motor coach tours.
- The CVB would be participating in the Successful Meetings trade show in Richardson later in
the month.
- Karen Conway from the West End was recently hired as Director of Marketing for the
Grapevine Mills project. Mark Gillary was named new Sales Manager for the Super 8.
- Grapevine purchased an ad in the new Texas Travel Guide which has a distribution of 1 million.

- American Airlines in flight magazine American Way published an article on the Delaney
Vineyard.
EXECUTIVE DIRECTORS REPORT
- Mr. McCallum was invited by American Airlines to join their representatives in Washington
D.C. at the Travel Industry Association's Unity Dinner.
- A site visit with the Potomic Mills marketing representatives was recently conducted.
- Grapevine will be participating in National Tourism Week, hosting two events on May 6. One
event includes a promotion on the Tarantula to the Stockyards with the focus on tourism support
elements. The other is the Dallas/Fort Worth Area Tourism Council's Tourism Awareness
Promotion at Delaney Vineyards.
- This summer Grapevine, Arlington and Irving will participate in a joint effort to bid on the
1999 Society of American Travel Writers Convention, which would bring 150 travel writers
to our area.
- Grapevine will have representation in 2 articles of an upcoming Texas Municipal League
magazine. Ross Bannister wrote an article on Festivals and Mr. McCallum wrote one on
Product Development.
- Mr. McCallum recently made a presentation on Non-Traditional Income Sources at an
International Association of Convention & Visitors Bureau's Conference in Seattle.

There being no further business to bring before the Board, Mr. Bigbie called for a motion to
adjourn. Motion was made by Warren Dearing; seconded by Kathee Livengood.
