MINUTES
The Grapevine Convention & Visitors Bureau Board of Directors met on Thursday,
February 16, 2006 at the Wallis Building, Grapevine, Texas with the following persons in
attendance:

CALL TO ORDER
Chairman Bigbie called the meeting to order.
APPROVAL OF MINUTES
A motion to approve the minutes from the January 19th meeting was made by Ev
Barnes and seconded by John Imaizumi. Motion carried.
HOTELS/ATTRACTIONS REPORT
• Barry Lewis will fill the Director of Marketing position.
• Bruce Dalton has taken over as Director of Sales. He is currently attending
Destinations Showcase trade show in Washington, DC.
• Ana Canada will start a week from Monday as the Accountant.
• Flip's Patio Grill will be located in the old Tony Roma's site.
• Bob's Steak & Chop House project on South Main continues to move forward.
• Tolbert's Restaurant is now scheduled for a July opening. They have just received
the building.
• Lazy Bones will go in the former Ravioli location was on East Worth Street. They
will be repainting the outside of the building.

• The Unity Dinner for the Texas Travel Industry will be held in Austin on March 23rd
• Approximately 80 members of Sisters on the Fly will be the first group at the opening
of the Vineyards Campgrounds the third week in April. They are a group of ladies
who own vintage travel trailers.
• We are moving forward on the canopy for the platform at the Depot. It will be made
of corrugated metal.
• A community development family of pieces has been completed, including the basic
piece, a PowerPoint presentation, CD and specific project pages. The piece is
designed to include Dallas and Fort Worth with Grapevine pulling it all together.
SALES AND MARKETING REPORT
Mr. Kakos reported for the month of January that the convention sales division
produced 38 leads representing 39,279 potential room nights. The team assisted with
13 definite groups representing 4,337 room nights. The team conducted four site
inspections, including the Foundation Board of the Society of Incentive Travel
Executives and attended Meeting Planners International - PEC in Charlotte and
Professional Convention Management Association in Philadelphia. Tourism sales
produced ten leads representing 3,390 potential visitors. Staff assisted with seven
definite groups representing 8,878 attendees including Bank Travel Management for
2007. Staff participated in Vacation Fest Trade Show.
Destination Services assisted 11 groups representing 15,820 delegates. During the
month 79,698 brochures were distributed, 3,966 guests visited our Visitor Information
Center and 7,494 fulfillment packets were mailed. The Convention Center booked 59
groups representing 14,536 attendees. The Center had $55,212 in total sales for the
month. There was no train service during the month of January. Engine 2248
underwent her annual maintenance.
Visits to the Grapevine Vintage Railroad website totaled 22,167 unique visitors and
visits to the general site totaled 30,887 unique visitors. Marcel Quimby is working on
the final drawings for the Nash Farmhouse restoration. Mary Edwards, intern from
TWU, is making great progress on researching agriculture at the Nash Farm and the
Grapevine Prairie. The Nash Farm Capital campaign received $16,819 in January. The
Palace Theatre hosted 30 events with 3,735 attendees. Public Relations generated
$64,946 in print and $61,248 in electronic media coverage.

American Bus Association
Mr. McCallum thanked the board members and Chamber president for participating in
the ABA event in Nashville. Fifty-four partners from around the state of Texas
participated with our team. Heather Kisabeth, CVB, and Cyndi Golden, Gaylord,
coordinated the trade show and Gone To Texas event. The dinner by Gaylord was
excellent.
Imaginuity Update
Mr. McCallum reported that Joey Schlapkohl is moving this project along. Project
Manager is Daniel Hoang, Internet Architect is Jon Abbott, Creative Design is Tim
Langford and Developer is Dax Davis. George, Nicole Joey and myself met with the
Imaginuity Team to share our vision on our needs for our web presence. Then each
department discussed their current and future needs. Imaginuity then developed a site
plan. The final meeting on the site plan is scheduled for tomorrow and they expect to
start on the creative portion next week.

GrapeFest Auction and Texas Wine Tribute
With the expansion of GrapeFest to a 4-day event, we have an opportunity to switch the
Texas Wine Tribute to Friday night. This change could not take place before because
Friday was the opening night of the festival. This year the Auction has been moved to
the Convention Center on Friday night. Comments from board members included:
• It has been a struggle for people that want to be both at the Tribute and on the street
on Saturday night.
• A later festival start on Sunday could be a reason to keep it on Saturday night.
• From a vendor perspective Friday is a better choice because it is so busy in the
booth on Saturday night.
• I have never attended because Saturday night is so busy. It is difficult on Saturday,
because it is so busy on the street.
• Might be an opportunity to make the Auction as prestigious an event as the Tribute.
• Could offer a limo service for the Auction.
Home Economics / Band Hall Building
Mr. McCallum reported that this approximately 5,000 sq.-foot building was the original
Grapevine High School Home Economics and Band Hall. It is currently located on
Lucas Street and is in very good shape. Staff has had discussions with Faith Christian
School about relocating the building back to its original location. Another use for the
(.0 building would be available and the building could be moved to the property on Dooley
Street by the Station Master's House.

NEW BUSINESS cont.
Denton Creek School House
This house has been located on Austin Street. It was originally used as a two-room
schoolhouse and moved to Austin Street in the 1950s with the construction of
Grapevine dam. The family on Austin Street lived in the house while they built a new
house in front of it. Staff would like to see the house moved to the railroad district by
the Bragg House and used for incubation site for new artists. This will need to go
before the Heritage Foundation board. Staff will bring back costs of this project to the
board.
2006 Grapevine Market
The kick-off for the 2006 Market Season is Saturday, March 18th at 9:30 a.m. The
market season will run through November 11th with the exception of Main Street Days
and GrapeFest. The festival team has done a lot of work on this program and has
changed sign-up procedures. They started taking reservations yesterday and the table
rental was raised from $5 to $10 per table.
REPORTS
Chamber of Commerce
Ron Stacy gave an entertaining report of the ABA Gone To Texas event. He also
reminded everyone that March 30t is the date for the Annual Chamber Banquet at
Austin Ranch.
