McCallum Executive Director George Kakos Assistant Executive Director Absent: Tom Smith Board Member CALL TO ORDER Chairman Bigbie called the meeting to order and welcomed Ron Stacy as the new Chamber representative to the board. STAFF INTRODUCTIONS Mr. McCallum introduced new staff members, Jef Russell and Neil Wright. Jef will be working part-time as a sales manager covering the Austin, San Antonio, Houston and DFW areas in both the corporate and association markets. Neil will fill the position of general manager of the Grapevine Vintage Railroad. He brings with him over fifty years of railroad experience. Mr. Bigbie welcomed the new staff members on behalf of the board. APPROVAL OF MINUTES A motion to approve the minutes from the March 24th meeting was made by Ev Barnes Cre and seconded by Steve Stinson. Motion carried. The Board of Directors Meeting April 21, 2005 Page 2 of 4 HOTELS/ATTRACTIONS REPORT Mr. McCallum reported • Conditional use requests for the International Terminal D included Marche, Cool River, Cantina Laredo, Champps, Cowboys Grill and Bar, La Bodega Winery and the Admirals Club. • Skylink, the world's largest transportation system will have an opening celebration on May 4th from 6 — 9 p.m. The Grapevine wine trail will be one of the stops at this opening event. Grapevine Wine Pouring Society will be assisting with pouring Grapevine wine. • A building permit was issued for Dallas Indoor Golf, a sports training facility, located by the Fairfield Inn and Suites. • A certificate of occupancy was issued to Lazy Bones, a restaurant located at 1208 William D. Tate. • Mad Duck is relocating to the former Wienersnitzel site. Mad Duck was recognized as the "best new bicycle shop in America" by the Bicycle Retailer Industry magazine. • Renata Day Spa on East College Street was voted the best spa in the Metroplex by City Scape. (iry SALES AND MARKETING REPORT Mr. Kakos reported for the month of March that the convention sales division produced 38 leads representing 38,752 potential room nights. The team assisted with 14 definite groups representing 6,479 room nights distributed amongst 7 properties. The team conducted 5 site inspections and attended Destination Showcase in Washington, DC and Northeast Meeting Planners International in Boston. Tourism sales produced 4 leads representing 212 potential room nights, assisted 22 definite groups representing 719 room nights and 1,570 attendees. Staff participated in the Shreveport Home and Garden Show. Destination Services assisted 11 groups representing 7,318 attendees. During the month 38,742 brochures were distributed and 13,872 visitors were assisted at the Visitor Information Center. The Convention Center booked 53 events representing 7,133 attendees. The Grapevine Vintage Railroad carried 4,636 passengers for the month that included 16 field trips and 1 charter. Visits to the Grapevine Vintage Railroad website totaled 35,411 and visits to the general site numbered 29,546. Public Relations generated $77,207.62 in print and $20,989.98 in electronic media coverage. OLD BUSINESS New Vintage Recap Wednesday was the media event at Delaney Vineyards. Jose Guzman and Pete („w O'Brien along with several members of the Red Hat Society were on board for the Board of Directors Meeting C., April 21, 2005 Page 3 of 4 OLD BUSINESS cont. New Vintage Recap cont. event, which collected caps for the Caps for Kids Project, supplying caps for children going through chemotherapy. The Jazz Wine Train was sponsored by Qualtrust and was sold out 6 weeks prior to the event. There were 376 passengers and live entertainment in each coach. On Saturday, Father John Robert performed the Blessing of the Vines at Delaney Vineyards. The Funds from New Vintage Wine Trail go to the Public Art Fund. The designated driver program continues to grow. There was an estimated 1,200 participants at each of the wineries. The shuttles worked extremely well. Grapevine Market Recap The Grapevine Market is running around 60 vendors on Thursdays and 95 on Saturdays. The market has been open 4 weeks and is relying on direct mail and print advertising. The Historic Downtown Grapevine Association expressed their pleasure. A representative from Iron Rose has been able to drive business to her store, which is located in Jess Daniel's building at Main Street and Dallas Road. The established time of the market is 8:30 — 12:30, however the HDGA has asked us to stay open later. Capacity is 150 vendors and we will expand into Weems Alley and the City Hall area. (Ir Thomas The Tank Recap Thomas the Tank has been booked for next year. We carried 28,734 passengers and had a total attendance of 33,540 over the six days. Merchandise sales were $ 271,262. Tom Wayne did a great job of getting all safely on board the train. We will take this model and apply it to the Polar Express this December. ABA MARKETPLACE SPONSORS ABA has adopted a logo for the 2007 ABA Marketplace. We are developing a top quality piece to be used to raise sponsorship dollars. Monday and Tuesday of this week the 2006 planning committee met in Nashville. ABA is an extremely well run organization. Four past, present and future host cities were represented at the meeting. NEW BUSINESS MAIN STREET DAYS Mr. McCallum shared the Main Street Days poster with the board. The theme this year is Main Street to the World and will recognize the 11 countries that the founding fathers came from and the airport with the new international terminal. The area will feature wine and boutique beers from the 11 countries. There will be old favorites as well as new events. Staff will host tour operators, meeting planners and media on Main Street Days fams. C Board of Directors Meeting 46, April 21, 2005 Page 4 of 4 NEW BUSINESS ENTERTAINMENT DEVELOPMENT Mr. McCallum reported that the City Manager's Office, Economic Development and Convention & Visitors Bureau staff are working on an entertainment development for the northeast quadrant of Grapevine. This is a good time to add additional hotel capacity and attractions to an identified entertainment corridor. Staff is also working on a document to present Grapevine to developers. GRANTS-IN-AID-REQUEST The Tarrant Area Guild of Storytellers submitted a grant request for the programs, "Stories Under the Stars" and "Tales by the Rails" in the amount of$950.00. Kathee Livengood made a motion that we support the grant based on the CVB recommendation. Paul Slechta seconded. Motion carried. The Tarrant Area Guild of Storytellers also submitted a grant request for the Nash Farm Living History program in the amount of$1,575.00. Phil Cloud made a motion that we support this program in the amount of$775.00. Bill Brink seconded. Motion carried. REPORTS Heritage Foundation Pat Stinson reported that they had a good meeting this morning on the Jubilee program. The date for Jubilee is November 11. There are sponsorship naming opportunities for the Nash Farm capital campaign. The Pole Barn ribbon cutting went very well. Will Rogers Follies and Annie are upcoming events at the Palace. They will place a plaque on the Deacon House on May 7th. Chamber of Commerce Ron Stacy reported that the Chamber board held their annual retreat the last Tuesday of March and have enacted some changes as a result, including such things as having a board member at each table at the luncheons, recognizing first-time attendees and new members. The Chamber plans to continue the luncheons in the Palace until there is not enough room.
