McCallum Executive Director George Kakos Assistant Executive Director (Irr Absent: Tom Smith Board Member CALL TO ORDER Chairman Bigbie called the meeting to order. STAFF INTRODUCTIONS Mr. McCallum introduced new staff members, Susan Mathis, Nicole Alley and Bruce Dalton to the board. Susan is Festivals and Events Manager, Nicole is Media Relations Manager and Bruce fills the role of National Sales Manager in the Washington DC market. Mr. McCallum also recognized Rickey Farrell as captain of the CVB bowling team that placed second in the AMBUCS Bowling Tournament. Mr. Bigbie welcomed the new staff members on behalf of the board. APPROVAL OF MINUTES A motion to approve the minutes from the February 24th meeting was made by Ev Barnes and seconded by Paul Slechta. Motion carried. The Board of Directors Meeting Cry March 24, 2005 Page 2 of 3 HOTELS/ATTRACTIONS REPORT Mr. McCallum shared the New Vintage Wine Trail brochure with the board. The event will be April 15 — 16. The Jazz Wine Train for Friday night is sold out. The Blessing of the Vines will be on Saturday, April 16th at 11 a.m. at Delaney Vineyards. SALES AND MARKETING REPORT Mr. Kakos reported for the month of February that the convention sales division produced 12 leads representing 16,696 potential room nights. The team assisted with 8 definite groups representing 5,506 room nights. The team conducted 2 site inspections and participated in three sales missions; two to Austin and one to Chicago. Tourism sales produced 6 leads representing 552 potential room nights, assisted 8 definite groups representing 849 room nights and conducted 1 site inspection. Staff participated in the Kansas Women's Fair. Destination Services assisted 6 groups representing 11,421 attendees and operated a major housing program for Aviation Week. During the month 46,649 brochures were distributed and 6,375 visitors were assisted at the Visitor Information Center, including 219 international visitors. The Convention Center booked 42 events representing 6,999 attendees. In-house catering year to date tiv is $62,427 versus $48,446 from a year ago. The Grapevine Vintage Railroad carried 2,221 passengers for the month. To date there are over 14,000 reservations for Thomas the Tank which runs the first two weekends in April. We have identified 43 hotel rooms booked as a result of Thomas packages on the website. Visits to the Grapevine Vintage Railroad website totaled 21,869 and visits to the general site numbered 23,317. Public Relations generated $69,166 in print and $9,081 in electronic media coverage. OLD BUSINESS St. Pat's Sales Mission Staff hosted a dinner at Maloney & Porcelli in New York. Darlene Freed represented the city council at the dinner. There were 8 potential leads identified that represent 7,700 room nights. Staff conducted 14 sales appointments with multiple contacts. Main Street Market The Grapevine Market opened today with over 60 vendors and a goal to have 150 vendors within 10 weeks. There were 1,200 — 1,500 attendees. Television channels 4, 5, 8 and radio station KLUV were present. This market came about through a vision of the City Council and is a piece of the tourism product that helps to make Grapevine unique. The Montague farmers' group will continue this season on Wednesdays and Saturdays. Board of Directors Meeting March 24, 2005 Page 3 of 3 NEW BUSINESS ABA 2007 The American Bus Association will be in Grapevine the end of January and beginning of February 2007 at the Gaylord Texan Resort and Convention Center on Lake Grapevine. Three thousand tourism representatives will book over $35 million in business during the marketplace. The attendees will use 8,000 room nights and are estimated to spend four million in the community. There are twelve committees involved in coordinating this convention, a host committee and 11 sub committees. It is the goal to have a Grapevine representative along with a representative from the state of Texas and ABA members on every committee. There will be three pre and three post tours. We are looking to raise between $400,000 and $600,000 in sponsorships. The 2006 convention will be at Nashville Opryland where Grapevine will host the closing event. REPORTS Heritage Foundation Pat Stinson reported that a successful St. Pat's event was hosted at the Palace. The Spring Fling will be hosted at Nash Farm to raise funds for the farm. Staff is producing Cor a power point presentation on the Nash Farm. On Texas Independence Day the Boy Scouts were recognized at the Lancaster. November 11 is the date set for the Heritage Jubilee. Pat Stinson will be this year's chair. Chamber of Commerce Martin Thompson reported that the Annual Chamber Banquet is on March 31st at the Hyatt with over 300 attendees expected. The Chamber had a good mixer at the Blues Bar. The Chamber has grown from 680 to 750 members this past year. ADJOURNMENT Mr. Bigbie expressed the board's appreciation to Martin for his service to the board.
