ADJOURNMENT STATE OF TEXAS (lw COUNTY OF TARRANT CITY OF GRAPEVINE MINUTES The Grapevine Convention & Visitors Bureau Board of Directors met on Thursday, May 8, 2003 at the Wallis Building, Grapevine, Texas with the following persons in attendance: Don Bigbie Chairman Bill Brink Board Member Philip Cloud Board Member Kathee Livengood Board Member Paul Slechta Board Member Darlene Freed Council Liaison Paul W. McCallum Executive Director George Kakos Assistant Executive Director Absent: Ev Barnes Board Member Paul Jennings Board Member Tom Smith Board Member Ronny Nordling Grapevine Chamber Pat Stinson Heritage Foundation CALL TO ORDER Don Bigbie called the meeting to order. APPROVAL OF MINUTES A motion to approve the minutes from the April 17th meeting was made by Bill Brink and seconded by Phil Cloud. Motion carried. HOTELS/ATTRACTIONS REPORT Mr. McCallum reported that the Hyatt has a new director of sales, James Keavney. The Embassy Suites new director of sales is Kim Madrone. Hudson McCray Smokehouse Deli has opened on Main Street. SALES AND MARKETING REPORT Mr. Kakos shared highlights from the month of April. The convention sales division produced 19 leads representing 34,380 potential roomnights and assisted in closing 5 groups representing 395 roomnights. They conducted 2 site inspections and hosted the (liar DFW Association Executives dine around for 70 attendees. Three groups representing 560 delegates received convention services during the month. Housing is in place for the July 2004 Gold Wing Convention. Tourism division had 1 group book with 54 roomnights. Four leads were published representing 175 attendees. Staff participated The Board of Directors Meeting May 8, 2003 Page 2 of 3 SALES AND MARKETING REPORT cont. in the Texas Travel Counselors Conference, Bank Travel Network, New Vintage FAM group and a Sales Mission to Arkansas. March saw 12,307 visitors assisted through the Visitor Information Centers and 117,300 brochures distributed, including many for New Vintage. The Convention Center booked 36 future groups in the month, 29 of which were for 2003. The Grapevine Vintage Railroad had 4,215 riders during the month. The CVB web site had 3,515 visits and the train site had 5,500 visits. The Marketing committee with Bill Brink as chair and Ev Barnes and Paul Slechta as members have scheduled meetings for Thursday, May 29th and Thursday June 5th at 9 a.m. at the Convention Center. OLD BUSINESS Lease Update Mr. McCallum reported that the 118 Dallas Road West lease was approved by council last Tuesday. He thanked the board and council for their support. Cir NEW BUSINESS Main Street Days Mr. McCallum shared the media packets that are going out. Tuesday a group from Grapevine will meet the Foley delegation and the "Miss Foley" shrimp boat at the state line in Waskom with an exchange of flags and other items. Then they will proceed on to Tyler, Wills Point, and Mineola and plan to arrive in Grapevine about 6 p.m. On Wednesday they will be at Cannon Elementary, Atria and Grapevine Mills Mall. On Thursday we will launch "Miss Foley" and do some shrimping in Lake Grapevine. On Thursday at 6:30 p.m. is a reception for the Foley delegation at Delaney Vineyards. Mr. McCallum shared the "Ask me About MSD" program and the volunteer t-shirt. Concorde SST Report Darlene Freed shared that the Concorde first touched down on American soil in 1973. She distributed copies of the article from the Grapevine Sun. The project is moving forward. REPORTS Mr. Cloud reported that everyone has been supportive of the signage project. The letter is scheduled to go out on Tuesday. They are also working on a letter regarding the lighting project. The Chamber Chili Cook Off was a good 4010 Heritage Foundation No report given. The Board of Directors Meeting (iry May 8, 2003 Page 3 of 3 ADJOURNMENT In closing Mr. McCallum shared that the Hilton has won the Connie Award, one of the highest awards of excellence. June 12th is the Hilton's 20th Anniversary celebration. There being no further business to come before the Board, Paul Slechta made a motion to adjourn seconded by Kathee Livengood. ATTEST: DATE:
