McCallum Executive Director George Kakos Director of Marketing (11, Absent: Steve Trent Board Member CALL TO ORDER Chairman Bigbie called the meeting to order and thanked Phil Parker for filling in last month. APPROVAL OF MINUTES A motion to approve the minutes from the July 19th, 2001 meeting was made by Phil Parker and seconded by Ev Barnes. Motion carried. SALES AND MARKETING REPORT Mr. Kakos reported that during the month of July the convention sales team produced 22 leads representing approximately 5,000 room nights and 14 of those leads were for meetings during the next 12 months. Four groups went definite. Convention Services worked with 3 groups representing 2,650 delegates. Tourism division visited the state visitor information centers, produced a tax-free weekend direct mail piece, which was sent to 2,000 tour operators and travel agents in outer markets and participated with American Airlines in their inaugural flights to Saltillo and Aguas Calientes in Mexico. Tourism produced 4 tour group leads including 2 overnight groups. One lead representing 40 room nights went definite. Over 14,000 visitors were assisted through the information centers and over 33,000 brochures were distributed. (1, Communications produced over $132,000 in print and electronic media coverage. The New York Sales Mission in connection with Meeting World Trade Show produced 11 potential leads representing over 12,000 room nights. The southern California Sales Mission consisted of 15 Board of Directors Meeting (lw August 16, 2001 Page 2 of 3 sales calls and produced 19 potential leads representing over 41,000 room nights. Staff participated in the taping of a television show on the Tarantula for airing on August 24th on Univision, which is the equivalent of Good Morning America, in Mexico. Mr. Kakos shared an article from Lodging Hospitality about the "smart room" at the Hilton. HOTELS/ATTRACTIONS REPORT Hawthorne Suites has opened. Mr. McCallum shared photos of the newly completed Constellation space at the Hyatt Regency DFW. The 16,000 plus sq. feet of space can be divided into 13 separate rooms. September 15th at midnight is the date for the implosion of the west tower at the Hyatt. This event will be used as a fundraiser for United Way. The fundraiser will be held in the cargo hangar west of the implosion site. Cross Timbers Winery is now open at 805 N. Main. The Silver Fox, a high-end steak restaurant, on Wm. D. Tate is now open. Silver Lake Center, south of the Hilton, will have a 7,000 sq. ft. high-end barbecue, steak and seafood restaurant. At Grapevine Mills, Zena Corp. is developing an upscale country and western dance club for the former Eerie World location. The tax-free shopping weekend was their largest shopping weekend ever. Mr. McCallum requested board members availability for some special activities connected with Cor the 15th Annual GrapeFest. Additional media is expected to be on-site as we have confirmed the participation of the French barrel rollers. There will be an additional media promotion in Dallas on the Wednesday before the Festival. Thursday will be the media event in Grapevine. Mr. McCallum shared the poster and other collateral for GrapeFest. He thanked Kathee Livengood for chairing the Vintner's Auction and encouraged board members to promote the Auction. The Mall Information Center is being relocated to the area by Rainforest Café. It gives the bureau an opportunity to have a good impact on mall visitors. McCallum encouraged board members to thank Dennis McGovern for his support on this project. The bureau has offered to assist Cathy Brunson with Wagon Wheel Ranch on a promotion at such time as their barn is rebuilt. McCallum asked for contacts at Vic West and Mesco. Phil Cloud offered to make contact with John Eubanks with Mesco. SWEARING IN OF RE-APPOINTED BOARD MEMBER Sallie Andrews administer the Oath of Office to re-appointed board member, Robert Thrailkill. NEW BUSINESS Iron Fest Request Iron Fest was held at the Heritage Center this year. It keeps alive the blacksmithing history and art. Staff recommends approving the Iron Fest request for $500 to pay for the use of the Heritage Center for 2001 and 2003. Bill Brink made the motion to approve the grant. Ev Barnes seconded. After discussion, the motion was approved. Board of Directors Meeting thir August 16, 2001 Page 3 of 3 Sister City Report Mr. McCallum reported a delegation of 11 people participated in a visit to Parras de la Fuente this past weekend. The delegation visited the orphanage and saw firsthand how the $4,700 raised at GrapeFest last year had been spent. The funds were used to complete the 2 previously unusable dorms and to help with the rebuilding of the kitchen. The orphanage expects 30 additional girls by the end of September. Funds were also spent on matching bedding and small tables and chairs. The delegation also participated in a presentation of 5 AmTrykes from the Grapevine AMBUCS. The delegation received a presentation from the Parras Rotarians of the final payment on the firetrucks. This check will be presented to our mayor and council. HERITAGE FOUNDATION Pat Stinson reported that the Elvis show at the Palace is sold out for this evening. Bookings for the Palace Arts Center are coming in strong. The Foundation is getting ready for GrapeFest. A barn painting is planned for October for the Nash Farm. CHAMBER OF COMMERCE Aaron Compton reported that a trip to Opryland Nashville is set for October to study the economic impact of Opryland. They will also investigate the opportunity to do business with Opryland Hotel Texas as well as the impact on the labor market. The Chamber is looking to move their monthly luncheons to the Lancaster.
