MINUTES
The Grapevine Convention & Visitors Bureau Board of Directors met on Thursday, June
12, 2008 at 11:30 a.m. at the Wallis Building, Grapevine, Texas with the following
persons in attendance:

CALL TO ORDER
Chairman Bigbie called the meeting to order.
APPROVAL OF MINUTES
A motion to approve the minutes from the May 15, 2008 meeting was made by Steve
Stinson and seconded by Kathee Livengood. Motion carried.
INTRODUCTION OF STAFF
Mr. Kakos introduced Lorne McCasin, General Manager of the Grapevine Vintage
Railroad to the board.
HOTELS/ATTRACTIONS REPORT
Mr. Kakos reported:
• Work continues on the Fire Protection Project for the 300 and 400 blocks of Main
L Street. It is expected to be completed around the middle of June.
• Fireside Pies has applied for a conditional use permit for on-premise
consumption of alcoholic beverages, specifically for outside dining.

• The Grapevine Doll Shop in the 400 block of Main Street will be closing and
Ashlin's will be extending their store into the front portion of the space.
• Azur Alley, a dress shop has gone into 340 S. Main where the Sprint Store used
to be.
• The Colonnade at Grapevine Mills will be located outside of Off Fifth Avenue and
Last Call. A drawing of the space was shared with the board.
• Tastings is now open on South Main Street.
• Tuscany's is planning a soft opening for next week.
• The Darren Medlin Trail will be dedicated today at 5 p.m. at Oak Grove Park.
Officer Medln was killed in the line of duty.
• Flag Day Ceremony will be held on Saturday, June 14th at 11:00 a.m. at the
Gazebo.
• The CVB Board has been invited to view the July 4th fireworks from the
Vineyards Campgrounds Pavilion.
• The Hilton Garden Inn has named Alexandra Moronko as Director of Sales.
• The Hyatt Regency DFW has named Barry Closson as Associate Director of
Sales.
• Grapevine had eight hotels in the top 100 in the state for the first quarter for
revenue per available room according to a recent hotel brand report.
GRAPEVINE VINTAGE RAILROAD
George Kakos reported that ridership was 5,568 for the month of May. The train hosted
three charters during the month bringing the total to nine for the year. There were 19
field trips booked during the month for the school North Pole Express runs. Engine 771
has been moved to the parking lot across from the Police Department along with the
new baggage car, which will be the site of the Lone Star Hi-Railers model railroad
display. The train will host a murder mystery on June 28th. They have partnered with
KLUV and are almost sold out in just a few days.
HERITAGE PROGRAMS AND PRESERVATION REPORT
Ross Bannister reported:
• Staff is working to landmark the entire block bounded by Jenkins, Franklin, Smith
and College. It will come before the next HPC meeting.
• The Palace Arts Center 2007-08 season concludes with Edith's Follies II tomorrow
evening.
• The Grapevine Township Summer Porch Parties will resume this month.
• The 2007-08 Dinner and a Movie program concluded. On August 8th and 29th there
will be a special screening of a couple of Elvis Presley movies for the DFW Elvis
Presley Fan Club. It will also be open to the public.

• The Heritage Foundation has completed phase two of its organizational assessment
and strategic planning process with a one-day retreat held at the Embassy Suites.
The redefined mission statement is: "The Grapevine Heritage Foundation advocates
the protection and preservation of Grapevine's heritage." Their number one goal
over the next few years will be to develop Nash Farm into the best heritage farm
experience possible.
SALES AND MARKETING REPORT
Mr. Kakos reported for the month of May that the convention sales division produced 23
leads representing 12,019 potential room nights and assisted with nine definite
bookings representing 5,164 room nights. Staff conducted three site inspections and
participated in the Conference Direct Partners Meeting in New Orleans where they met
with 50 planners and received 6 potential leads. The Main Street Days Fam had a total
of 15 planners and generated five leads to date representing 1,722 potential room
nights. Staff met with representatives of the National Association of Counties for the
July 2013 meeting which could be held under one roof with the Gaylord expansion and
with additional rooms at other Grapevine hotel properties.
'+ Tourism sales staff produced six leads representing 145 potential room nights and 166
attendees. They assisted with two definite group bookings representing 24 potential
room nights and 39 attendees. Staff participated in AAA Sales missions in Dallas, Fort
Worth, Oklahoma City, and Tulsa. They joined the Dallas Fort Worth Area Tourism
Council on a sales mission calling on travel agents and group tour planners in
Oklahoma. Staff hosted the DFW Airport Ambassadors for a fam tour and conducted
four site inspections. On their Main Street Days Fam there were representatives from
Pennsylvania, Oklahoma, Kansas, Missouri, Alabama, and Texas.
Destination Services staff provided registration and information assistance to seven
groups representing 6,000 delegates and distributed 128,125 brochures, including
52,000 copies of Grapevine Today. Staff welcomed 13,137 guests at the Visitor
Information Center during the month.
The Grapevine Convention Center booked 42 future groups representing 9,245
attendees and had total revenues of$56,472 for the month. The Palace Arts Center
booked seven future events representing 970 attendees and had total revenues of
$28,037 for the month.
The total web traffic for all sites was 121,207 unique visitors; 40% over last year. Public
relations generated $356,596 in print media and $84,229 in electronic coverage for a
total of$440,825 for the month.

OLD BUSINESS
9/11 Memorial Update
Mr. Kakos reported that the dedication of the bronze in recognition of the flight crews
that perished on 9/11 will begin at 10 a.m. on July 4th at Texan Train and Northwest
Highway. The program will last approximately 90 minutes. Invitations have gone to the
families of the flight crews and other dignitaries. Responses are coming in daily
including Herb Kelleher, former head of Southwest Airlines.
Main Street Days
Mr. Kakos reported that Main Street Days was a successful event with 135,650 in
attendance over the weekend. In addition to the Sales and Tourism Fams addressed
above, there were additional water activities over last year, a blood drive, the Hallmark
Daddy Dance Off, two dedications, and participation from 14 civic organizations. The
marketing team had all major networks at the festival, 41,000 visits to the web site
during the week of the festival, and 44 hours of radio presence on the grounds during
the weekend.

Chamber of Commerce
Kathee Livengood reported that she will be the chamber representative on the Sister
City Mission to Scotland that departs tomorrow. The Chamber's new directory is being
launched at today's Chamber luncheon. RaDonna Hessel the new president for the
Chamber starts on Monday.
