MINUTES
The Grapevine Convention & Visitors Bureau Board of Directors met on Tuesday,
December 8, 2009 at 6:30 p.m. at the Gaylord Texan Resort & Convention Center,
Grapevine, Texas with the following persons in attendance:

CALL TO ORDER
Chairman Stinson called the meeting to order.
APPROVAL OF MINUTES
A motion to approve the minutes from the November 19, 2009 meeting was made by
LuAnn Chapman Gatts and seconded by Paul Slechta. Motion carried.
OLD BUSINESS
Year End Review
Paul McCallum reported that in FY the convention sales team had 243 leads
representing 364,524 potential room nights. They assisted with 90 definite bookings
and $55 million in economic impact. They conducted 66 site inspections and attended
28 industry trade shows. The tourism sales team produced 113 leads and assisted with
89 definite bookings. They conducted 15 site inspections and attended 35 industry
trade shows. The destination services team provided registration assistance and
information to 191 groups and distributed 793,975 brochures. They welcomed 154,000
guests to the Visitor Information Center with volunteers giving 3,325 volunteer hours.
The festival division produced the New Vintage Wine & Gallery Trail, the 25th Annual

Main Street Days and the 23rd Annual GrapeFest, as well as, SummerBlast and
Christmas on Main. The Convention Center hosted 455 events including 56 trade
shows. The Palace Arts Center hosted 391 events. The two facilities had combined
revenue of$858,000. The Grapevine Vintage Railroad increased ridership with 104,266
passengers. Revenues were also up for the railroad. Heritage Programs and
Preservation team were successful with the Sound of Texas Concert series and the
First Friday Film series. Volunteers contributed 635 palace volunteer hours. The team
produced two successful Nash Farm events which also used volunteer hours. There
were 60 certificates of appropriateness issued and 15 cases were reviewed by the
Historic Preservation Commission. The marketing team produced $1.5 million in trade
and consumer advertising. They produced $1.8 million in print media and $1.1 million in
electronic media for total media coverage of $2.9 million. The web site saw 1.3 million
unique visitors, a 16.9% increase over last year. There were 47,082,571 hits and the
average time spent on the web site was 6 minutes and 3 seconds.
NEW BUSINESS
Challenges & Opportunities for 2010
Mr. McCallum shared the following challenges:
1. Short term bookings are important.
2. Hiring the right person for the right position.
3. Getting our brand out in the Metroplex; separating it from the "clutter".
4. Identifying appropriate advertising mediums.
5. Continuing to keep preservation efforts.
Mr. McCallum shared the following opportunities:
1. Staycation — Summer and Holiday.
2. Increase our attraction base.
3. Cowboys' Stadium and Super Bowl 45.
4. Short term booking business.
5. CVB Headquarters.
6. Partnerships of SummerBlast and North Pole Express.
7. Urban Wine Trail.
8. Hospitality Education program at Grapevine High School and Gaylord.
Recognition of Board Service
Mr. McCallum recognized Ev Barnes for his service to the board. Steve Stinson
presented a plaque to Mr. Barnes.

MAYOR'S PRESENTATION
Mayor Tate made a presentation on the history of Christmas in Grapevine starting with
the Native Americans until the present day. He reflected on the ways the Indians
extended the hand of friendship and assistance.
ADJOURNMENT
There being no further business to come before the board, LuAnn Chapman Gatts
made a motion to adjourn, seconded by Chris Leighton. Motion carried.
