Call to Order of Regular Meeting — Chair Melva Stanfield Citizen Comments - Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation Board under Citizen Comments or on any other agenda item by completing a Citizen Appearance Request form with staff. A member of the public may address the Board regarding an item on the agenda either before or during the Board's consideration of the item, upon being recognized by the Chairman or upon the consent of the Board. Adjournment The next meeting of the Grapevine Heritage Foundation Advisory Board will be held on Thursday, March 20, 2024 at 5:00 pm at the Grapevine Convention & Visitors Bureau, 636 South Main Street, Grapevine, Texas. CALL TO ORDER AND CITIZEN COMMENTS Chairman Melva Stanfield called the meeting to order at 5:02 p.m. Citizen Comments Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation under Citizen Comments by completing a Citizen Appearance Request form. In accordance with the Texas Open Meetings Act, the Advisory Board is restricted in discussing or taking any action during Citizen Comments. No Citizens Comments were made. 2. WELCOME Chairman Stanfield welcomed the CVB staff and the GHF Board members. 3. MINUTES FOR APPROVAL Wendy Nelson moved to accept the minutes as written from the January 17, 2024 regular meeting. Courtney Fray seconded the motion. GHF Minutes February 21, 2024 February 21, 2024 Minutes approved with a vote of: Ayes: 7 (Stanfield, Jensen, Nelson, Fray, Stine, Kellerman, S. Wright) Nays: 0 None Absent: 2 (Wright, Franks) 4. OLD BUSINESS A. Membership Report — David Klempin David Klempin presented the membership report. The current active membership total is 163. Donations received in January total $3,100.00. The Nash Farm Sponsorships are coming in steady and that amount is not included in this total. With the new brochure and the addition of the QR Code, membership payments can now be made online. B. Sponsorship Report — Balla Wright David Klempin reported for Balla Wright. He reported that the Nash Farm Sponsorship total received is $6,250.00. Balla Wright is reaching out to those who we haven't received payment from yet and keeping things on track. C. Nash Farm Report — Cody Scallions Cody Scallions reported that in January they had 1 group with 18 people; 2 tours with a total of 55 people; The Bacon and Sausage workshop held January 27 had 8 participants; casual visitation was 398; with a total January visitation of 479; volunteer hours were 66. There were some bad weather days to slow down visitation. For February at Nash Farm, there is scheduled 1 tour with 40 people, the first School Tour of the season expecting 140 students; so far in February the visitation is 538 guests. D. Grapevine Heritage Foundation Brochure Report — David Klempin David Klempin distributed a draft copy of the brochure for review. Suggestions from the Advisory board are to move the QR Code to be with the Membership block to make it easier to join online; make the CVB logo larger and add GHF logo to the back; change some of the wording in different areas; and change the email address to a dedicated GHF email address. Melva thanked Scott Baker and Sallie Andrews for all the hard work and time on the brochure. Plans are to have the brochure printed and distributed within a few weeks. 5. NEW BUSINESS A. GHF Board Member Training and Strategic Planning Retreats — Melva Stanfield Chairman Stanfield said she would like to plan for a board member training. The board would take a bus tour around Grapevine to heritage sites, learning about the background and history of the sites and see what they look like now, and how we have preserved each property. She hopes to have the training in March on a Saturday morning. The Chairman would also like for the GHF board to have a Strategic Planning Retreat. The Board members would meet to review the goals for the Heritage Foundation and set goals for the next 3 — 5 years. Mr. McCallum said the retreat would historically be about 4 hours on a Saturday morning including a lunch. The earliest date to meet would be in June, due to possibility of having some new board members to include in the retreat. B. 2024 GHF Preservation Advocacy Award Nominations — David Klempin 2 GHF Minutes February 21, 2024 February 21, 2024 The presentation will be Tuesday, May 7, 2024 at the City Council Meeting at 6:30 p.m. followed by a small reception. David Klempin presented the nominations with some history on each property. Township Proiect Award - 607 South Dooley Street - 1907 Edward Jenner Lipscomb house Business Preservation/Conservation Proiect Award - 323 West Northwest Highway - 1940 Dalton Oil Building Preservation/Conservation Proiect Award - 428 East Wall Street - 1908 Blevins House Rehabilitation Proiect Award - 300 West College Street - 1907 Forbes House All of the board members were in agreement that the nominations were good choices to be recognized. David Stine moved to accept the Preservation Advocacy Award nominations presented. Wendy Nelson seconded the motion. Motion approved with a vote of: Ayes: 7 (Stanfield, Jensen, Nelson, Frey, Stine, Kellerman, S. Wright) Nays: 0 None Absent: 2 (B. Wright, Franks) C. GHF Upcoming Events and Activities — Melva Stanfield Cody Scallions presented the upcoming events for Nash Farm and asked for board volunteers to sign-up for the events. First Friday, "Spring on the Farm" will be March 1st from 10 am -noon, with many tickets sold already, there will be many hands-on activities and garden planting. Spring into Nash will be April 20t" from 10am-2pm. Mr. Scallions provided a sign-up sheet for everyone to sign-up. GHF will have a table at the entrance for everyone to greet the visitors. The Fundraiser Dinner will be April 13, with a total of 75 tickets at $75.each. The theme is "Picnic" with old fashioned yard games, serving BBQ. With a silent auction. Each board member is asked to secure one or two auction items (weekend getaway, lake house, cabin, golf, event tickets, ask friends for ideas and donations). Melva Stanfield aske everyone to attend the April 7th Preservation Advocacy Award presentation and attend the following reception to meet the award recipients and introduce them to the Heritage Foundation. 6. LIAISON REPORTS A. Grapevine Convention and Visitors Bureau Liaison Report — Paul W. McCallum 3 GHF Minutes February 21, 2024 February 21, 2024 Mr. McCallum reported on the CVB maintenance projects including the Nash Farm and Train Depot new roofs, were funded with proceeds from the festivals. The Palace is currently having the main doors re -skinned and restored. The fire suppression system for Nash Farm and the Ice House is moving forward. The CVB is working with the different city departments, structural engineers and the installers to get the job done. The GVRR (Grapevine Railroad) season opener was this past weekend. It was successful with almost 2,000 riders. All runs were almost at capacity, with 95% of riders from out of town. Convention sales booked business is up considerably year over year. Leads generated for the hotels is way up, the room rate is up $4. over last year, occupancy is up over 4%. Grapevine Mills had the best January they have ever had. Tomorrow we will kick off the first Steering Committee meeting for the 40th annual Main Street Fest, May 17-19. Our very own GHF Board Member, Wendy Nelson and her husband Seth are the Chairmen for this event. They have many new activities planned for this year's Main Street Fest. B. City Council Liaison Update — Duff O'Dell Councilwoman Duff O'Dell reported that the Council approved a new restaurant Portillo's, the ground breaking for Rock and Brew and the pre -opening for Firebirds Woodfire Grill. There was a presentation given for potential use of the Old Police Department building on Dallas Road that had a WOW factor. Election filing is closed. The renewal application for the GHF board is approaching so don't forget to get your applications in on time. February 26th at 7p.m. Historical Society will meet at the Vine. Mayor William D. Tate will be the speaker, reading excerpts from his book "My Barefoot Days". Saturday, March 2nd is the Annual Texas Independence Day event hosted by the Grapevine Historical Society to be held at the CVB Grand Hall. The Ice House Museum and the Settlement to City Museums will be open with a vintage car show with a 1924, 1974 and 2024 cars on display. Chili will be served at noon and showing the silent movie of "Peter Pan". The Dallas, Heritage Society at Old City Park is not renewing their 50-year contract. The Dallas Park & Recreation Department is assuming the operations of the 23 buildings at the park. It would be nice if the City of Grapevine could get the Gano cabin back to Grapevine. Melva said the community needs to love Grapevine, so nothing like this happens here. David Klempin said the Dallas Park department will be taking over the Heritage Park. Mr. McCallum said we are keeping a close eye on the situation and would be interested in getting the Gano Cabin back in Grapevine if it becomes available. 4 GHF Minutes February 21, 2024 February 21, 2024 The next regular meeting of the Grapevine Heritage Foundation is scheduled for March 20, 2024 at 5:00 p.m. 7. ADJOURNMENT Courtney Fray moved to adjourn the meeting, Austin Kellerman seconded the motion.
