HIGHWAY SIGNAGE PACKAGE DESIGN SERVICES
CONTRACT AMENDMENT — TEXAN TRAIL
City Council consider amending the current Highway Signage Package Design Services
Contract with Kimley-Horn and Associates, Inc. for additional work to modify the signage
plans from Opryland Boulevard to Texan Trail in the amount of $5,000.00, authorize
staff to execute said contract, and take any necessary action.
FUNDING SOURCE
Funds for this contract amendment are available in the following account:
173-72115-001 TIF Expenses .................................................$25,000
BACKGROUND:
The original contract, in an amount of $14,900.00, was approved by staff in February,
2001. The signage package was prepared, had progressed through the TxDOT approval
process and was on the verge of bidding for fabrication and installation. The signage
package reflected the name of Opryland Boulevard.
Subsequently, Gaylord Entertainment changed the name of the hotel to Gaylord Texan
Resort and Convention Center. On May 18, 2004, City Council changed the name of BS
114 L from Opryland Boulevard to Texan Trail -
The amendment to the contract provides for the modifications to the plans,
specifications and bidding documents as well as review and approval by TxDOT.
The revised contract will total $19,900.00.
Staff recommends approval.

Dear Mr. Chinnakotla:
Kimley-Horn and Associates, Inc. (KHA) is submitting this Letter Agreement to
provide Additional Services related to the proposed guide signing for Texan
Trail. When counter -signed and returned to us, it will constitute an Amendment
to our current contract dated January 29, 2001.
The following Additional Services are required based on the request of the City
of Grapevine to reflect the name change of the proposed Opryland Boulevard to
Texan Trail.
Scope of Services
If services beyond those defined in this scope are required, KHA will confer with
the Client to receive further authorization before such additional services are
performed.
Task 1 — Modify Signing Plans and Specs to Reflect Texan Trail
KHA will modify the plans and specifications for the proposed guide sign
modifications to reflect the name change from Opryland Boulevard to Texan
Trail. It is anticipated that three (3) of the five (5) signs will require modification
in size. The plan set is projected to include a cover sheet, summary sheet,
schematic sign layout, sign details, and associated TxDOT standard details.
KHA will also modify the specifications where necessary.

Task 2 — TxDOT Submittal
KHA will submit three (3) copies of the modified plans and specifications to
TxDOT for review and comment. KHA will incorporate comments and prepare
three (3) copies of the final plans and specifications for the City.
Schedule
Tasks l and 2 will be completed within four (4) weeks following receipt of a
signed copy of this Letter Agreement, exclusive of Client and/or TxDOT review
time. Additional services, if desired, will be performed in a timely manner upon
authorization by Client. .
Fee and Billing
KHA will perform these Additional Services in accordance with the terms
outlined in our original Letter Agreement dated January 29, 2001. These
Additional Services are an additional lump sum fee of $5,000, increasing the total
lump sum fee from $14,900 to $19,900. The lump sum fee includes labor costs
and direct expenses identified in this contract, as well as items such as in-house
duplicating, blueprinting, facsimile, local mileage, telephone, postage, and
computer expenses.

Closure
This letter when signed by both parties constitutes an Amendment to our original
Letter Agreement. Please return an executed copy of this letter at your earliest
convenience.
We appreciate the opportunity to continue to provide engineering services to you
and the City of Grapevine. Please contact us if you have any questions or need
