MEMO TO: FROM: MEETING DATE: SUBJECT: RECOMMENDATION: ITEM 0 11 - - HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL ROGER NELSON, CITY MANAGER 0 SEPTEMBER 7, 2004 CONTRACT RENEWAL OF BID NUMBER 149-2003, ROADSIDE AND PARK FACILITY LITTER REMOVAL City Council to consider approval of a contract renewal to VMC Landscaping to provide roadside and park facility litter removal services. Contract expenditures will not exceed the annual budgeted amount for this service. FUNDING SOURCE: 100-44540-312-3 General Fund/Park Maint/Professional Services ...................$44,500 BACKGROUND: Bids were taken in accordance with Local Government Code Chapter 252, Subchapter B, Section 252.021 (a) and Section 252.041 (a). Bids were publicly read aloud per the attached tabulation sheet. Notice to bidders was published in the Grapevine Sun on March 20, 2003 and March 27, 2003. The original Council approval and contract provided for four one-year renewal options. This would be the first renewal. This contract established fixed pricing for litter removal services for City roadsides, rights of way and parks. The services are provided on a monthly basis for roadsides and right of ways and two times weekly for parks. VMC Landscaping was the lowest bid received, met all bid requirements and has successfully provided the service for the past year. Under the general terms and conditions of the original bid, price increases may be considered at each contract renewal by the contractor submitting a letter setting the amount of increase for each contract. VMC Landscaping has made this request and provided the necessary information for consideration. Along with the original bid tabulation, Staff has attached a price schedule showing the original and requested price increase as well as the increase percentage. Staff recommends approval of a contract renewal to VMC Landscaping.
