SUBJECT: APPROVAL OF A RESOLUTION FOR THE RENEWAL OF A
SOFTWARE MAINTENANCE AGREEMENT FOR THE LIBRARY
INFORMATION SYSTEM
RECOMMENDATION:
City Council to consider approval of a resolution to declare Dynix, Inc. a sole source
provider and renew the current service and maintenance contract covering software,
server and peripheral maintenance for the Library information system. The total cost of
this agreement is not to exceed $19,731.06.
FUNDING SOURCE:
Funding for this expenditure is currently available in accounts:
100-44540-101-2 General Fund/Administration/Professional Services
100-43465-101-2 General Fund/Technical Services/Misc. Equipment Maintenance
BACKGROUND:
This procurement will be made as a sole source in accordance with Local Government
Code Chapter 252, Subchapter B, Section 252.022 (A).
This request is to renew the current maintenance agreement to support the software
modules that operate as part of the Library information software system. Dynix, Inc. is
the current supplier of the software, server and peripheral modules and equipment and
the sole provider of maintenance for these items. The renewal contract is for one year
from October 1, 2003 to September 30, 2004.

RESOLUTION NO.
A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF
GRAPEVINE, TEXAS, MAKING FINDINGS OF CERTAIN
FACTS RELATIVE TO THE PURCHASE OF A
MAINTENANCE AGREEMENT; DETERMINING THAT THE
MAINTENANCE IS AVAILABLE FROM ONLY ONE SOURCE
AND AUTHORIZING THE CITY MANAGER TO EXECUTE
SAID CONTRACTS AND DOCUMENTS AND PROVIDING AN
EFFECTIVE DATE
WHEREAS, the City of Grapevine desires to cover the following software under a
maintenance agreement:
Dynix, Inc. Software Maintenance for Library information systems.
Dynix, Inc. Server Maintenance for Library information systems
equipment.
Dynix, Inc. Peripheral Maintenance for Library information systems
equipment.
and;
WHEREAS, Dynix, Inc. is the current supplier of the software, server and peripheral
modules and equipment and the sole provider of maintenance for the items listed above.
NOW, THEREFORE, BE IT RESOLVED BY THE CITY COUNCIL OF THE CITY
OF GRAPEVINE, TEXAS:
Section 1. That all matters stated in the above preamble are true and correct and
are incorporated herein as if copied in their entirety.
Section 2. That the City Council of the City of Grapevine authorizes the purchase
of a maintenance agreement to cover the listed software for a total not to exceed
$19,731.06.
Section 3. That the City Manger, or his designee, is authorized to take all steps
necessary to consummate the purchase of said maintenance agreement.
Section 4. That this resolution shall take effect from and after the date of its
passage.
PASSED AND APPROVED BY THE CITY COUNCIL OF THE CITY OF
GRAPEVINE, TEXAS on this the 21st day of October, 2003.
