Call to Order of Regular Meeting — Chair Melva Stanfield Citizen Comments - Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation Board under Citizen Comments or on any other agenda item by completing a Citizen Appearance Request form with staff. A member of the public may address the Board regarding an item on the agenda either before or during the Board's consideration of the item, upon being recognized by the Chairman or upon the consent of the Board. Adjournment The next meeting of the Grapevine Heritage Foundation Advisory Board will be held on Thursday, May 15, 2024 at 5:00 pm at the Grapevine Convention & Visitors Bureau, 636 South Main Street, Grapevine, Texas. David Klempin l Manager, Heritage Programs & Preservation April 17, 2024 GHF Minutes April 17, 2024 1 STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Grapevine Heritage Foundation (GHF) held their regular scheduled monthly meeting at 5:00 p.m. on Wednesday, April 17, 2024 in the 2nd Floor CVB Boardroom of the Grapevine Convention & Visitors Bureau, 636 South Main Street, Grapevine, Texas 76051. Present were: Melva Stanfield Chairman Frances Jensen Vice-Chairman Balla Wright Treasurer Wendy Nelson Secretary Courtney Fray Board Member David Stine Board Member Austin Kellerman Board Member Stephanie Wright Board Member Duff O’Dell City Council Liaison The above constitutes a quorum, Absent was: Sue Franks Board Member With the following Convention & Visitors Bureau staff present: Paul W. CALL TO ORDER AND CITIZEN COMMENTS Chairman Melva Stanfield called the meeting to order at 5:01 p.m. Citizen Comments Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation under Citizen Comments by completing a Citizen Appearance Request form. In accordance with the Texas Open Meetings Act, the Advisory Board is restricted in discussing or taking any action during Citizen Comments. No Citizens Comments were made. 2. WELCOME Chairman Stanfield welcomed the CVB staff and the GHF Board members. 3. MINUTES FOR APPROVAL Balla Wright asked for some changes to be made in regards to the information for Bobby Flanagan. April 17, 2024 GHF Minutes April 17, 2024 2 Balla Wright moved to accept the minutes with changes from the March 20, 2024 regular meeting. Austin Kellerman seconded the motion. Minutes approved with a vote of: Ayes: 8 (Stanfield, Jensen, B. Wright, Nelson, Fray, Stine, Kellerman, S. Wright) Nays: 0 None Absent: 1 (Franks) 4. OLD BUSINESS A. Membership Report – David Klempin David Klempin presented the membership report. The current active membership total is 163. Donations received in March total $6,150.00 which includes Nash Farm Bricks, Bobby Flanagan Memorial fund and Nash Farm Sponsorships. B. Sponsorship Report – Balla Wright Balla Wright reported Nash Farm Sponsorship payments received total 24,500.00. Balla Wright suggested we take note of our sponsors and recognize them. C. Nash Farm Report – Cody Scallions Cody Scallions reported that in March, First Friday “Spring on the Farm” had 166 in attendance, they had 3 school tours that had a total of 315 attend; 3 groups brought 95 to the farm; Spring Break visitation was 865; casual visitation was 580; Total visitation was 2018; Nash Farm had 10 volunteers with 72 volunteer hours. The April First Friday was “Eclipse Party” with 134 attendees; There were 5 school tours with 417 participants; 7 leisure tour busses with 200 people; 2 groups visited the farm bringing 135 people; Eclipse day brought 89 people; The Farm Supper Spring Fundraiser had 55 attendees; bringing the casual visitation to 699; and so far for April the visitation is 1729. 5. NEW BUSINESS A. GHF Board Member Training and Strategic Planning Retreats – Melva Stanfield The summer Board Member Training/Tour date we have selected is June 15 or June 22, 2024. Could be adjusted to July if needed for new board member appointments. The fall Strategic Planning Retreat dates selected to choose from are September 21 or September 28, 2024. Sister City PATs event date is August 8th. Melva Stanfield announced the committees and assigned board members to each. Nash Farm Committee- Melva Stanfield, Balla Wright, Stephanie Wright, Wendy Nelson Martin Fray, Curtis Ratliff, Calendar Committee- Wendy Nelson and Courtney Frey Candle light Tour of Homes Committee- Frances Jensen and David Stine Membership Committee- Austin Kellerman and Stephanie Wright Sponsorship Committee- Balla Wright April 17, 2024 GHF Minutes April 17, 2024 3 Chairman Stanfield reminded the board that it is currently open to reapplying for the board and informed the board that applications are currently being taken with the City Secretary for new applicants and for current board members to reapply if they are expiring this year. Wendy Nelson shared that a long-time volunteer from the Festival Steering committee Stacy Holt applied for a grant from AMICA and will be presenting the GHF Board with a check for $1,300.00 at an upcoming board meeting. C. GHF Upcoming Events and Activities – Cody Scallions Cody Scallions gave an update on the Spring into Nash event and the Brick Dedication. He reported that the event attendance was low (75 people) due to the fact that it was raining the whole day. The Brick Dedication for Elizabeth Covington was very nicely done and had a wonderful turnout. The Spring Fundraiser Dinner will be held on April 13th. Items being collected to be auctioned off are: Sunset Cruse on a Catalina 320 at Grapevine Lake; a weekend at a condo in Port Aransas; a ride to school in a police car; a round of golf; a Gardener basket, plants and gardening coaching at home by Martin Fray; Palace Theater Movie tickets; a Theme cake; and a Photography session; On April 20th Spring into Nash, volunteers are needed to sign up for shifts. We are hoping to have a Blacksmith with a portable coal forge. Granny Nash/Liz Covington brick unveiling and dedication will be held before the event starts at 9:30 a.m. and includes coffee and pastries. We are planning to have a dedication for Bobby Flanagan who passed away March 12, 2024. He volunteered as a farmer at Nash Farm for over 15 years and also volunteered to mowed the cemetery for many years. The date is to be set at a future Board meeting. 2024 GHF Preservation Advocacy Award Nominations presentation will be on Tuesday, May 7, at the City Council Meeting at 7:00 p.m. followed by a small reception. This may help us get new homes to add to the Candlelight Tour of homes (Sunday, November 3, 2024). The National Trust Conference this year will be held in New Orleans on October 28 through the 30, 2024. With all the history in New Orleans this will be a great Convention. Many of the cities look toward Grapevine because of the great support for Historic Preservation here. 6. LIAISON REPORTS A. Grapevine Convention and Visitors Bureau Liaison Report – Paul W. McCallum Mr. McCallum reported that Spring Break was very successful, covering a 9-day period. We had record setting numbers at the Vintage Rail Road with 5,000 riders. Spring Break included the St. Patrick’s, Kiss me I’m Irish Train that was a sellout. Meow Wolf, Sea Life, Lego Land, Great Wolf Lodge all had family friendly programs that helped draw many families to the big and small hotels in Grapevine. The Sales team hosted the 36th Annual St. Patrick’s Promotions in New York City and met with 43 meeting planners. While securing four Request for Proposals (RFP) and booked three pieces of business with National Nurses Association that could bring in $6 million to Grapevine over three years, along with many new national corporate meetings. April 17, 2024 GHF Minutes April 17, 2024 4 The 32nd Annual New Vintage Wineries and Galleries Trail will be held in Grapevine, April 13, 2024 The 40th annual Main Street Fest will be May 17–19, with a tagline “Down on Main Street.” The Festival Committee is adding a new event, with a light-hearted aspect of golf with the addition of the “Cotton Belt Country Club.” The Grapevine Convention & Visitors Bureau has secured the title sponsorship as Destination Grapevine Texas Women’s Open to be held at the Grapevine Golf Course, May 29 – 31, 2024 with a multiyear sponsorship deal to host the LPGA Championship in 2024, 2025 and 2026. B. City Council Liaison Update – Duff O’Dell Councilwoman Duff O’Dell reported that the Texas Independence Day Event held March 2nd hosted 100 people, with a lot of memorabilia on display in the CVB Grand Hall. Free Chili from Tolbert’s and cake, along with a car show with a 1924, 1974, 2024 cars were on display and an old fire truck was featured, a silent movie, the 1924 version of Peter Pan was shown. Our Heritage Community has lost 3 important people recently, Dr. E.A. Sigler Jr. Superintendent of Grapevine Schools. He was an educator and icon in our community. Paul Coppage, long time business man and active member of the Rotary Club and Bobby Flanagan a longtime farmer volunteer at Nash Farm. Mayor Tate gave him a very nice sendoff. At City Council it is business as usual, nothing major to report. Wally Funk will be inducted into the Texas Aviation Hall of Fame in Houston along with other famous aviators. Opening day of Baseball and Softball is this Saturday, March 23, 2024 and Duff O’Dell will be throwing out the first pitch with her granddaughter catching at our world class ball fields. On November 4th the annual Historical Society Banquet will be held at the CVB Grand Hall. On November 11th the Veterans Dinner to be held at the Convention Center. 7. ADJOURNMENT Balla Wright moved to adjourn the meeting, Courtney Fray seconded the motion.
