MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL
FROM: ROGER NELSON, CITY MANAGER f►/
MEETING DATE: MARCH 18, 2003
SUBJECT: APPROVAL OF CONTRACT RENEWAL OF BID 77-2001, FOR
WATER/WASTEWATER CHEMICALS
RECOMMENDATION:
City Council to consider renewal of an annual contract for the lowest and best bids
meeting City specifications to the vendors as listed on attachment "A" and as shown on
the attached bid tabulation. Annual contract expenditures will be limited to the budget
amount approved during the budget process for this service.
FUNDING SOURCE:
200-42205-530-2
Utility Ent. Fund/Water Treatment/Grounds Maint.
200-42205-531-2
Utility Ent. Fund/Wastewater Treat./Grounds Maint.
200-42205-531-1
Utility Ent. Fund/Wastewater Col./Grounds Maint.
BACKGROUND:
The purpose of this bid was to establish contract pricing for various types of water and
wastewater chemicals. Bids were initially solicited in January 2001 and approved by
Council on March 20, 2001. The specifications were for a one-year period with an option
to renew for three additional one-year periods. This request is for the second renewal.
During the first renewal period Eaglebrook, Inc. was awarded item 12 for Ferrous
Chloride due to the inability of Advance Chemical to supply the material.
During this renewal period all vendors with the exception of Harcross Chemicals have
agreed to renew their contracts. Harcross Chemicals declined to renew items 1, 4, 7, 9
and 11. The second lowest bidder for these items was contacted and agreed to renew
their contract for items 1, 7, 9 and 11. None of the vendors agreed to renew item 4 and
this item will be re -bid.
All vendors who agreed to renew have successfully performed the required services of
this contract.
Staff recommends approval of a renewal contract to all vendors shown in Attachment "A"
