MEMO TO: FROM: MEETING DATE SUBJECT RECOMMENDATION: ITEM HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL ROGER NELSON, CITY MANAGER N) APRIL 15, 2003 APPROVAL OF CONTRACT RENEWAL FOR BID NUMBER 78- 2001, WATER METERS City Council to consider renewal of an annual contract to Hughes Supply for the purchase of water meters on an as needed basis for the Water Department. A copy of the original bid tabulation is attached for review. Purchases will be limited to the annual budget amount approved for this item. FUNDING SOURCE: 100-14111 General Fund/Warehouse Inventory BACKGROUND: This request is to renew the annual contract for water meters. Bids were initially solicited in January 2001 and approved by Council on February 20, 2001. The purpose of this bid was to set fixed pricing for the purchase of water meters to be ordered by the Water Division in the water meter replacement program. The bid was sent to eight vendors with one vendor responding. The bid is for an initial one-year period with an option to renew for two additional one-year periods. This is the second renewal for this contract. The specifications of this bid required the use of Neptune water meters, which are the only meters compatible with the hand held meter readers that the City currently uses. At this point Hughes Supply is the only known vendor capable of supplying the Neptune brand. Bid solicitations were sent to all known water meter distributors in order to insure that Neptune had not added additional distributors and to enhance the competitive environment of the bid. Hughes Supply has successfully performed the services required by the contract and Staff recommends approval of the contract renewal.
