MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL
FROM: ROGER NELSON, CITY MANAGER#%/
MEETING DATE: JANUARY 15, 2002
SUBJECT: APPROVAL OF CONTRACT RENEWAL, BID NUMBER 39-1999,
LUBRICANTS
RECOMMENDATION:
City Council to consider renewal of a contract to Gilco Lubricants for an annual contract
to provide fleet vehicle lubricants. Contract expenditures will not exceed the annual
budgeted amount for this service. A copy of the original agenda memo and bid
tabulation is attached for review.
FUNDING SOURCE:
315-14108-0 Inventory/Fleet Equipment Parts.............$50,000
BACKGROUND:
Bids were taken in accordance with Local Government Code Chapter 252, Subchapter
B, Section 252.021 (a) and Section 252.041 (a). Bids were publicly read aloud per the
attached tabulation sheet.
Notice to bidders was published in the Grapevine Sun and the Fort Worth Star Telegram
on December 16, 1999 and December 23, 1999.
This contract established fixed pricing for various types of lubricants to be used in the
daily operation of the Fleet Division.
Council first approved this contract on January 18, 2000. The contract was approved for
one year with two renewal options. This is the second and last renewal. Gilco Lubricants
has indicated that they will renew the contract at the same pricing originally quoted and
this vendor has satisfactorily performed the service during the original contract period.
Staff recommends approval.
