Grapevine Golf Course Clubhouse (Multipurpose Room) 3800 Fairway Drive Grapevine, Texas 76051 Call to Order Citizen Comments Any person who is not scheduled on the agenda may address the Golf Course Advisory Board under Citizen Comments or on any other agenda item by completing a Citizen Appearance Request form with the staff. A member of the public may address the Board regarding an item on the agenda either before or during the Board’s consideration of the item, upon being recognized by the Chairman or upon the consent of the Board . In accordance with the Texas Open Meetings Act, the Board is restricted in discussing or taking action during Citizen Comments. New Business 1) Summary of Golf Course operations 3rd Quarter (Robert Singletary) 2) Golf Course maintenance report (Merlin Tielkemeier) 3) Practice/Short Game Improvement Project update (Robert & Merlin) 4) Persimmons Bar and Grill update (Archie Grine) 5) Instructional programs & golf outings (Eric Hunt) Consideration of minutes Consider approval of the minutes of the April 18, 2024 meeting and take any necessary action. Robert Singletary Director of Golf STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Golf Course Advisory Board of the City of Grapevine, Texas met in regular session on this 18th day of July 2024 at 5:00 p.m. at the Grapevine Golf Course, 3800 Fairway Drive, with the following members present: Louis Capone Mario Valles Robert Blalock Tom Cherry Deborah Gore Ronnie Hatley Dion Christison Bryan Humphreys Jonathan Wall Member (Present) Member (Not Present) Member (Present) Member (Present) Member (Present) Member (Present) Member (Present) Member (Present) Member (Present) Constituting a quorum, with the following members of the City Staff: Robert Singletary Director of Golf Eric Hunt Head Golf Professional Merlin Tielkemeir Head Superintendent Archie Grine Restaurant Manager Paul Slechta City of Grapevine Council Member CALL TO ORDER Tom Cherry called the meeting to order at 5:03pm. CITIZEN COMMENTS Brian Trueblood gave citizens comments about veterans receiving a discount on their green fees that is similar to other public golf courses. He would like veterans in his golfing group to receive a discount. Robert has investigated other courses on discounted rates and he found there were several courses that do extend a discount and some course that don't advertise the discount. Brian has also investigated other courses for discounted rates. New Business 1) Robert commented on the executive summary report for the 3rd quarter. Rounds were down by 7% by the weather (rain outs on weekends). Cart fees were slightly up due the rate increase. Weather impacted most revenue streams due to lack of rounds. The Texas Women's Open was a great success even with the weather delays. The pro -am was canceled due to the massive storm that hit the course on Tuesday morning. The course receive a ton of rain, but played very well and slightly longer. Received lots of positive comments from the players and the Legends are very excited to be back next year. Bryan Humphreys commented positively on how the course played even with all the rain. Working with the NTPGA staff was super positive and were very respectful to the course and entire staff. We are on track to do around 73,000 rounds, but if the weather this summer is nice we probably will do more. We hired Chris Wilson as a shop attendant to have a full golf shop staff. He will work around 15-20 hours per week. Tom Cherry asked about how we are balancing tournament around public play. We are getting lots of requests and we do think long and hard whether to book that particular event. Robert Blalock asked about whether we would do a double tee during the week. We will and have done a double tee during the week except on Wednesday's. The tee time intervals were changed for the first couple of hours of the day. 2) Merlin commented on the golf course conditions. The crew has had a good summer based upon the weather. The Poa that were on the greens was gone before the TWO. They will be spraying chemicals earlier and more often during the fall months. They will be doing greens aerification during July 29th & 30th. So far, it has been a great summer. 3) RS and MT commented on the short game facility. There has been 3 weeks of grass growth as they sprigged the chipping green on June 18th. We will be building a cart path closer to the green, but may be extended. RB asked about the sand for the bunkers and MT informed him that sand has been on back order for some time but we would receive sand in time. We will not open the area until the first part of October/late October. The range tee extension will probably open earlier. We will have some rules and standards for people who want to use the facility. 4) Archie commented on Persimmon's and how much more busier it has been the past 3 months. Busier with the successful tournament season in the spring. They are looking to enlarge and organizing the kitchen area to become more efficient. They need more storage space, more walk in space and more cooler space for food and beer. RB asked about the equipment in the newly redone Concourse. The equipment would be just rewarming but nothing to cook food. We want to be on the same page with kitchen equipment. BH asked what Tiehl & Tiehl will be doing. AG informed all they will be doing a study to expand the kitchen with a couple pieces of equipment. They will give us a good, better, best survey. It is great positive news that Persimmon's is busier not just for tournaments. We will open the Bunker when staff is available and when needed. 5) Eric commented on the instruction programs which continue to grow. David's junior academy is growing and has had to split up some of his kids to make sure they are getting good instruction based upon their ages. Eric's Get Golf Ready classes are full with repeat students. EH is getting lots of tournament requests and does weigh the requests with the public play. He is starting to book in 2025. He will balance tournaments with public play better. All events with 20+ players must do food in Persimmon's. CONSIDERATION of MINUTES Consideration to approve the minutes from the April 18th, 2024 meeting were approved by a motion by Lou Capone with a second from Bryan Humphreys. 2 ADJOURNMENT Tom Cherry asked for an adjournment of the meeting (5:43pm) and a second was made by Robert Blalock.
