SUBJECT: APPROVAL OF CONTRACT RENEWAL, BID NUMBER 38-1999,
SAND AND GRAVEL
RECOMMENDATION:
City Council to consider contract renewals to provide sand and gravel to the Street,
Utility, Parks, and Golf Departments on an as needed basis. A copy of the original
agenda memo and bid tabulation is attached for review.

BACKGROUND:
Council first approved the award of contracts on February 1, 2000 as shown on the
attached agenda memo. The contract establishes fixed annual pricing for sand and
gravel used by several different departments. In order to insure product supply, the
original award was made to the low bids for each item based on primary, secondary, and
third low bids for each vendor. The breakdown of vendors and low bids is shown on the
third page of the attached original bid tabulation.
This is the second renewal period for these vendors. Each vendor has indicated that
they will renew the contract at the same pricing originally quoted and all vendors have
satisfactorily performed the service during the original contract period.
Staff recommends approval.

It is the recommendation of Staff that awards be made to each low bid as indicated on
the third page of the bid tabulation with the exception of item's 5, 6, 7, and 8. Item's 5
and 6 are for top dressing sand (picked up and delivered) and item's 7 and 8 are for
Sand Trap Sand (picked up and delivered). Both item's are used by the Golf Course.
The low bid for these item's from Top Way Properties failed the sand analysis test
specified for this type of material and therefore did not meet the required specifications.
The next low bid from Caylor (delivered only) passed the test and met the required
specifications. It is the recommendation of Staff that Caylor be awarded the bid for these
items.
Staff recommends approval.
