Call to Order of Regular Meeting — Chair Melva Stanfield Citizen Comments - Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation Board under Citizen Comments or on any other agenda item by completing a Citizen Appearance Request form with staff. A member of the public may address the Board regarding an item on the agenda either before or during the Board's consideration of the item, upon being recognized by the Chairman or upon the consent of the Board. In accordance with the Texas Open Meetings Act, the Board is restricted in discussing or taking action during Citizen Comments. 2. Welcome — Melva Stanfield 3. Adjournment The next meeting of the Grapevine Heritage Foundation Advisory Board will be held on Wednesday, October 16, 2024 at 5:00 pm at the Grapevine Convention & Visitors Bureau, 636 South Main Street, Grapevine, Texas. David Klempin, I Manager, Heritage Programs & Preservation September 18, 2024 STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Grapevine Heritage Foundation (GHF) held their regular scheduled monthly meeting at 5:00 p.m. on Wednesday, September 18, 2024 in the 2nd Floor CVB Boardroom of the Grapevine Convention & Visitors Bureau, 636 South Main Street, Grapevine, Texas 76051. McCallum Paula Newman Cody Scallions David Klempin Kayce Vanderpool Visitors Bureau staff present: Executive Director CVB Managing Director of Finance, Administration & Operations Manager Museums & Education Heritage Preservation Programs Manager Heritage Preservation Programs Secretary CALL TO ORDER AND CITIZEN COMMENTS Chairman Melva Stanfield called the meeting to order at 5:03 p.m. Citizen Comments Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation under Citizen Comments by completing a Citizen Appearance Request form. WELCOME Chairman Stanfield welcomed everyone. 3. MINUTES FOR APPROVAL Balla Wright moved to accept the minutes from the August 21, 2024 regular meeting with one change. Wendy Nelson seconded the motion. Minutes approved with a vote of: Ayes: 6 (Stanfield, S. Wright, Nelson, B. Wright, Stine, Hale) GHF Minutes September 18, 2024 September 18, 2024 Nays: 0 None Absent: 3 (Jensen, Fray, Kellerman) 4. OLD BUSINESS A. Membership Report — David Klempin David Klempin presented the membership report for August. We have 166 active memberships. Donations received total $100.00, a brick for Nash Farm. Duff O'Dell made a comment about the membership movie passes restriction during the Christmas Capitol of Texas. Mr. McCallum said that some of the movies are hosted by the Heritage Foundation, and the dates are blocked during the Christmas Capitol of Texas. B. Sponsorship Report — Balla Wright Treasurer Stephanie Wright reported the sponsorship total is $25,250.00. Melva Stanfield said an additional $1,000.00 was added to the Harvest Moon Sponsorship. C. Nash Farm Report — Cody Scallions Cody Scallions reported that in August we have had 1 tour group with 50 people; 1 Assisted Living Home Group with 10 attendees; The FFA Kickoff had 75 Attendees; the casual visitation was 841 people; with total visitation 976; there were16 Volunteers with 95 Volunteer hours. In September First Friday "Fun and Games" had 241 attendees; Italian Car Fest was a success with beautiful weather, no official numbers yet; there were 17 International travel writers and tour operators visited as part of a Grapefest FAM; 54 VIPs attended the Sister Cities dinner; 1 Tour group brought 24 Special Needs Students; Casual visitation to date is 488; Total visitation (excluding ICF) to date is 859. David Klempin thanked Stephanie Wright for taking the initiative to get the GHF Membership table set-up for the Italian Car Fest, the tent, signage and for bringing Joe Wright's 1936 Red GMC Truck to draw people to GHF Membership Table. Cody Scallions thanked David Stine for his assistance throughout the event and said he stayed through clean up. 5. NEW BUSINESS A. Candleliqht Tour of Homes — David Klempin Mr. Klempin said the Candlelight Tour of Homes is scheduled for Sunday, November 3, 2024 from 4-7 p.m. We would like to sell some adds for the Tour book to assist with the price of the printing of the book. ('/4 page=$100,'/2 page=$200, full page=$300.) David Klempin announced the price of the tour has been approved by the CVB Board to increase the value from $15. to $20. The GHF Board discussed the price and it was suggested by Duff O'Dell to increase the price to $25. per ticket. The board had a deep discussion for $20 and $25 increase on the ticket price. The board decided to bring it to a vote. Wendy Nelson made a motion to increase the price to $25. Membership and Community outreach committee David Klempin and Stephanie Wright announced that the committee is planning to have a porch party in the township in the spring. Stephanie said want to have a social media push and make sure there is ongoing social media for the events we are hosting. 6. LIAISON REPORTS A. Grapevine Convention and Visitors Bureau Liaison Report — P. W. McCallum Mr. McCallum reported that the Grapefest is being put away. The CVB deemed the festival to be successful, with great attendance. We contribute a lot of our success to all the volunteers. One of the major contributing volunteer organization was the 121 Church. The volunteer roll was truly amazing. The sponsorships were up and the entire media experience with high number of Earned Media with local television and radio was overwhelming. We hosted a number of International Tour Operators, Travel Agents, Travel Media, and hosted four large Media Planner familiarization FAM tours and earned 4 pieces of business for future bookings. Sister City program hosted delegates from Barossa, Australia and Parras, Mexico during the GrapeFest©. During a Nash Farm hosted dinner, we dedicated a brick with a touching ceremony for Juan Carlos Montoya from Parras, Mexico he was an original member of the Rotary Club who recently passed away. His local family was able to attend and all were moved by this event. Our Mexico Sister City Delegates spent some time visiting a local hospital and attended some school events. The Parras Community is growing and they have out growing their water supply they toured our water treatment plant here in Grapevine. The City of Grapevine will be updating our water pumps and systems and we will donate our pumps and other related systems that still have life in them. During the Vendor Check out at the end of GrapeFest© our own local civic groups showed that they had a very successful weekend. That money earned will add a large number of funds back into our communities' civic services, churches, schools and booster clubs, it's a lot of good for the whole community. On Main Street, the Bushong Cabin is coming along. We have removed all the appendages that have been added over time. We added the shed on the back and restored the correct pitch of the roof, and rebuilt the fieldstone chimney. It is looking good, but we still have a bit of work to complete this project. In the Rail Road district, we have replaced the Depot roof and are now working on repairs to the Section Forman House and Tower 16. At the Palace we recently restored the doors and are currently restoring the hardware on the doors that has deteriorated over time with use. The Convention Center is getting a refresh. 3 GHF Minutes September 18, 2024 September 18, 2024 The Concourse renovation is under way with a remodel and conversion of the old Pro -Shop to become a pavilion with plans for the work to be completed in May of 2025. Francis Pitman is the company contracted for this job. Paula Newman the CVB Managing Director of Finance, Administration & Operations is very good at moving the projects forward as the contract manager and keeping them on track. Wendy Nelson spoke about loading out at the GrapeFest© Vender Check -Out and one of the vendors she spoke with was so happy with the earnings from the Festival, all the hard work paid off. B. City Council Liaison Update — Duff O'Dell Councilwoman Duff O'Dell reported that the Council has approved the Annual Budget and approve the Tax Rate that is fiscally prudent responsive to all departments in the City. Stephanie Porter, serving as the City Manager's Secretary, is retiring at the end of the month after 35 years, she will be missed. November the 4th is the Grapevine Historical Society Annual meeting. They will be announcing the Lifetime Members for the year. Duff O'Dell shared a story about her first mission trip to Parras, Mexico about 20 years ago, when she toured the orphanage. She learned there were 15 orphans that needed bedspreads. She took the initiative to purchase bed spreads for each child. The staff kept the bedspreads in good condition and with her most recent trip she raised funds to provided 23 new bedspreads and sets of sheets for each bed in the orphanage. Chairman Melva Stanfield commended the staff that secured the sponsorships of the VIP lounge in the Lancaster during the festival (Emily Mead). The food was so nice, many people were very appreciative of all the wonderful food provided over the weekend. 7. ADJOURNMENT David Stine moved to adjourn the meeting, Stephanie Wright seconded the motion. APPROVED: ,t CHAIRMAN 4 GHF inutes September 18, 2024 September 18, 2024 ATTEST: V SECRETARY The CVB Board meeting was followed with a reception to honor Sue Franks and present her with a plaque for Grapevine Heritage Foundation Emeritus status. She has served 17 years on the GHF board. She got involved and was a huge part of raising awareness of the Palace Theater and Nash Farm restoration and their capital campaigns.
