Call to Order of Regular Meeting — Chair Melva Stanfield Citizen Comments - Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation Board under Citizen Comments or on any other agenda item by completing a Citizen Appearance Request form with staff. A member of the public may address the Board regarding an item on the agenda either before or during the Board's consideration of the item, upon being recognized by the Chairman or upon the consent of the Board. Adjournment The next meeting of the Grapevine Heritage Foundation Advisory Board will be held on Wednesday, August 21, 2024 at 5:00 pm at the Grapevine Convention & Visitors Bureau, 636 South Main Street, Grapevine, Texas. David Klempin,' Manager, Heritage Programs & Preservation July 17, 2024 STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Grapevine Heritage Foundation (GHF) held their regular scheduled monthly meeting at 5:00 p.m. on Wednesday, July 17, 2024 in the 2nd Floor CVB Boardroom of the Grapevine Convention & Visitors Bureau, 636 South Main Street, Grapevine, Texas 76051. CALL TO ORDER AND CITIZEN COMMENTS Chairman Melva Stanfield called the meeting to order at 5:00 p.m. Citizen Comments Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation under Citizen Comments by completing a Citizen Appearance Request form. In accordance with the Texas Open Meetings Act, the Advisory Board is restricted in discussing or taking any action during Citizen Comments. No Citizens Comments were made. 2. WELCOME Chairman Stanfield welcomed the CVB staff and the GHF Board members. 3. MINUTES FOR APPROVAL Balla Wright moved to accept the minutes from the June 19, 2024 regular meeting. Wendy Nelson seconded the motion. GHF Minutes July 17, 2024 July 17, 2024 Minutes approved with a vote of: Ayes: 7 (Stanfield, B. Wright, Nelson, Fray, Kellerman, Stine, S. Wright) Nays: 0 None Absent: 2 (Franks, Jensen) 4. OLD BUSINESS A. Membership Report — David Klempin David Klempin presented the membership report for June. The June active membership total is 166. Donations received total $1,600.00. This total includes the donation from Stacy Holt $1,300.00, 2- Palace Bricks and 2- donations In Memory of Burl Gilliam. B. Sponsorship Report — Balla Wright Treasurer Balla Wright reported no change for the month and the total sponsorships for the year will total $25,250.00. C. Nash Farm Report — Cody Scallions Cody Scallions reported that Dairy Day held on June 1st had 237 Participants; they had 10 Tour groups with 488 Attendees; 35 people participated in the DAR Flag retirement ceremony; Logan's Hale Wedding reception had 350 people attend; the Campfire organization brought 230 campers over 2 days; Homeschool Day had 68 participants; casual visitation was 707; total visitation to for June was 2,115; and with 25 Volunteers totaling 135 hours. So far in July, Nash Farm hosted the Ice Cream Social July 13, with 226 people; 1 tour group with 31 attendees; 1 assisted living home group with 15 visitors; casual visitation to date is 491 with a total visitation for June to date is 803. 5. NEW BUSINESS A. Nash Farm Barn Project — Cody Scallions Mr. Scallions reported that the Nash Farm Barn fire retardant application is complete. It took one week, first the barn was cleared out of all items by Cody Scallions and staff. Next the barn was deep cleaned by power washing the entire barn, every single board, it took 2 days. Next the Fireguard Solution Company (Fireguard XT) was sprayed generously to every single board. A 40-foot boom lift was used during this application process. The wood soaked up the product nicely. The CEO of the Fireguard Solutions XT company flew in from Florida to oversee the application for quality control and to document and to promote for Historic Preservation. B. Candlelight Tour of Homes — David Klempin Mr. Klempin said the Candlelight Tour of Homes is scheduled for Sunday, November 3, 2024 from 4-7 p.m. He presented a PowerPoint starting with a map showing a route of the properties and photos of each of the properties. Starting at the Ted Ware Plaza/International Sister Cities Friendship Hall for the check in and a glass of wine. 1. Wright Construction Company 2023, 600 West Wall Street/Witness Tree 2. The plan is to have a shuttle bus running a loop continually during the event. The ticket price will be discussed at the next committee meeting. C. GHF upcoming committee meetings The Candlelight Tour of Homes Committee will meet following this meeting in the CVB Board Room. The Calendar Committee will meet Thursday, July 18, 2024 at 5:00 p.m.in the CVB Board Room. The current working theme is Grapevine. Where History comes to Life. They asked for the Board to send in good quality photos of action shots of all kinds of activities at our historic sites. Show a historic photo and a current photo of the site to see it in use today. Possibly ask for submissions for photos like Parks and Rec does but it needs to tie into our heritage sites and activities. Mr. McCallum said we want photos from your cell phones, to see what other people capture not just our staff photos. The Bushong Cabin move photos would help record Grapevine's history. The Nash Farm Committee will meet on Thursday, August 1, 2024 at 8:30 a.m. at the Nash Farm House Kitchen. Cody Scallions shared the upcoming events for Nash Farm; September 6, First Friday will be "Fun and Games" 10 a.m.-12 p.m. volunteers are welcome. September 7th is "Italian Car Fest" 10 a.m. — 3:00 p.m. September 21 st is the "Harvest Moon Supper." The Membership and Communitv Outreach Committee will meet Wednesday, July 24, 2024 at 5:30 p.m. in the CVB Board Room. Chairman Stanfield worked with the board to set the dates of the GHF Board Tour to be 3 hours long - Saturday, January 11, 2025. 10:00 a.m. The Board Strategic Planninq Session — Saturday, February 8, 2025 starting at 10 a.m. to include lunch and conclude with a wrap up. David Klempin said that staff is planning a reception to honor Sue Franks and present her with Emeritus and a plaque after our shortened Board Meeting, August 21, 2024 at 5:30 p.m. 6. LIAISON REPORTS A. Grapevine Convention and Visitors Bureau Liaison Report — Paul W. McCallum Paul W. McCallum reported the Mayor and City Council reappointed Austin Kellerman, Wendy Nelson, David Stine and Balla Wright. They appointed Melva Stanfield as Chairman, and appointed Kimberly Hale for a 1-year term filling the unexpired term of Sue Franks. The CVB is proud to announce the Bushong Cabin has been moved to Main Street. This is a great way to recognize George Bushong as a founding member of Grapevine. George Emanuel Bushong arrived in Grapevine from Bance, Tennessee, in the fall of 1858. He built and operated the first cotton gin in the Grapevine area, constructed a sawmill and flour mill, and taught in the newly settled Grape Vine Prairie. He also founded the Grapevine National 3 GHF Minutes July 17, 2024 July 17, 2024 Bank and served as its first president till his death. He and his wife, Elizabeth Ann, had 13 children. He was a true leader during the early years of Grapevine. The cabin will be restored to the 1858 appearance with appropriate windows, doors and a shake roof. Mr. McCallum shared that this cabin was the first Landmarked property he was involved with by installing the historic medallion. The Council approved a local construction firm to remodel the Grapevine Concourse, Club House and Pro -Shop. It will become a large beautiful pavilion with beautiful views of the golf course. It will have a late 70's design with a flat roof with windows and open space. There will be a green room, new restrooms, and an updated kitchen to serve large events. B. City Council Liaison Update — Duff O'Dell Councilwoman Duff O'Dell reported that the Council confirmed the new appointments to the boards and commissions. She thanked the board for reapplying, being willing to serve and coming back to help keep Grapevine great. The Grapevine High School Baseball team won the State Championship with a record of 34 wins and 5 losses. They are a bunch of talented young men, one of the senior players is being drafted by the pros. The Grapevine Historical Society will be discussing the Grapevine Telephone at their next meeting. They have printed a new paperback copy of The Grapevine Area History Book with a new cover and wonderful old photos. It is a book of who's who and stories of what happened in Grapevine. The price of the book will be $75.00 but if you are a Historical Society member it is $50.00 7. ADJOURNMENT Courtney Fray moved to adjourn the meeting, Balla Wright seconded the motion.
