SUBJECT: RENEWAL OF ANNUAL CONTRACTS FOR THE PURCHASE OF
TREES AND LARGE SHRUBS
RECOMMENDATION: City Council to consider approval for the renewal of annual contracts for
trees and large shrubs with Southwest Wholesale Nursery and Unique
Landscaping Design & Construction for the Parks and Recreation
Department.
FUNDING SOURCE: Funds are available in the Recreation Facilities, Grounds Maintenance,
Landscaping PCMF, Professional Services budgets for an annual
estimated amount of$200,000.
BACKGROUND: The purpose of this contract is to establish fixed annual pricing for trees
and large shrubs on an as-needed basis.
Bids were taken in accordance with Local Government Code Chapter 252,
Subchapter B, Section 252.021 (a) and Section 252.041 (a). The contract
was for an initial one-year period, with four, one-year renewal options
available. If, approved, this will be for the final renewal available.
Based on the evaluation of the bid by the Parks and Recreation
Department and Purchasing staff, it was determined that a multiple award
contract would be made to the lowest responsible and responsive bids
meeting specifications. Awarding contracts to multiple vendors will help
mitigate issues that may occur due to quality and supply fluctuation of
plants and trees.
Staff recommends approval.
