Call to Order of Regular Meeting — Chair Melva Stanfield Citizen Comments - Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation Board under Citizen Comments or on any other agenda item by completing a Citizen Appearance Request form with staff. A member of the public may address the Board regarding an item on the agenda either before or during the Board's consideration of the item, upon being recognized by the Chairman or upon the consent of the Board. Adjournment The next meeting of the Grapevine Heritage Foundation Advisory Board will be the Annual Meeting held on Wednesday, November 7, 2024 at 5:30 pm at International Sister Cities Friendship Hall, 206 West Hudgins Street, Grapevine, Texas. Acts of the 1993 Texas Legislature, the Grapevine Heritage Foundation Meeting agenda was prepared and posted by the 11 th day of October, 2024 at 5:00 pm. 3 David Klempiri, Manager, Heritage Programs & Preservation October 16, 2024 STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Grapevine Heritage Foundation (GHF) held their regular scheduled monthly meeting at 5:00 p.m. on Wednesday, October 16, 2024 in the 2nd Floor CVB Boardroom of the Grapevine Convention & Visitors Bureau, 636 South Main Street, Grapevine, Texas 76051. In accordance with the Texas Open Meetings Act, the Advisory Board is restricted in discussing or taking any action during Citizen Comments. No Citizens Comments were made. 2. WELCOME Chairman Stanfield welcomed everyone. 3. MINUTES FOR APPROVAL David Stine moved to accept the minutes from the September 18, 2024 regular meeting. Balla Wright seconded the motion. Minutes approved with a vote of: Ayes: 8 (Stanfield, Jensen, S. Wright, Nelson, B. Wright, Fray, Stine, Hale) GHF Minutes October 16, 2024 October 16, 2024 Nays: 0 None Absent: 1 (Kellerman arrived at 5:13 p.m.) 4. OLD BUSINESS A. Membership Report — David Klempin David Klempin presented the membership report for September. We have 169 active memberships. Donations received total $4,100.00, a 2024 Harvest Moon Supper Sponsorship $3,000.00 from MGS Sunset Holdings with an extra $1000.00 to cover the extra cost of the caterer and $100.00 GHF donation. B. Sponsorship Report — Balla Wright Treasurer Stephanie Wright reported the sponsorship total is $25,250.00. Balla Wright said she would like to have a meeting in the new year to discuss the sponsorships and lay out what the sponsors get, tickets for an event, recognition, signage and the catering costs to make changes if needed. C. Nash Farm Report — Cody Scallions Cody Scallions reported that September's First Friday "Fun and Games" had 241 attendees; Italian Car Fest was a success with 1,400 visitors; there were 17 International travel writers and tour operators that visited as part of a Grapefest FAM; 54 VIPs attended the Sister Cities dinner; 2 Tour group brought 34 Special Needs Students; 1 Birthday Party of 35 people; there were 26 Volksmarchers that toured the farm as part of their conference activities; Casual visitation to date is 188; Total visitation was 2,688; with 21 volunteers with a total of 130 volunteer hours. October's First Friday was "Cowboy cooking" it had 286 attendees; the Barn Dance had 126 Participants. The pie auction was a success bringing in $2,545.00; Fall -Round Up had 2,200 attendees; we had 466 Homeschoolers visit the farm today, with another 100 expected tomorrow; 4 tour groups brought 146 students to the farm, we have 8 more tours scheduled this month; 1 birthday party with 15 people and another is scheduled for Saturday; Casual visitation to date is 1,611; Total visitation to date is 4,850. Cody thanked all of the board members for coming out and volunteering at Fall Round -up. Balla Wright brought up, that during the Nash Farm Fall Round up, she was giving home tours. There were some dog trainers that brought 4 dogs, her understanding is that, no dogs are allowed on the farm during events, since there was no other direction on the dogs, she denied them access to the farm house. Cody Scallions said he would work on signage for the dogs. Duff O'Dell asked about seeing eye dogs. Balla Wright said that service dogs are allowed. Chairman Melva Stanfield shared her appreciation to the board and thanked them for showing up and having a presence for the Heritage Foundation during the events. This was the best Fall Round -up since covid-19. Courtney Fray said that having an activity at our tent helped attract people to our GHF tent to talk about what the Foundation does. 5. NEW BUSINESS A. Candleliqht Tour of Homes — Frances Jensen 2 GHF Minutes October 16, 2024 October 16, 2024 Frances Jensen announced that tomorrow night, October 17 at 6-7 p.m. is the Homeowner Q&A session, at the International Sister City Friendship Hall, Food and wine will be served. We would love to have the board come out to be a part of it. The Pre -tour is planned for Friday, November 1 from 6-9 p.m. Each board member will be assigned to a house, and everyone will then drive or carpool to the houses for the pre -tour. Frances Jensen reminded the board that the Candlelight Tour of Homes is scheduled for Sunday, November 3, 2024 from 4-7 p.m. There will be two shuttles to transport the attendees. The Homeowner gifts will be a custom water colore of their home or business, 12"X16" framed with Candlelight Tour of Homes 2024 and the GHF logo. The Tour posters will be printed and delivered by the committee next week. There are 400 tickets available on line, we have sold 47 tickets so far and have reserved 100 tickets to sell the night of the event. B. 2025 GHF Calendar - David Klempin said that we have all the images for the calendar and Sallie Andrews is working on the descriptions for the calendar. She will turn it over to Scott Baker to finish up the calendar draft next week. 6. LIAISON REPORTS A. Grapevine Convention and Visitors Bureau Liaison Report — P. W. McCallum Mr. McCallum reported that the CVB hosted a private Kuboda convention event night on the 400-500 block of Main Street with 3,000 of their dealers from Canada, Mexico, and the USA. During the event the President of the Kuboda Tractor Company announced they would donate a Kuboda RTV-X1140 to the Grapevine Convention & Visitors Bureau. Mr. McCallum told him that with Grapevine's agricultural background it would be used from farm to festival. The Kuboda RTV would be a well -used at both Nash Farm and the Festivals. The over $25,000.00 top of the line, RTV X1140 44 model with extra duty IRS (Independent Rear Suspension), VHT-X (Variable Hydro Transmission) with diesel. It is a 4-seater that transforms to a large utility bed that could come in handy for both the farm and festival events. This past weekend Grapevine's Sister City program arranged and helped host the GCISD High School Annual Gallacher Cup Golf tournament's special guests (five golfers and 2 coaches) from West Lothian, Scotland. The GCISD team won the tournament this year bringing the Gallacher Cup back to Texas from Scotland. The students and coaches were hosted by local families in Grapevine. Next year we plan to send some of our GCISD Golf team seniors to Scotland to compete. The end of year (September 30) sales department reported the sourced room night totals in full service and leisure hotel was 2,548,831. B. City Council Liaison Update — Duff O'Dell Councilwoman Duff O'Dell reported that earlier today the Tarrant County Historical Commission's 201h Annual Summit and Awards was hosted in Grapevine at Grapevine 3 GHF Minutes October 16, 2024 October 16, 2024 Main's, Cotton Belt rooms 1 & 2 with 125 in attendance from many cities in Tarrant County. There were seven awards presented and we had three Grapevine honorees receive awards. Mayor, William D. Tate was the Key Note Speaker and he was awarded the Tom Vanderariff Award that recognizes an individual for long-term exemplary public and community service contributing to the history of Tarrant County. Sallie Andrews our Grapevine Township Historian was awarded with the Susie Pritchett Lifetime Achievement Award in Preservation, that recognizes an individual who has devoted their life to promoting the preservation and contributing to the heritage of Tarrant County. She is a passionate historian who loves Grapevine. This is well deserved with all her accomplishments. Tommy Simmons was awarded the TCHC Volunteer of the Year Award, that recognizes an individual who has given unmeasurable hours of their time, talent and knowledge in promoting the preservation and the heritage of Tarrant County. Council Liaison Duff O'Dell said the City Council had a great night for Historic Preservation last night. They approved two applications for rezoning and demolition. An eight -unit apartment complex on Worth Street is to be developed into two single family residential lots with Neal Cooper of Copper Street Homes and a former winery on College Street is to become four new single-family residential lots facing College and one commercial lot facing Hudgins Street with Lemoine Wright. She said with these actions, the City of Grapevine is slowly restoring the single-family homes back to the original Township November the 4t" is the Grapevine Historical Society Annual Dinner from 6 — 8 p.m. This year we will be honoring Paula and Dick Jones, Susan and Jerry Pittman and Gloria Trigg Ware and her four adult children who have all served Grapevine in their own special ways. Mayor William D. Tate will be the key note speaker and the entertainment will be a musician named Clover, she will be playing the electric violin. Chairman Melva Stanfield brought up the upcoming GHF Board, Historic Bus Tour scheduled for January 11, 2025 and the Strategic Planning Session scheduled for February 8, 2025. She asked each of the Board Members to think about what direction and plans to bring forth for the future of the Grapevine Heritage Foundation. She would like to focus on promoting membership, community outreach, sharing the heritage of Grapevine and the preservation in Grapevine buildings. Duff O'Dell suggested, pointing out the roll of the Grapevine Heritage Foundation and the buildings that were saved due to the Foundation's efforts. We need to share that we are not a boarded -up town and we are not a contemporary town we are a preservation town. We need to brag about what the Heritage Foundation has done and for what we do, it takes a team. 7. ADJOURNMENT 4 GHF Minutes October 16, 2024 October 16, 2024 Balla Wright moved to adjourn the meeting, Courtney Fray seconded the motion.
