HomeMy WebLinkAboutItem 25 - Audio System for The Rec MEMO TO: HONORABLE MAYOR AND MEMBERS OF THE CITY COUNCIL FROM: BRUNO RUMBELOW, CITY MANAGER MEETING DATE: NOVEMBER 5, 2024 SUBJECT: PURCHASE OF REPLACEMENT AUDIO SYSTEM FOR THE REC RECOMMENDATION: City Council to consider the approval for the purchase of a replacement audio system for The REC from ImageNet Office Systems for the Parks and Recreation Department. FUNDING SOURCE: Funds are available in the Permanent Capital Maintenance Fund (Parks) for a total amount not to exceed $29,936. BACKGROUND: This purchase involves the replacement of the existing audio system and associated equipment that was damaged during multiple power surges on August 23, 2024. These surges rendered the audio system inoperable, resulting in The REC of Grapevine being without audio for announcements, a key component of the facility safety plan. ImageNet will replace the existing audio headend processors with QSYS Core 110vF Digital Sound Processors. These new processors will include multiple input and output options to integrate with the existing amplifiers and speakers, restoring the functionality of the paging and background audio system. In an effort to ensure protection of the equipment the bid includes power surge protection units to prevent possible damage to the equipment in the event of future power surges. This installation is a partial solution aimed at addressing the immediate and critical issues related to paging and audio distribution (which includes the safety of facility users). While this phase resolves these urgent needs, the upgrade of the existing amplifiers, additional audio components, and video distribution will be scoped and implemented in a later phase. This purchase will be made in accordance with an existing interlocal agreement with the Region VIII Education Service Center known as The Interlocal Purchasing System (TIPS) in Texas as allowed by Texas Local Government Code, Chapter 271 and Texas Government Code, Chapter 791. Bids were taken by the cooperative and contracts were awarded to ImageNet Office Systems. The Parks and Purchasing staff reviewed the contract for departmental specification compliance and pricing and determined that the contract would provide the best product and pricing for meeting the needs of the City.
