A member of the public may address the <Board> regarding an item on the agenda either before or during the Board’s consideration of the item, upon being recognized by the <Chairman> or upon the consent of the <Board>. In accordance with the Texas Open Meetings Act, the <Board> is restricted in discussing or taking action during Citizen Comments. Robert Singletary Director of Golf STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Golf Course Advisory Board of the City of Grapevine, Texas met in regular session on this 14th of November 2024 at 5:00 p.m. at the Grapevine Golf Course, 3800 Fairway Drive, with the following members present: Louis Capone Mark Wykes Robert Blalock Tom Cherry Ronnie Hatley Dion Christison Bryan Humphreys Jonathan Wall Ryan Gradke Member (Present) Member (Present) Member (Present) Member (Present) Member (Present) Member (Present) Member (Not Present) Member (Present) Future Member (Present) Constituting a quorum, with the following members of the City Staff: Robert Singletary Director of Golf Eric Hunt Head Golf Professional Merlin Tielkemeir Head Superintendent Meghan Hererra Assistant Restaurant Manager Paul Slechta City of Grapevine Council Member CALL TO ORDER Tom Cherry called the meeting to order at 4:59pm. CITIZEN COMMENTS No citizen comments. New Business 1) Oath of Office — the people who needed to take the oath of office already went downtown. 2) Robert gave the summary of the golf operation. He welcomed new members Mark Wykes and Ryan Gradke. He also announced Meghan Hererra as the new assistant restaurant manager. RS summarized we finished the 4th quarter strong. Rounds are up 10%, green fees up 18% and the range was up 22%. Overall rounds were flat but green fees and cart fees were up (due to rate increases). The short game practice area was completed and gets lots of activity. The weather during Q4 was very good and we saw maximum play so we make up rounds. Some of the challenges we encountered was the grow in with the short game (opened it later than planned), balancing the demand for outings/events and the wear and tear on the golf course due to the increase in rounds the past 4 years. Chris Martin was hired in September to replace Austin Fritz. 3) Merlin commented on the golf course. MT commented on we hosted the Superintendents event/member/tournament (November 14th) which had an election. Third year in a row for Grapevine to host. They finished the summer in great shape, but cart traffic is a challenge. They are finishing the over -seeding projects which is tee boxes, under trees and driving range. They are working on irrigation issues which is several on the golf course. It's a 25 year old irrigation system. They are ready for winter projects which include equipment and tree trimming. We have received more sand and have added to some bunkers. Was slightly difficult to get the sand because several courses are doing projects that includes the sand we use. Tom Cherry commented on the adding mulch to the right side of Pecan #5 tee box area. 4) Meghan commented on Persimmon's. Persimmon's is picking up with newer ideas/concepts to increase traffic such as music bingo and trivia. They have added several non -golf groups and have added $100K more revenue from non -golf events. Some of these events are in the evening. Lou Capone asked about the remodeling of the kitchen and we are looking into options for more storage and better efficiency. RS commented that golfers along will not generate enough revenue to meet our budget. Mark Wykes commented on the continued Lakeside development. We have talked to some of the developments for events. MH has booked several holiday parties for the month of December. RS commented about the meeting we had with PW on future concourse events once building is finished. Talks will be continued with the CVB in the upcoming months. 5) Eric commented on the instruction programs which continue to grow. David's junior academy is continuing to grow and has continued to split up some of his kids to make sure they are getting good instruction based upon their ages. Eric's Get Golf Ready classes are full with repeat students. EH is getting lots of tournament requests and does weigh the requests with the public play. He is starting to book in 2025 and showed the advisory board his calendar. He has balanced tournaments with public play better for 2025. All events with 20+ players must do food in Persimmon's. Robert Blalock asked about how many annual pass holders we currently have. We have 100 and around 120 people on the waiting list. 6) RS commented on the short game area. There is some sod work to still be done, the new driving range tees are in use, at time of meeting we are waiting to install a new sign that lists rules. We will put flagsticks in the big green and 1 flagstick in the small greens. There will be no range balls and customers will use their own golf balls or rent tour Titleist golf balls from the golf shop. There will be no golf carts in the area. It opened the weekend of November 16tn The Concourse is under construction (2 months as of this meeting) and the projected completion date is before the end of May before the Texas Women's Open. We talked with Paul McCallum about our usage went very well. Golf will more than likely use it more than the CVB, but more talks will be forthcoming. It has bigger event size for bigger groups. 2 CONSIDERATION of MINUTES Consideration to approve the minutes from the July 18th, 2024 meeting were approved by a motion by Lou Capone with a second from Robert Blalock. ADJOURNMENT Tom Cherry asked for an adjournment of the meeting (5:43pm) and a second was made by Dion Christison. All were in favor and no one opposed.
