SUBJECT: PURCHASE OF 300 FUEL INTERFACE KITS AND GPS TRACKING
SYSTEM TO UPGRADE AND ENHANCE THE CURRENT FLEET FUEL
TELEMATICS SYSTEM
RECOMMENDATION: City Council to consider approval for the purchase of 300 fuel interface
kits from E J Ward, Inc. and a GPS tracking system to upgrade and
enhance the current Fleet fuel telematics system from Samsara for the
Public Works Department.
FUNDING SOURCE: Funds are available in the General Fund (Fleet) for a total amount not to
exceed $125,688.
BACKGROUND: This purchase is for 300 Fuel Interface Kits and GPS tracking system to
upgrade and enhance our current Fleet fuel telematics system. The
benefits of this system include:
• Replace old system that is beginning to fail
• Connects to our Fleet management system to record vehicle data real
time
for better equipment management
• Provide alerts for major system failures and equipment so fleet can
respond
• Logs fuel consumption and efficiency to better manage equipment
utilization
• Utilizes cellular network and Wi-Fi for increased reliability
• Connects to Internet of Things technology for future updates
• Mobile device compatible expanding user versatility
• Allows vehicle tracking to protect City investment
These purchases will be made in accordance with existing and interlocal
agreements with Sourcewell as allowed by Texas Local Government
Code, Section 271 and Texas Government Code, Section 791.
Bids were taken by the Cooperative and contracts were awarded to E J
Ward, Inc. and Samsara. The Fleet Service and Purchasing staff reviewed
the contracts for departmental specification compliance and pricing and
determined that the contracts would provide the best product and pricing
for meeting the needs of the City.
Staff recommends approval
