A member of the public may address the Board regarding an item on the agenda either before or during the Board's consideration of the item, upon being recognized by the Chair or upon the consent of the Board. In accordance with the Texas Open Meetings Act, the Library Board is restricted in discussing or taking action during Citizen Comments. IN ACCORDANCE WITH TEXAS GOVERNMENT CODE, CHAPTER 551.001 et seq, ACTS OF THE 1993 TEXAS LEGISLATURE, THE LIBRARY BOARD MEETING AGENDA WAS PREPARED AND POSTED THIS 18th DAY OF APRIL, 2025 AT 5 PM. � STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Library Board of the Grapevine Public Library of the City of Grapevine, Texas met at the Grapevine Public Library in the Regular Session on the 21 st day of April 2025 at 6:30 pm. The following members present to -wit: Laura Rushing Member Megan Li Member Suzanne Matthews Member Sonia Duque-Miyashita Member Gerald Shannon Member Krishna Shenoy Secretary constituting a quorum with the following members of the City staff: Leigh Kapsos, Library Director and Chad Hetterley, Assistant Library Director are present. Board member Lynda Brown was not in attendance. The Meeting was called to order by Krishna Shenoy at 6:30 pm. Seconded by Laura Rushing. 2. CITIZEN COMMENTS Citizen Roxy Maddex was present but did not fill the citizen comment application prior to the meeting, so she was present as an observer. January minutes were not prepared. January and April minutes will be approved at the July 2025 meeting. 4. OLD BUSINESS A. Texas Workforce Commission - ESL partnership B. Poetry Festival, Local Author Fest, and Local Author Collection 5 NEW BUSINESS C. Summer Reading program theme is Color Our World May 23 - July 31. Beanstack is a new software for patrons to manage their Summer Reading progress and activities. D. DJ Program Series - part of eSports Academy E. Improvements to podcasting space F. Maker Space Open House - June 7th G. Discussion a. Outreach - Leigh presented at the Texas Library Association. Leigh reviewed her TLA presentation. To learn more about Outreach go to the Outreach tab on the Library website. b. Board members are invited to join in future memory care outreach visits. c. George asked if it is common to have a library bus? Leigh says a vehicle (van) is common, but a bus of our size is unusual. There are pros and cons to having a bus. d. Darlene's seat remains open. Our City Council Liaison to be determined. e. Main Street Festival - coming up lookout for Leigh's message regarding tickets f. Mayor Tate will be starting his 50th year. There are celebrations planned to mark the occasion. g. Suzanne asked about the Library building update. Consultant recommended a complete rebuild. GPL will have to wait about 3 years until REC expansion is completed. Consultant will submit a report with recommendations. h. Suzanne asked how the public has reacted to the new library hours. Leigh confirmed it was a successful change. Sunday has become one of the busiest days. J. Next Board Meetinq The next Board Meeting is scheduled for Monday, July 21, 2024 at 6:30 pm. There was no formal action taken. 5. ADJOURNMENT Motion by Gerald Shannon, seconded by Krishna Shenoy, to adjourn meeting. Meeting was adjourned at 7:15 pm. The following members present to -wit: Lynda Brown Chairman Sonia Duque-Miyashita Member Gerald Shannon Member Krishna Shenoy Secretary constituting a quorum with the following members of the City staff: Leigh Kapsos, Library Director. Chad Hetterley, Assistant Library Director and Darlene Freed, City Council Liaison is present. Board members Daniela Berman, Megan Li, and Suzanne Matthews were not in attendance. CALL TO ORDER The Meeting was called to order by Lynda Brown at 6:30 pm. 2. CITIZEN COMMENTS No comments 3. Bi-Annual Writer's Block with Carrie Vaughn = 80 in attendance. 3. Weekly Summer Teen Writer's Workshop = to be determined 4. GPL Book Club read one of the DFW Writer authors for the book club. Darlene suggested a personal story writing workshop. Marjorie Lewis is a possible candidate for leading this workshop. Library will be purchasing a Biblio Board to record oral histories. This can also be used to publish manuscripts. B. Summer Prooram - All Tracks Lead to Grapevine Pre -historic Grapevine - Summer exhibits and programs focusing on paleontology, dinosaurs, and fossils in the Library and the CVB on Main Street. 5 NEW BUSINESS A. TexShare changed their database offering. Chad negotiated with EBSCO to deliver databases that were no longer being carried by TexShare. B. Cataloging Librarian Christina Proctor is moving on. Catherine Gale will be taking her position. C. Processing change - consider receiving items preprocessed. Running a trial run on the DVDs. D. Testing new Language Services - Spanish storytime, conversational English to compliment the Outreach Center. Sonia will connect with Jasmine Munoz to provide assistance. a. City has engaged Maureen Ardnt, Principal and Lead Designer with the design firm 720 Design to assess the library's interior spaces and floor plan for future renovation with the goal of optimizing use and functionality. No new developments. b. Library App - available July 17th - 26th for Apple. The Android app will be available August 14th. c. Upcoming outreach activities - geared towards the Summer Olympics d. Sonia commented about the sewing classes creating a great sense of community. e. Chad mentioned a teen sewing program is in development. f. Updates from Darlene - Hortios hot dog restaurant, Hoffbrau is closed, Vedura Mexican restaurant is opening, Gameway partnership with our EA gaming programing. Library activities need to be reported in the city's weekly update to promote GPL and inform Council of the services provided to citizens and the community overall. Old Bank of America on Main Street is now a recycled technology store called MacDaddys. B. Next Board Meetina The next Board Meeting is scheduled for Monday, October 21, 2024 at 6:30 pm. There was no formal action taken. 5. ADJOURNMENT Motion by Krishna Shenoy, seconded by Gerald Shannon, to adjourn meeting. Meeting was adjourned at 7:50 pm.
