FROM: BRUNO RUMBELOW, CITY MANAGER
MEETING DATE: MAY 6, 2025
SUBJECT: ANNUAL CONTRACT FOR FLEET PARTS SUPPLY
RECOMMENDATION: City Council to consider approval of an annual contract for fleet parts
supply from NAPAAuto Parts for the Public Works Department.
FUNDING SOURCE: Funds are available in the General Fund, CCPD Fund, Lake Parks Fund,
Lake Enterprise Fund (Golf) and the Utility Enterprise Fund for an annual
estimated amount of $200,000.
BACKGROUND: The purpose of this contract is to establish fixed annual pricing for various
automotive fleet parts, supplies, and accessories for the purpose of
servicing and maintaining the city fleet vehicles and equipment. Public
Works Fleet Services provides for maintenance, repairs, and service to all
city vehicles and equipment, and many of the filters, brake parts, A/C
parts, electronic parts, etc. are purchased and/or ordered through the
local NAPA Auto Parts. Having local partners that stock and deliver parts
to our Fleet Parts warehouse reduces shipping costs and maximizes
supply chain efficiency.
This purchase will be made in accordance with existing and interlocal
agreements with Sourcewell as allowed by Texas Local Government
Code, Section 271 and Texas Government Code, Section 791. The
contract is for an initial four-year period with three optional one-year
renewals.
Bids were taken by the Cooperative and a contract was awarded NAPA
Auto Parts. The Public Works and Purchasing staff reviewed the contract
for departmental specification compliance and pricing and determined that
the contract would provide the best service and pricing for meeting the
needs of the City.
