Call to Order of Regular Meeting — Chair Melva Stanfield Citizen Comments - Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation Board under Citizen Comments or on any other agenda item by completing a Citizen Appearance Request form with staff. A member of the public may address the Board regarding an item on the agenda either before or during the Board's consideration of the item, upon being recognized by the Chairman or upon the consent of the Board. Adjournment The next meeting of the Grapevine Heritage Foundation Advisory Board will be held on Wednesday, June 18, 2025 at 5:00 pm at the Grapevine Convention & Visitors Bureau, 636 South Main Street, Grapevine, Texas. David Klempin, Manager of Heritage Programs and Preservation May 21, 2025 STATE OF TEXAS COUNTY OF TARRANT CITY OF GRAPEVINE The Grapevine Heritage Foundation (GHF) held their regular scheduled monthly meeting at 5:00 p.m. on Wednesday, April 16, 2025, in the 2nd Floor Grand Hall of the Grapevine Convention & Visitors Bureau, 636 South Main Street, Grapevine, Texas 76051. CALL TO ORDER AND CITIZEN COMMENTS Chairman Melva Stanfield called the meeting to order at 5:03 p.m. Citizen Comments Any person who is not scheduled on the agenda may address the Grapevine Heritage Foundation under Citizen Comments by completing a Citizen Appearance Request form. In accordance with the Texas Open Meetings Act, the Advisory Board is restricted in discussing or taking any action during Citizen Comments. No Citizens in attendance. 2. WELCOME Chairman Stanfield welcomed everyone. 3. MINUTES FOR APPROVAL Balla Wright moved to accept the minutes from the April 16, 2025 regular meeting. Kim Hale seconded the motion. Minutes approved with a vote of: Ayes: 6 (Stanfield, Jensen, Nelson, B. Wright, Fray, Hale) Nays: 0 None GHF Minutes May 21, 2025 May 21, 2025 Absent: 3 (S. Wright, Kellerman, Stine) 4. OLD BUSINESS A. Membership Report — David Klempin David Klempin presented the membership report for April. The total GHF membership is 170. In donations we received $1,170 from Stacy Holt's employer Arnica who rewarded his festival volunteer hours. It was discussed to send a GHF thank you letter to Arnica Companies Foundation that acknowledges and commends them for this program as well as to Stacy Holt. We had two sponsorship payments received totaling $5,500. B. Sponsorship Report — Stephanie Wright Former Treasurer Balla Wright reported that we have collected $29,250 in sponsorships for the year. C. Palace Theatre Report- Frances Jensen Frances Jensen reported the Friday night show this week is the remake of the "The Mummy". Saturday afternoon at 4 will be North by Northwest, a Hitchcock classic. The Summer Movie Series starts June 3 — July 31 on Tuesday's and Wednesday's at 10 a.m. for kids. There are regular movies scheduled on Friday and Saturday nights. There are live shows lined up, Conway Twitty Tribute Concert- July 11 th, Hewey Lewis Tribute Concert- July 19th and the Texas Tenor's Concert- July 25th. It's going to be a good summer. David Klempin shared that Shirley Cannon Holly, who recently passed away, had two framed certificates that she treasured and had hanging in her home. A proclamation from the City and the State for her contributions to the Palace Theatre. They were gifted to GHF and are now hanging on the Mezzanine wall in the Palace Theatre. D. Nash Farm Report — Melva Stanfield and Kimberly Prack Melva Stanfield reported the April 4, First Friday "Spring Fling" had 91 Attendees; There was 7 School Tours that brought 787 people to the farm; there were 2 Homeschool Days that brought 524 students; The Spring Fundraiser Dinner had 55 participants; Spring into Nash had 1300 participants; 4 groups brought 118 visitors; 13 American Airlines Engineering Employees celebrated Earth Day by weeding the corn; Casual visitation was 1220; Total visitation was 4108 in April. To date in May, First Friday "Pickles and Preserves" had 174 Attendees; There were 8 School Tours that brought 781 visitors; 1 Group brought 32 people; there were 8 Travel agents from France that toured the farm; Staff went out to visit 714 Students at Dove, Cannon and Heritage Elementary schools for their career days; Casual visitation to date is 1029; Total visitation to date is 2738. E. Update on Nash Farmhouse foundation repair- David Klempin Mr. Klempin reported that the foundation repair work for Nash Farmhouse has been delayed due to wet weather and tours, but it should be a day and a half of work to finish the project. Mr. McCallum gave an update on the Kubota tractor donation. 2 GHF Minutes May 21, 2025 May 21, 2025 David Klempin said that Balla, Stephanie and the Wright Family have donated Joe's 1970's Ford 3000 Tractor to Nash Farm, it was used to pull the wagon during Spring into Nash and is used regularly at many other events at the farm. Mr. Klempin also reported that he spoke with Ric Flanagan. Ric is donating the 1960's McCormick -Deering Farmall International Harvester Tractor and custom 18-foot, tandem axel trailer with loading ramps in honor of his dad Bobby Flanagan. They were willed to Ric and he is donating them to Nash Farm. We hope to get them back in working order for use at the farm. F. Update on the GHF Strategic Planning assignments and committees - Melva Stanfield Melva Stanfield asked for updates on the different board assignments to keep the Strategic Plan moving forward: Courtney - Messaging Strategy to increase awareness & Branding. The Committee Members Courtney Fray, Kimberly Prack and Austin Kellerman are working on a messaging strategy, what resonates with the target audience to share the compelling story of the preserved buildings and their stories. The Foundation protected the Palace Theatre and Nash Farm property, and want to share, is the reason the properties are still here. They would be gone if we didn't save them. Courtney also reported on the Why be a Protector program — She has created a new field trip guide for the elementary schools. This includes a plan to visit Nash Farm, Settlement to City, the Train Depot, the Palace Theatre and the Observation Tower. This program could help with creating the next generation of preservationists. Kim Hale shared that she is working on an endowment program but has some questions to get it set up. She will be working on the next step, reaching out to other non-profit organizations for some guidance. Wendy spoke about having a small video during the Volunteer Dinner to share about the GHF. Balla Wright reported on the Speaker's Bureau. She would like to make a video showcasing the history of the Palace Theatre and Nash Farm including the efforts from the community in their restorations. This video could be shared with different organizations. She also suggested the 2026 Calendar should be about volunteers. G. Update on Grapevine Heritage Foundation Porch Party — David Klempin and Stehpanie Wright David Klempin reported the plans to host a GHF Porch Party, the proposed date is Friday, June 27th We would have a projector with a screen and a GHF video to display. The Porch Party Committee consists of Stephanie Wright, Balla Wright, Courtney Fray, Melva Stanfield and staff David Klempin and Kayce Vanderpool. It is a GHF outreach event for Township residents. Emails and a postcard or flyer presenting the event as the Heritage Foundation requiring RSVP to attend. There is a current porch party hosted by residents Fabien & Yasmine Goury. Held several times during the summer. Mr. McCallum suggested we narrow the list and make sure it is understood it is RSVP. 5. NEW BUSINESS A. GHF Upcoming Events and Activities- Melva Stanfield 3 GHF Minutes May 21, 2025 May 21, 2025 Chairman Stanfield brought up that the GHF Board would like to have a shirt to wear for events. It was discussed, t-shirt, polo or button up and possibly a summer and winter option. Also, it was discussed the GHF Board name badges are difficult to identify Grapevine Heritage Foundation in the logo, they would like to have a new badge that reads clearly Grapevine Heritage Foundation on them. 6. LIAISON REPORTS A. City Council Liaison Update — Duff O'Dell David Klempin reported for Councilwoman Duff O'Dell. She is at the National Softball Association World Series as the City Official and she will be announced during the 7th Inning tonight. The other news to share is that Leon Leal and Sean Shope were sworn in to City Council last night and there is a new Mayor Pro-Tem Paul Slechta. Mr. Slechta has served as the Historic Preservation Commission Council Liaison for many years and Shen Shope has served on the HPC since 1999 and was the Chairman since 2017. The Council put clarity on the ordinances of public parking and noise in the parks and around the lake. Mrs. O'Dell also wanted to remind the board if your term is up to reapply because Friday is the cutoff date to apply. B. Grapevine Convention and Visitors Bureau Liaison Report — Paul W. McCallum Mr. McCallum started his report with the exciting news that we have re -hired Hugo Gardea to be the Assistant Historic Preservation Manager. He previously held the roll as the Township Restoration Coordinator prior to Mr. Klempin. Mr. Gardea will start June 2, 2025 and he will work with David Klempin and help Nash Farm by finding a new NF Manager and farm restoration. He has spent the past 20+ years working with the Federal Government as Regional Chief Architect, Regional Historic Preservation and Fine Arts Officer with responsibility for administering region wide programs and projects in government owned and leased historic buildings. Main Street Fest was a success; it was laid out very well. The new safety measures we provided were very well done. The Steering Committee did a wonderful job with great attitudes across the whole Festival from the Volunteers, the Steering Committee, the Staff, the Merchants and Vendors making this event a huge success. We will be moving the Winfrey House to the Ted Ware Plaza. The house has a nice large front porch that we plan to use as a stage for programs with a small green room available. The rear portion of the house will provide storage for the CVB. The 1888 James Arthur Tate House, currently on Peach Street, a Folk Victorian Prairie House. This type house was one of the first houses that were ordered and shipped on the railroad. They would package the materials to build a 4-room house. It will be placed in the Cotton Belt Railroad District between the Bragg House and the Blacksmith Shop. It will be restored accurately, with plans it will be used to hold 2 small retail or gallery shops. James Arthur Tate was the great uncle of Mayor William D. Tate. The National Softball Association World Series is currently being held in Grapevine. 7. ADJOURNMENT Balla Wright moved to adjourn the meeting; Courtney Fray seconded the motion.
